Minutes of the Kilmeny Group Medical Practice Patient Participation Group

2Minutes of the Last Meeting
The minutes of the last meeting were agreed as a true record by those who had been present.
3Decide Purpose of Meeting and Produce Mission Statement
Karen said that she felt all correspondence should be forwarded directly to either herself or Kathrine Roberts and that the Agendas for the meetings should be arranged by them and everyone agreed that this would be the best way forward.
It was felt that it was unfortunate that a GP could not attend, but it was understood that this was a one off today.
The group queried whether the GPs could have a theme centred around the focus of the meetings. Possible themes for future meetings discussed were: no smoking, diabetes care, diet & nutrition and dementia. Merlin Top offer a community facility to encourage parents of pre-school age children to attend a drop in centre and it was felt that a meeting for Mums might be beneficial. John suggested following this up with an all male group for Dads as he felt that it was sometimes a little overwhelming for Dads to attend these meetings that are mostly aimed at Mums. Widows and widowers – it was felt that these people may be struggling with non-medical practical issues like changing phone supplier, what temperature your house should be kept at and be in need of general reassurance. Catherine explained that we have links with Age UK and said we could ask them if they would be willing to attend a group session.
Catherine offered to contact the PPGs at the other large surgeries.
The group agreed that the focus of these specific meetings should be focused on promoting self-care and prevention and to try to tackle social issues before they become health issues.
It was felt that the purpose of the PPG should be to give support and advice to patients.
The group held a discussion about the Mission Statement needing to be called something else and that it needed to be more punchy. Ed had sent an email that included a suggestion for the Mission Statement and the group all agreed that this was very good. Jane Fisher read out a Mission Statement that she had brought with her and it was agreed that parts of this were very good, but that it was too wordy. John offered to take the Mission Statements from both Jane Fisher and Ed Bury and condense them. It was asked that all members edit Ed’s Mission Statement and then email it to Karen Foulger and/or Kathrine Roberts with their ideas.
4 How to Promote the Group
Suggestions for this were:
- GPs to be aware of the PPG sessions so they can promote them to appropriate patients
- The Keighley News could be contacted to add in a piece
- The PPG Display Area can have all the details
- Local Parish Magazines
- Kathrine will put up a notice in the council office
- Flu clinics could be a good captive audience for ideas
- Mail shot to all patients on practice list
- Nurses to speak to patients regarding chronic disease specific meetings at their appt
- Maybe a handout giving information regarding the PPG with contact numbers
5Future Meeting Dates
It was agreed that the meetings should remain quarterly and the following dates were agreed:

6Care Quality Commission Visit to Airedale
This has started at Airedale today and there was a request from Jan Smithies to attend their Open Patient Forum meetings if at all possible.
7Airedale, Wharfedale and Craven PPG Meeting Report
Ed is the representative from Kilmeny.
Catherine has invited Pam, but she could not attend the last 2 meetings. Catherine will send her next year’s dates and ask if she can attend.
The meeting report highlighted the need for the PPGs to think of what PPGs want the CCGs to look at and the group decided this should be centred around supporting: older people, mental health, dementia and young parents.
8Any Other Business
Introductions to New Members
Introductions were made to Jane Fisher and Janet Ford the new members.
Agenda Items
It was agreed by the group that there should be a cut off date for agenda items being added to meetings.
Patient Questionnaire
Karen said that she would like to see the Patient Questionnaires prior to them being handed out and Catherine explained that the surgery has to include the questions that are included already in the questionnaire, but that we would be happy to add another one and the surgery would like PPG members to be involved with the results.
BP Monitor
It was suggested that the nurses could show patients how to use this at the flu clinics.
Appointment & Telephone Systems
One of the members said that a patient had called Kilmeny and told there were no appointments available and had then phoned Long Lee and was told that there were. The telephone system was explained that no matter which contact number the patients called, all receptionists at both Kilmeny and Long Lee were on a loop system and so the call was just put through to the next receptionist in line regardless of which surgery they are at.
Kathrine asked whether it would be worthwhile for the GPs to triage all calls an hour before surgery to assess their medical need as she had heard of other surgeries doing this and it cutting down on 140 patients needing appointments per week; this had been trialled down South and was not local. Catherine explained that we get monthly figures from Airedale and that Kilmeny’s appointments are not an issue currently; also, the PPG are not keen on this system locally.
It was asked whether it would be worthwhile upgraded the telephone system – Catherine explained that recording calls was expensive, but that the GPs will look in to this and report back.
Karen asked whether there was any need for the press 1 for emergencies option on the current system and Catherine explained that we did need to keep this in place.

It was suggested that having the GPs specialties with photos and dates of qualifying, etc on the website.
