AGENDA
1. Outstanding Business from last meeting
· Kim to check team bank accounts and ensure they are at $0.00 before we add the $100.00 next meeting, Kim not in attendance
· Jeff to call united cycle about re-doing nets Said no, they don’t restring nets
· Derrick to call a few places also Derrick called a few places also, no luck in finding place to re-string. It’s up to us to re-string. Still trying to find a place to sandblast & paint. Waiting for cost? Darren to call town of Beaumont to find out who does their nets.
2. Treasurer Report – Kim Gross not in attendance, no info reported
· 2014/2015 Year end preparation and review of books next meeting
· Team Bank Accounts next meeting
· Online Registration Deposits think they have been deposited
· General Bank Account Balance Currently at $42,789.92
3. AA hockey Model meeting with Beaumont – Jeff/Wes/Matt
· Plan of attack- Beaumont has asked if our association would like one of our coaches to go to their tryouts with any of our players. 3 sessions at 1.25 hours each. 20% skating, 25% shooting, 25% battles, 30% game play. Will vary each session to session but will evaluate what they are looking for skill wise. Trying to keep it fair for everyone.
· Tryout dates -Try out dates start any time after Sept 1st, Beaumont would like to push that date to earlier, late August?
· Coaching possibilities Beaumont will accept coaching applications from parents who are trying out. Deadline online—mid August?
· Affiliation Players may be affiliated to the AA team as well as our home association if cut from try outs. Can only affiliate to Beaumont team. This is for Peewee & up.
· Number of Player movement forms completed to date 3 for AA tryouts, 1 AAA tryout form. No timeline, can be submitted up to day of tryouts. Beaumont asked for a number so they can plan ice times. Our association should set a deadline for tryout movement forms to be submitted.
4. Registrar – Cindy Lauer not in attendance, nothing reported to Jeff
· Confirmed # of registered players to date at each level See Agenda #5
· Player movement approved /requests see above
· Midget Team update – Tofield/Beaumont/Millet (Andy/Rachel/Jeff)
Currently the midget team has 9 skaters, 2 goalies
Will know better numbers late August/Early September.
5. Team/Player updates
· Proposed/planned # of teams at each level
1x IP/PreNovice 10 PN, 9 IP
1x Novice- 16 players
****Move 1 Novice up to Atom to make 1 Novice team
2x Atom- 29 players
2x PeeWee- 27 players
1x Bantam- 18 players –4 with possible try outs
1x Midget- 11 players –possibly 2 players from Bantam will move up
Conclusion: Possibly 8 teams if Midget is a go
-**Player requests for 3 Novice players that requested to move up to Atom—all approved
-Side note: **Prewarn past PreNovice players that games will be half ice so no surprise
-Update on ice schedule:
Jeff eliminated Novice B ice.
Midgets have been added to every Wednesday,
Pond hockey scheduled on Saturday mornings 10:45-12:15
Every weekend there’s a tournament, pond hockey ice slot switched to following Monday.
Will plan to run for a few weeks, if interest isn’t there, ice will be cancelled.
Schedule to be very similar to last year.
· Player requests for AA tryouts August 14th deadline for tryout requests **Get Tom to send it out in an email
· Player requests to move up a level August 31st deadline---give parents/players an answer as they come in/it’s discussed at meeting?
· Player request to tryout only at a higher level
o Should players be allowed to tryout at a higher level within our association?
o Criteria for making the team (ie; if more than one team at that level must make the highest level of team to stay at that level)
o Is there a policy in place already or do we need to make one up? Policy is in place. Players must request to tryout. If they try out at a higher level, they must also try out at their age level or they will be put on the B team.
6. Specialty Clinics for 2014/2015 Season
· Player Development – Wes Nessler
i. Goalie Clinic
· Instructor – Chris Noble
· Dates & Times? Shaun booked already??
· Proposed Structure? 2 x once/month done by Chris, Andy/Wes to continue
· Estimated Costs? $600
ii. Player Clinic
· Instructor – Serdachny group to get back to Wes this week
· Dates & Times? N/A
· Proposed Structure? Checking clinic, 2 hours for each team of instruction—October &November
· Estimated Costs? No price mentioned yet
**Rachel suggests her brother, Colin(AAA coach status) & a friend. Wes to call. Could be very budget friendly.
**Darren suggests if Pond hockey doesn’t run, to use extra ice times for clinics
Beaumont interested in running Elite Clinics on Sarepta ice. Beaumont is desperate for ice, the more ice we can share for clinics would be beneficial for us.
· Coach Development – Matt Nordstrom (Jeff) not in attendace
i. Updated coaching application online Needs to be updated, still says Atom coaches need checking course. Atom head coach requires checking course. Association to pay for clinics if required.
ii. # of applications received to date, should set deadline for August 31 to allow for executive review No exact number stated. Separate meeting to be done with coaching “staff” Deadline set to August 31st ***Tom to include in email
Criminal record checks—letter to be sent once coaches approved so they can do it asap
iii. Update our website with links to upcoming Hockey Alberta clinics, and what certifications teams must have
iv. Ensure teams have proper team officials certifications completed by Nov. 15 as per HA regulations.
v. Internal Coach Clinics???, plans for upcoming season coach development n/a
7. Policies and Procedures Deadline
· Set completion date?? July 28th @ 6:00pm is a meeting to discuss---Group: Jeff, Andy, Rachel, Derrick, Tom--- Rachel to take minutes. Thanks!
· New items to add?? Email to be sent to committee to discuss
8. Equipment – Vanessa/Vicki
· Socks and replacement jerseys ordered?? No, no numbers. To be ordered now with tentative number
· Goalie equipment to order Andy & Wes to go take a look at the room to decide what’s needed, Wes suggests: getting items off kijiji to save money
· Team equipment items to purchase (first aid kits, white boards, etc…) Not needed. Vanessa says she has a hard time getting supplies back from coaches
9. New Equipment room update – Andy Kellert not in attendance
· New Locker construction & install – Jesse Abraham --worked Sunday, got frames put up except for end pieces, Jenn says decals are cut. Has plans to go back this coming Sunday???
· Painting of lockers-- n/a
· Possible completion date?? Needs to be done by August so we have time to paint and organize –n/a
10. Fundraising/ Commitment – Jen Charette
· Derby grounds painting project Week day? Ask Bantams/Midgets to help out? Need Andy to be home to get supplies
· Re-roof concession Andy to do
11. Letter sent to AG Society - Jeff/Ashley
· Switch the girls and referee’s change rooms Letter approved, to be sent tonight as Ag society meeting is tomorrow
12. Association Ice Schedule - Trish Galenza (Andy/Jeff)
· Schedule must be ready for Ag Society end of July. Need to know # of teams. Jeff to send draft to executive prior to submitting
· Jeff and Andy will work on rough draft and meet on July 15th with Trish to finalize
13. New Business

-Tournament Coordinator to get hours? Tournament coordinators put in a ton of hours, and hopefully including volunteer hours will entice people to take on this large task. Each team gives money back to the association so this position does help the association as the majority of team funds come from their tournaments. Put motion forward at the AGM to give tournament coordinator 5 hours, and fundraising rep for each team to 5 hours from 10.
Motion to change fundraising rep from 10 hours to 5 hours to redistribute 5 hours to the tournament coordinator. Darren to speak on it.
-2 practices per week—Not happening but shared practices can happen. Do we put it in the schedule? Do we do a trial run with Atom A & PeeWee A? Do we have Atom B/PeeWee B share ice also? Arrange this upcoming seasons schedule so this can happen—Example: Atom A/PeeWee A to practice on same night. Shared practices would be half ice practice but teams can be combined if the coaches wish
Darren suggests that after: Team meetings, a coaches meeting takes place for all coaches to discuss what the teams vision will be and if combined practices would be beneficial? Ask parents after if they are willing to put in the extra time for more practice…..
Jeff: 30 kids=nightmare
-Executive vote at evaluations with their child’s team: this is the case in the past---if your child is on the team you can’t decide. It’s up to level directors to make decision on who’s in the room for the vote.
· Offer New Families a basket:
Budget of $25/each—puck with association label on it, toque or t-shirt for player? Talk to Aaron Golson about stickers for pucks.
