MyView Self-Service

Information for employees

Background to MyView

MyView Self Service is an online application which allows UCL employees to view their HR record. MyView can be accessed at employees must log on using the central UCL (IS) computer account.

MyView Self Service allows employees of UCL to:

  • View their payslips and P60s online
  • View their appraisal and probation history at UCL
  • Edit their own personal details using online forms. This includes contact details, emergency contacts, next of kin and bank account details. Access to view / change bank account details is not included as part of the standard set up for employees. If access to your bank details is required a change to profile request needs to be made to the HR Helpdesk
  • Allows an employee to submit an electronic request for leave directly to their manager for approval. This functionality is optional in some departments

Note:Staff’s bank account details and payslips are not visible to managers

Logging in to MyView

The MyView system is accessed through this link, using the central UCL (IS) computer account:

Please log into MyView by following the instructions below and check that the information displayed about you is correct and complete. If your contact details are not already on the system, please enter them yourself.

The first time you log into the system, you will need to input your National Insurance number and provide answers to five security questions. For any subsequent log ins you will randomly be asked the answer to one of these security questions.

Once you have logged in, the system is easy to navigate around. If you have any queries, you may find the answers in the MyView Employee Manual oramongst the MyView Frequently Asked Questions (FAQs); both of these can be accessed through the MyView front-page or through this link:

Payslips and P60s

UCL will be phasing out paper payslips in 2008 and switching to electronic payslips. You can access your electronic payslip (and P60) through MyView. You will be able to print or save your payslips/P60 from your computer. MyView allows you to view an archive of your UCL payslips, so you can easily recall for reference a payslip from any tax period in the archive.

Payslips printed from MyView look identical to the paper versions and will be accepted for administrative purposes by most major banks or building societies.Should you require a paper copy of an historical payslip, you can still obtain these from UCL Payroll and Pension Services. You will still receive a hard copy of your P60.

Bank Details

Access to view / change bank account details is not included as part of the standard set up for employees, however, you may have already opted for this access. If you require access to view and change your bank details, please make a request to the HR helpdesk, email: , telephone: 020 3108 3998 or 53998.

Sickness Absence

Sickness absence will be recorded via MyView and your sickness absence record will be visible through the ‘Planner’ screen in MyView.

Annual Leave

MyView has a module which allows employees to request annual leave online, and allows managers to authorise these requests online. This functionality is optional and will be adopted on a department by department basis. Your departmental administrator will confirm if you are to use this functionality.

Keeping your password safe

You should never disclose your central UCL or any other password to anyone else (this includes the answers to the series of five questions asked during the second level authentication in MyView Self Service). Your details are not safe if your password is disclosed to any other party.

If for any reason you think that your password has been compromised then change it immediately through the Information Systems web page which can be found at .

Some useful tips for your password

  • don't keep a record of your userid and password together
  • never give your password out to anyone else
  • if you have reason to believe that your account has been tampered with at any time, change your password immediately and let the Helpdesk know as soon as possible
  • Be careful when logging on in a ‘public' area. Someone may be looking over your shoulder!
  • Do not have your password on display
