Newforma®Field Notes Mobile App Getting Started Guide

Overview

Field notes refer to various notespertaining to issues on the jobsite recorded by project team members such as architects, consultants or general contractors. These notes can be captured on a mobile device in the form of text, photo, audio, or video and are used to initiate further action.

The Newforma Field Notes app on your mobile device (Android Smartphone and tablet, iPad, and iPhone) gives you the tools to quickly capture field notes on the job site. Shown here, the interface has an intuitive design, so that you can quickly start using the app to capture critical project information.

When you create a new field note, the data and captured media automatically upload to Info Exchange making the information available in both Info Exchange and Newforma Project Center. Project Center users can then assign the field note to site visit documents, daily reports, and action items.

Before Using Newforma Field Notes Mobile App

Perform the following steps before getting started with theNewforma Field Notes mobile app:

Project Team and Info Exchange Access

In order for anyone to access Field Notes from the Field Notes mobile app, whether internal or external contacts, they need to be on the Project Team with Info Exchange access. Perform the following steps to add contacts to the Project Team.

  1. In Project Center go to the Project Team activity center.
  2. Click Add Team Members from the Tasks pane and filter to find the contact you want to add, then select and click OK.
  3. On the next screen, check the box to Allow web access to this Project on your Info Exchange server.

Permission Sets for Internal and External Users

In order for anyone to access Field Notes from the Field Notes mobile app, whether internal or external contacts, they need to have a Permission Set that includes being able to see Field Notes. Other permissions that can be set include creating, editing, or admin rights. To see what permissions a particular Project Team member has, perform the following steps.

  1. In Project Center go to the Project Team activity center and select a team member.
  1. Click View Permission Set from the Tasks pane.
  2. Look at Field Notes to understand the visibility and permissions.
  1. Contact your administrator if the permissions need to be changed.

Get Started with Newforma Field Notes

Newforma provides several mobile apps that you can use to manage your project data while you are in the field. Use the mobile apps with your Newforma ID to easily access your project data.

Install the mobile app from the Apple App Store

Perform the following steps from your iPad or iPhone to install the Newforma Field Notes mobile app:

  1. If you are not already there, go to the Apple App Store from your iPad or iPhone and search for Newforma Field Notes to find the mobile app.
  1. Tap the link for Newforma Field Notes to view the details of the app, tap Free, then tap Install App to begin the download.
  2. If prompted, provide your Apple ID password.
  3. Once the installation is complete, tap the app shortcut that is created on your device to open Newforma Field Notes.

Create a Newforma ID to start using the app

Follow these steps to create a Newforma ID from Newforma Field Notes:

  1. On the logon page of Newforma Field Notes, tap Create a Newforma ID, as shown below:
  1. In the Welcome dialog box, enter your email address, first name, and last name in the corresponding fields. Tap Create, then tap Continue to create the Newforma ID. A notification dialog box confirms the account was created and an email containing your password is sent to the email address you provided. Tap OK to close the dialog box.
  2. Login to the Newforma Field Notes mobile app using your email address and the Newforma ID password provided by Newforma.

Start using the App

  1. To get started, launch the Newforma Field Notes mobile app and login using your Newforma ID.
  1. Tap Choose a Project to open the Select a Project dialog box. If you have added projects using the My.Newforma.com website, the Project dialog box opens, displaying the list of your projects connected to your Newforma ID, as shown here. Tap a project to beginning using Newforma Field Notes.

/ If the company is not available as a connection, contact the Newforma administrator for the company hosting the projects on Newforma Info Exchange to install a 10th edition license that enables Newforma ID access.
/ Free accounts can only use one project at a time. Upgrade or remove the project to add another project.
/ Tap Upgrade to acquire unlimited project usage in all the mobile apps for one year.
  1. In the projects screen, shown below, tap to access the Search field to add more projects. Enter the name of the company hosting the projects on Info Exchange on which you are a member of the project team. Tap the company in the Search Results, shown here:
  2. When prompted to logon, enter your Info Exchange credentials, then tap Connect.

/ This step links your Newforma ID to your Info Exchange account for this company.
/ If you work with other projects and companies on different Info Exchange sites, you will be prompted to provide your credentials for your other Info Exchange accounts at the time you add the project.
  1. Tap OK to accept the prompt to use your current location if desired.

/ At any time you can add more projects to your mobile app.

Project or company is not available

If a project is not in the list, notify your contact at the company that is hosting the project on their Info Exchange website. Direct them to alert their Newforma Project Center administrator. This may occur for the following reasons:

  • If a single project is missing for a specific company, you may not have Info Exchange access to the specific project.
  • If all projects are missing for a specific company, it is likely the customer has not installed a Newforma 10th Edition license that enables Newforma ID.
