Subject: Proposal and Questions/Responses for MCR 22

I have summarized the MOCC proposal for MCR 22 and the remaining questions as discussed on our December 2, MOCC Conference Call. Please review the proposal below and send me your comments. Also review the questions/responses below and send a reply to me prior to 5:00 p.m., Wednesday, December 8. Share this document with your module members and university personnel as appropriate. Call me if you have questions.

Thanks, Ranny

MOCC Proposal for MCR 22:

Currently some universities request that ESC, upon receipt of the common application, create only one APPN (one academic program) for a prospective student while other universities request that ESC enter from two to unlimited APPN screens (academic programs) for a prospective student. The MOCC compromise proposal is that the Admissions Application Import (AAI) process and the ESC manual recording process be limited to the creation of two APPN screens per student per university per initial application. (If the student lists one program – one APPN will be created; if the student lists two programs – two APPN screens will be created). It is important, for consistency purposes, that the ESC manual recording process and the AAI import process mirror each other since they both record data to Colleague based on information from the same common application format.

Questions for MCR 22:

1. If a student submits a subsequent common application, for the same term, for the same university, but the academic program(s) listed by the student is different, how should the AAI import and ESC process

the subsequent data received? (Select one of the following responses or list an alternative response for consideration).

a)The AAI import and ESC data entry will create one or two (depending upon how many the student lists) additional APPNs for the student. The university will receive a report noting the additional APPN entries made for the student.

b)The AAI import and the ESC processing will not take place – the subsequent application (for the same student, for the same term, for the same university) will be sent to the university for their resolution with the student.

2.When should the AAI and the ESC process applications for students who have been MTS (moved to student)? (Please note the questions and the recommended responses below and express your comments.)

a)If a common application is received from a student for the same university for the same term for which he/she has been MTS and the term has not yet begun, should another APPN be created?

Recommendation = Yes, if (a) is the preferred response to question 1 above.

Recommendation = No, if (b) is the preferred response to question 1 above.

b)If a common application is received from a student for the same university for the same term for which he/she has been MTS and the term has begun should another APPN be created?

Recommendation = No, a change in major should be processed on SPRO.

c)If a common application is received from a currently enrolled student for the same university for a different term should another APPN be created?

Recommendation = No a change in major should be processed on SPRO.

d)If a common application is received from a currently enrolled student for a different university than the one in which he/she is currently enrolled for a different term should another APPN be created?

Recommendation = Yes – This student is an Intra-University Transfer.
