9:30am / 5.0.BOC Update: Norine Schofield / Application for BOC- examiner went out in January, have over 80 applicants (45% new or first time examiners),
Ottawa conference – examiner workshop request for details, taught by Norine.
Term is up in May – Norine wrote a job description (examiner and coordinator) to send out to membership so they’re aware of the scope of the job. Feels that it is more beneficial to continue to have the role joint as opposed to splitting the role. Discussion of transparency in posting BOC rep/coordinator position.
Field Reports:
Plagiarism – last October not one case of plagiarism. Discussions at training/meetings as to not share reports. Students can read it but they cannot have a copy of it. Failed report - cannot submit the same report. Student must go back to HU where they did practicum and pull another inspection and write new report. Discussion of BOC field reports and the review process using turnitin.com. Turnitin.com is used as an initial scan and once there is a hit they review the report section by section. If caught for plagiarism individual is stripped of all results and cannot sit for a year. Best way for HU to find out if student was a plagiarist they can request from student the letter as to why they failed. Letters that the board provides are very detailed.
More reports are being passed.
BOC stopped listing the names of individuals who are certified each year due to Freedom of Information Act.
Ministry Meeting:
Ministry meeting with T. Amafla – sustained funding so that more opportunities for HU to offer practicums for students.
BOC Exam:
Cutoff date for exam in April is March 15, 2015.
One day exam in October and it went well.
Schools:
Conestoga looking at getting accredited – how will this new school flood the market? Question from Cam. No application yet, not on board yet. School visit and review. If they do come on line they will give Ryerson a good run for their money.
Lake Superior State University – Michigan, USA just got approved for 2 year accreditation – want add to many new individuals, probably maximum of 10. Graduating from an American school.
Ryerson coming up for review in 2016 for the BOC.
BOC Board
BOC discussion on limiting the number of schools accredited.
Board looking at budget restrictions re: carpooling, restrictions on who can have a room.
Looking at emailing the results of the BOC examinations to the candidates and then certificate mailed at a later date. Hopefully will happen in April if not the definitely for October 2015. That way all candidates get results at the same time.
Results not known within 2 weeks because after orals results have to be shipped to BC within 48hrs. National board has a t/c to thoroughly go through everything – happens 1 month after exam date, then goes to office to ship everything out. -Financial review completed and clarification that they are non-profit organization. Opened up a separate bank account therefore not affiliated with any health unit. Two signing authorities (president and secretary). Updated corporation information.
-Fall conference in November in TO – MOHLTC, PHO, CIPHI update, guest speaker Linda Irvine (collaboration, coaching)
-Workshop – government is doing on bee population
-Legionella working group – guidelines coming out soon
-Water main disinfection procedures commenting

-Spring conference (May 3-4) in Alliston – registration form to come.

-Advised to get an HST number – financial review determined that they do not need that as they do not bring in enough money. Revenue and expenses are break-even.
Ryerson – Richard Meldrum
-Sit on senate, wealthy university lots of building
-Enrollment is expected to be up mainly due to provincial funding as it has dropped in the last few years.
-80 graduates (2 year and 4 year combined) 2/3 to 1/3 balance (fast track to 4 year, respectively)
-Projecting to have a new health science building by 2018 and dept/ school will move into that building (Church st)
-Updated PH program – working for last 3-4 years to update the program. University inspired initiative, make all programs 40 courses. Of those 10 must be electives and the 30 core courses. Working to consolidate the PH program into this 40 course design. New program not in place until September 2016.
Fundamental building blocks of the program will remain the same.
-Discussion regarding Professional Advisory Committee meeting with CIPHI and BOC to ensure new program direction still complies with BOC accreditation.
-New faculty will have to be a CIPHI member. Have about 50% at the moment.
-Want students to be more aware of what CIPHI is, who we are, what we do etc prior to graduation. Awards Night in November, Career Fair in February, Food Hygiene Course hour talk, CIPHI Meet n’ Greet. Introduce class to what to expect from program and what to expect from the profession.
-Relationship with CIPHI is greatly appreciated
MOHLTC – Elizabeth Choi
PHI Practicum Program
-Recently evaluated it to determine if it has increase access to practicum field training opportunities, ministry will continue to provide the 25 practicums. Up from 20 and funding has increase. Funding supported up to $10, 000
-Program based grant process, will accept request for 1-2 placements. Apply by February 27, 2015; confirm placements within 2 weeks of deadline. Instead of one-time funding process
-Is there a requirement that it goes to wages or can HU determine how to distribute it? Money can be for education cost, speaker, travel, mileage, wages – anything that is justifiable and pertains to practicum
-Question re: standardizing student PHI rate (e.g. attaching wage minimums to funding)? Concern was raised about the variability of student wages. Elizabeth Choi will bring it back to Tony Amafla but it hasn’t been discussed yet.
-There will be a report back process – financial report is required for any HU approved by funding
-Will there be a stipulation around new practicum or returning student? Evaluation in past revealed that majority of funded position were 2 year fast track or 4 year. Not sure if stipulation in that funding
-Any requirement to have a formalized practicum program, funding a practicum coordinator position? No actual requirements for funding, BOC guidelines that strongly encourage a coordinator
Ministry Strategy Session
-Availability of ongoing training for certified PHI
-Availability of quality practicum training to certify students

-Drafting outline to ensure thoughts and information gathered completely outline what was discussed

SDWS Systems Course
-Ministry working with Conestoga College to work on training program for PHI
-Piloted in Windsor at HU in late spring
-Working to develop course more widely
-2 day course and geared towards PHIs (in person)
-Ministry is undertaking review of SDWS operations manual
-Updated to align with changes made to drinking water protocol
-Review is nearly complete and update will be available soon.

-Dr. Mowat – working towards promoting PH standing alone. Looking at amalgamating smaller health units.
-Peter Donnelly – use the strength of different organizations to really work on supporting projects. Wants to see all organizations involved in working in PH working together and supporting each other
-OPHA Board - continuing to try and make connections with the ministry and how to support advocacy. Board meeting were updates on what they have been doing. Updates in minutes and on the website.
-Information will be put together for next meeting re: working group
PHO
-Follow-up on Occupational and Environmental health series (bi-weekly webinar) run 8am – 9am every second Thursday spring/fall/winter – can make it more available to PHIs. Topics go beyond ON in terms of level of interest so would be worth it to send to CIPHI National. Discussion re set-up the same infrastructure so PHI can get CPC credits for attending the webinar
-Manager position created within R. Copes team posted on March 9, 2015.
-Additions to the team that expand the type of expertise within R. Copes team (John and Tanya)
-Developing a number of fundamentals in environmental health most related to risk assessment, toxicology area. Developed a number of case studies to generify a number of questions that have come in from different health units. Approximately 10-12 documents developed. Would like to know if one target and if this is something that is of use to PHUs or if the focus needs to be changed. Request to have CIPHI ON review them.
-Looking for key topic areas for the future. Would like input from frontline workers prior to developing them. Has a brief list of proposed topics, would like a vote of high medium or low priority topics as well as list of topics that are not on the list.
-Continuing education for PHIs – what can PHO contribute to continuing education for PHIs
-PHO role in provincial conference – discussion regarding encouraging PHO to send something in when the call for abstracts in March 2015
-If PHO is working on topics or projects and if they feel CIPHI (ON) should be involved to let OBEC know
Alberta Health Services
-Demonstration of what CIPHI AB is doing with respect to the organization of their files. They use a google app to keep track and organize all their files. Use of Google/Gmail for non-profit organizations.

-Have two reps on CoPE from Ontario branch

-Way to promote membership – live streaming of conferences, webinars, free for them and have to be a member in order to see

-Networking opportunities – CIPHI night
-Social media – interested in using that as a way to get info out to them
-Save a spot for students in the curling and baseball tournament so they can participate
-Website – student tab or page with info that is more dedicated to them
-Entice students to get membership. If they get a membership you can get access to questions or study packages for certification
-Rehan and Norai have a list of individuals who will succeed them once they graduate. Current student union (SoPHe) is very active and engaged. Need to create a relationship with the student union that remains constant so there is engagement every year.
-R. McArthur met with Rehan (conference bursary winner) who had some ideas to engage students at Ryerson. Students don’t know what CIPHI is and he has some ideas to get them involved eg student liaison, adhoc member at Ryerson, Sudbury and Conestoga.
-Rachael is interested in designing a presentation format where PHI’s with expertise in related fields may be able to train or discuss with PHI’s via webinars. / Action Item (Feb 20): R. McArthur to follow-up with R. Meldrum regarding presenting in class about CIPHI ON.
