JOB TITLE: Fundraising Assistant

BAND:

ACCOUNTABLE TO: Fundraising Manager

STAFF RESPONSIBLE FOR: None

HOURS OF WORK: 20 – 37.5 hours a week, with occasional weekends

BASED AT: Hapton, Norfolk, with occasional Visitor Centre work

TYPE OF EMPLOYMENT: Fixed term – (to 31st December 2017)

JOB PURPOSE

To support the fundraising team through administration and practical duties to ensure the smooth running of fundraising activities at head office and at the charity’s Visitor Centres.

Duties

Administration

To assist the fundraising department by providing efficient and accurate administration support in the following key areas:

·  Filing and administering paperwork such as purchase orders and invoices

·  Co-ordinating meetings and note taking

·  Liaising with colleagues in the Communications and Education teams to source images and information for online and offline Appeals and Fundraising materials

·  Researching and providing report summaries to help monitor and develop fundraising using the charity’s database and excel to analyse data

·  Assisting the Supporter Services team during busy periods through data inputting, opening the post and answering telephones as required (plus any other duties that may be of assistance to the team)

·  Corresponding with supporters through writing letters and responding to emails, with a particular focus on Community and Corporate donors

Visitor Centres

To support the smooth running of the visitor centres, ensuring they have the equipment, materials and staffing support they need to effectively operate.

·  Help to collate and distribute literature, adoption materials, donated goods and other such items to the Visitor Centres

·  Visit the centres on a regular basis in order to review and feedback on fundraising objectives including site audits, housekeeping, merchandising and visitor interaction

·  Deliver stock and other goods to the centres to ensure they are sufficiently stocked for peak periods

·  To work alongside Visitor Centre teams during busy periods, on special events, group visits and when short staffed

·  To support the visitor centre managers with administration including rota management

·  To keep up to date on current processes and best practice

Regulatory, financial and reporting

·  Recognise and respect existing structures, processes and working practices to ensure that no action undermines or negatively impacts on the Sanctuary or its reputation.

·  Ensure all fundraising activities are compliant with regulatory requirements, the Institute of Fundraising Codes of Practice and current legislation.

·  Employ best practice in ensuring tax and cost effective giving, through the promotion of gift aid and within all printed literature and communication with supporters.

General

·  To ensure that a culture of excellence in supporter care is maintained.

·  Ensure that all staff are equipped and motivated to perform their roles and that their continued personal and professional development is supported within available resources.

·  Promote a culture of success achieved through shared vision, collaborative team working and open communication.

Additional Duties

·  To act as a member of the events team, attending local and external events to represent Redwings and help to promote or fundraise for our cause

·  To carry out any other varied duties that may be required appropriate to the grade and nature of the post.

·  This role will entail some UK travel and some ad hoc weekend work as and when required.

The post also carries governance and statutory responsibilities:

·  Health and Safety aspects of the team’s work, within the office and externally

·  Data protection and appropriate confidential

NOTES
