Monday, September 25, 2017 at Spitzer Art Center

Board members present were: Jen Tremblay, Barbara Gautcher, Sarah Lock, Malea Gascho, Aniko Safran, Adriana Hammond, Eileen Shifflet and Jewel Hertzler. Studio rental members attending were Erin Murray, Denise Allen and Rhett Miles.

Director / -Jen called the meeting to order at 6:05, at Spitzer Art Center
Minutes
Jewel Hertzler (Recording Secretary) / -The board members were sent electronic copies previously, and corrections made. Due to the length of the meeting, The minutes were distributed at the end of the meeting, and the board will vote to accept them at the October meeting.
Treasurer’s Report
Eileen Shifflet
(Treasurer) / -Eileen presented the Treasurer’s report: She reported it was a slow month, more salary was paid in July and none in August, due to the timing of the checks written. She explained how payroll taxes were taken out of salary. She said a very basic 990 reporting was all that was required to an inquiry by Erin. Jewel made a motion to accept the Treasurer’s report, Sarah made a motion to second, the motion passed unanimously.
Guest- Erin Murray / - Erin Murray, Studio renter, presented a list of concerns, which we discussed. Among those concerns were a perceived lack of transparency; including financial statements, monthly minutes, board positions and duties. (The board decided that a communications packet for members will be left in the office)
- She also was concerned about the pace of the work being done in the garage studio, installation of ceiling fans, and signage.
- She said the website and blog were not up to date.
- She brought up issues about coverage of Saturday hours, board members perceived perks, and ballot and nomination procedures.

Round table discussion / Jewel explained the Expense worksheet, including the expenses running the rental side of Spitzer, ($10,300-13,300 yearly) The projected yearly rental income scenarios, ($ 11,000-14,000) Estimated building expenses in the past 10 years ( $ 23,700) and projected expenses in the next 10 years ( $ 27,000-32,000)
- a round table discussion was held about the expense information, rental policies, renter responsibilities, contracts, and volunteering.

Aniko Safrin / Thank you to Aniko for volunteering for this duty. Aniko and Jen got together after the meeting to discuss responsibilities.

House & Grounds
Jen Tremblay / - Matt Carlson is mostly finished with the outdoor lighting by the parking lot. (3 lights on poles, wired into the garage circuit)
- -Jen is waiting on the 2nd electrical quote for working on electric in the garage, new electric box, and running a new line to the breaker box in the basement.
- 3 workdays scheduled: Sept 24th-indoor scraping the office ceiling, Oct 2, and Nov 11, outdoor workday
Education

Barb Gautcher / - We have classes/workshops this fall with 6 local artists; encaustic phototransfer, terrarium gardens, plein air painting, wired earrings, pinhole camera, Holiday wreaths. and one printmaking workshop with Mary Swezey from the Virginia Museum of Fine Arts.

Publicity
Jen Tremblay / -We are currently taking advantage of free advertising: facebook, website, First Fridays, I love my burg, arts council Frist Friday list, Artisan’s trail promotions.
-We are looking into costs associated with other advertising. (WMRA, Massanutten, Rack Cards)
-Adriana will be updating the blog. Her first featured artist is Pam Tittle.
-We discussed designing a new sign and lighting for the front, with a more professional appearance.
-Rack cards for Spitzer events and classes have been ordered, as well as business cards.
-Jen is working on the brochure and newsletter.
New Business / The organization is looking for a few good people with qualifications to work on committees with Graphic design, landscaping, events/shows, Education, hospitality and membership.
