MONTGOMERY COUNTY EMPLOYEES’ COMMITTEE

November 17, 2016 – Meeting Minutes

The meeting was called to order at 1:34 p.m. by Chairman, Lori Bass, in the County Judge’s Conference Room. Those in attendance were: Lori Bass (Engineers), Dana Cook (Tax Office), Nichole Cruz (Tax Office), Tiffany Gaunce (Permits), Charlotte Hatchley (Tax Office), Natalie Laurent (County Attorney), Patricia Moody (Tax Office), Mandy Pyle (Human Resources), Terri Strozier (Convention Ctr.), Patti Werner (Co. Judge) and Leslie Wright (Bldg. Maint.). Katy Miramon (Custodial) joined us via conference call.

MINUTES: Terri Strozier made a motion to approve the minutes of the October 20, 2016 meeting, Lori Bassseconded and all were in favor.

COMMITTEE REPORTS

Treasurer’s Report – Patti Werner presented the Treasurer’s Report with a beginning balance of $27,735.14 as of 11/17/16 with 2 deposits totaling $1,120 and 4 debits totaling $4,010.98 leaving a balance of $24,844.16 with $1,000 held in reserve for scholarships (Emily Dobbs $1,000) leaving an available balance of $23,844.16. Lori Bass made a motion to approve the treasurer’s report, Tiffany Gaunce seconded and all were in favor.

Employee of the Month – Katy gave an update via phone regarding the upcoming presentations to be presented at the Christmas Luncheon on December 6th. She will contact the Judge’s Office to see about doing the presentation for November and December at the November 22nd Commissioners Court Meeting so that the Employee of the Year award can be presented on Dec. 6th.

Secret Pal– Lori reported for Tracy Hutchison that all is going well.

OLD BUSINESS

Cup Fundraiser Update – Lori advised that all the ordered cups have been picked up, with the exception of one. She advised we have 6 cups left, 1 black, 1 red and 4 blue. The committee decided that if someone wanted to purchase a cup between now and our luncheon we’d only sell the blue ones. We will provide the black and red cup as door prizes at the Christmas luncheon and any remaining blue cups that haven’t sold. The committee decided to spruce them up with candy for the luncheon.

Boss of the Year – Katy is working on acquiring judges to judge and will order plaques, etc. for the December 6th presentation. She will send an invitation to the luncheon to all nominees’ advising them that they’d been nominated Boss of the Year and/or Department of the Year and that the winners will be announced at the Christmas Luncheon on December 6th.

NEW BUSINESS

County Christmas Luncheon, December 6th 11:30 am – 1:30 pm – Lori advised she’s sent the luncheon flyer out to all employee’s via email and has also emailed Department Heads regarding desserts & door prizes. She’s contacted Risk Management regarding getting the luncheon notices to the retirees, but they can only reach out to those who are on the medical plan. Lori reported that Spectrum Catering will be providing the meal and the cost is $5,461 (same meal & price as last year’s luncheon). For table decorations the committee decided to do the same as we did last year, poinsettias and wreaths. Lori has reached out to Home Depot for the Poinsettia’s and will follow up with them. Terri and Tiffany will work on the bags for the auction items and Terri will order flowers for Employee of the Year. Lori will pick-up dessert plates for the luncheon. Lori asked everyone to check with their Directors to see if they would be able to help with the morning set-up and/or the afternoon tear-down, times are 10 am – 3-3:30 pm.

Discuss Ordering Additional Cups as Extension of Fundraiser – Postponed to a later date.

Discuss Employee Questionnaire of Employee Committee –Mandy Pyle suggested a survey to employees asking them how we’re doing. Mandy will bring suggested questions for the questionnaire to the December meeting.

Christmas Luncheon Gift Idea –Lori advised that Katy Miramon wanted to know if we’d like to purchase big items such as TV’s, etc. for door prizes for the Christmas Luncheon. The committee decided against this.

Discuss Making Changes to By-Laws –Lori Bass suggested maybe we shouldn’t be carrying over funds in excess; she’s worried there’s some law that states we shouldn’t carry over as much as we are. There was some discussion about our expenses and how much it takes to operate and worry that we might have a bad year and this fluff money would get us through. Terri suggested Lori get with the County Attorney’s office to see how many fundraisers we can do a year and see if there is a law regarding carry-over funds into the next year’s budget.

Door Prize–Lori Bass was the winner of the door prize, which was provided by Terri Strozier.

Next Meeting – The next meeting of the Employees’ Committee will be Thursday, December 15, 2016 at 1:30 p.m. in the Commissioners Courtroom.

Lori Bass made a motion to adjourn the meeting, Tiffany Gaunce seconded and all were in favor. The meeting adjourned at 2:34 p.m.
