PROFILE ONE CITY OF CALGARY

Calgary has undergone a period of rapid growth and expansion. The population is now over 1,000,000. This trend is expected to continue. The city provides an expanding variety of facilities for entertainment, recreation and shopping. A chronic labour shortage provides diverse opportunities for employment.

Education

School enrolment is changing in Calgary with the Public School experiencing static enrolment while private and religious schools are seeing increases leading to underutilized schools in the inner city and overcrowding in the suburbs. University of Calgary is the major post secondary facility with an enrolment of approximately 28,000. The University attracts approximately 80% of its enrolment from the city. Mount Royal College, SAIT, Bow Valley College, St. Mary’s University College, and Chinook College also offer post secondary education and technical training.

PROFILE TWO CALGARY PRESBYTERY OF THE UNITED CHURCH OF CANADA

Calgary Presbytery consists of 28 Pastoral Charges. These churches are served by approximately 50 ministry staff personnel working full-time or part-time. There are a total of 9,162 members who together raised $7,733,016 in the year 2003. $601,121 was contributed to the Mission and Service fund by Calgary churches and United Church Women (UCW) groups. Most congregations have active pastoral care committees.

Calgary Presbytery maintains a centrally located office with a full-time Presbytery Administrator, a ¾ time Pastoral and Spiritual Care Coordinator and a part-time Office Assistant position.

United Church of Canada membership has been declining steadily since at least the 1970’s. Many churches are working to address the challenge of declining numbers and increasing expenses by working toward amalgamation. To date, two congregations in the north part of Calgary have amalgamated and three in the south part of the city have done the same. One congregation from Calgary Presbytery recently completed an amalgamation with a congregation from Foothills Presbytery and is now a Calgary Presbytery congregation. New land was acquired on the northwest edge of the city by Calgary Presbytery and a congregation has just moved to its new facility on that land.

Alberta and Northwest Conference has structured its life around three strategic goals related to Healthy Congregations, Effective Ministries, and Public Witness. The work of Calgary Presbytery parallels these goals.

The Pastoral and Spiritual Coordinator position has been in place for fourteen years under different names. There are several areas with volunteers to act as support:

1. Presbytery Pastoral and Spiritual Care Committee (PSCC)

2. Congregational pastoral care committees and congregational staff with pastoral care responsibilities

3. A variety of individuals involved in pastoral care in the region

4. Technical support for website development.

5. There is support from a Presbytery Administrator and Treasurer.

6. There is a computer and office space at the Presbytery office, as well as access to a telephone, email, fax-machine, office equipment, and supplies.

PROFILE FOUR POSITION DESCRIPTION

TITLE:Pastoral and Spiritual Care Coordinator

LOCATION:Calgary Presbytery, Calgary, Alberta

Mission of the Calgary Presbytery Pastoral and Spiritual Care Committee: To provide vision, leadership and training in discovering new ways to do Pastoral &Spiritual Care in congregations, the wider United Church and Communities

Vision of the Calgary Presbytery Pastoral and Spiritual Care Committee: To see Pastoral & Spiritual Care ministry functioning effectively within all the congregations of Calgary Presbytery

1. Purpose: To support the Pastoral and Spiritual Care Committee of Presbytery in providing resources and supporting congregations fulfilling their pastoral and spiritual care ministry.

2. Responsibilities

a) Makes a personal connection with the pastoral and spiritual care committees of congregations.

b) Maintains a central resource/network/knowledge base support at the Presbytery level for pastoral and spiritual care.

c) Coordinates courses such as Basic Arts of Pastoral Care, an introduction to pastoral & spiritual care, and phone ministry development.

d) Coordinates the provision of specific workshops pertinent to the requests and needs of congregations and various age groups. This could include the following tasks: find appropriate facilitators, instructors, or leaders for these courses and arrange their contracts; help promote these courses and events; and assist with registrations and other administrative tasks.

e) Finds instructors for, and coordinates, Marriage Preparation (an outreach program). Duties include correspondence, preparation of materials, arranging leadership and locations, registrations, financial record-keeping, promotion, etc., and maintaining resources for same gender and blended families.

f) Helpscoordinate Retired Minister events

g) Coordinates, along with the PSCC, the annual Healing Through Conference

h) Coordinates, along with the PSCC, gatherings of Calgary Presbytery congregational pastoral & spiritual care committees

i) Maintains and updates files, records, and processes to facilitate access to accurate information including a process binder.

j) Carries out administrative responsibilities under the guidance of the PSCC.

k) Meets with the PSCC at least five times per year and works with individual members as appropriate in their particular areas of interest.

l) Accomplishes these tasks on the assumption of flexible hours with some evening and weekend commitments and negotiates with the Personnel Committee a mutually agreeable understanding of how those flexible hours are to be used.

3. ACCOUNTABILITIES & RELATIONSHIPS

The PSCC provides:

  • Orientation Direction and constructive feedback
  • Direction and constructive feedback Orientation
  • Ongoing support and guidance as needed, including reviewing materials for courses such as Marriage Preparation and Basic Arts of Pastoral Care
  • Assistance in locating appropriate facilitators and instructors
  • Encouragement

The Coordinator will be accountable to the Personnel Committee of Presbytery in matters pertaining to goals, performance, working conditions and employment policy issues.

REQUIREMENTS:

  • Good working knowledge of computer software including use of Microsoft Office programs
  • Navigate the Internet and manage e-mail
  • Update website content and work with online registrations for courses
  • Logical, sequential thinker -- process skills, efficient, dependable, able to organize and prioritize
  • Meets deadlines following schedules and processes, redesigning these processes in consultation with others as needed.
  • Good analytical skills -- manages resources to achieve objectives.
  • Possession of Office Administration Certificate, or equivalent work experience, is desirable.
  • Familiar with the values, practices, and structure of the United Church of Canada
  • Effective communication skills
  • Works well with others
  • Previous experience working with volunteers.
  • Independent self-starter who demonstrates problem-solving skills
  • Skills and experience in time management, administration and self-care

PROFILE SIX TERMS

This position has been proposed atis ¾ time, 30 hours per week along with the following:

Salary at $21.00/hr

Travel expenses – reasonable and actual up to $1,100/year

Three weeks vacation.

Other benefits, conditions, and pensions as prescribed by the United Church.

Start Date: Immediately upon filling the Position.

The terms of the appointmencontract would be for three years renewable, with a beginning probationary period of 3 months and an annual review.

Presentation Notes:

1. Financial: there is great uncertainty about what we would receive from Mission Support Grants for the current model; we would receive nothing for our new model, but the cost to Presbytery would be almost the same as if we were to receive a grant for our old model. Under the new model, we would be eligible to qualify for other grants for the costs of facilitators for individual courses.

2. Our consultations indicated the following:

a) administrative responsibilities were a major part of this role;

b) an informal role that grew out of Betsy’s gifts was unofficial support person for members of Presbytery – as Presbytery, we need to find a way to provide support for members of Presbytery, but it seemed inappropriate to make this part of the responsibility of the Pastoral and Spiritual Care Coordinator’s job description.

3. In consultation with the current members of the Presbytery Pastoral and Spiritual Care Committee, determined this committee will need to change in the following ways:

a) recruit members for particular roles and responsibilities;

b) actively partner with the Coordinator in the planning and conduct of many of the projects, events and courses including assisting in the recruitment of facilitators and instructors.
