Purpose of Job:

To undertake office coordinator duties at the Newmartin site of NCY and supervise the administration team. Ensure that invoices and ordering are kept up to date; users of the service receive a welcoming response and are referred to the appropriate member of staff.

To provide a prompt and efficient administrative service and ongoing support to staff both at the Newmartin and Launchpad sites

Main Duties

  1. To manage the day to day running of the admin department, supervising the admin team and delegating tasks.
  1. To assist the CEO of NCY in diarising appointments and liaising with other professional as directed.
  1. To answer telephone calls from service users, agency staff and members of the public in a prompt and courteous manner and to ensure that they are referred to the appropriate member of staff
  1. To welcome visitors to the Newmartin Centre and to refer them to appropriate staff.
  1. Prepare and submit invoices to funders in liaison with the Project Managers and Accountant to ensure the accuracy and timeliness of financial reports
  1. To provide the day to day administration of the Charity both at the Newmartin and Launchpadsite
  1. To record incoming and outgoing post and allocate to the appropriate staff.
  1. To instruct trade people and insure repairs and maintenance of the building
  1. To attend supervision with the line manager.
  1. To participate in training and staff development.
  1. To keep records of the petty cash system
  1. To place orders, raise invoices and ensure payment of authorised expenditure. To chase late payment of both income and expenditure.
  1. To provide support to administration trainees and volunteers
  1. To undertake photocopying,type letters and other documents and return to their authors.
  1. To keep accurate records at all times
  1. To carry out filing and help maintain databases
  1. To carry out such other duties as may be required from time to time in order to assist the function and delivery of the Charity’s services.
