Minutes of the Board Meeting April 2007

I. On line meeting April 16th thru 18th, 2007: the meeting was called to order and agenda was posted by President Jackie Penner on April 16th, 2007.

II. Present was Jackie Penner, Gwen Pentecost, Linda Walker, Joan Wright, Mary Ann Cherry, Kendra Page, Lynn Thomas, Margo Petterson, Pat Schemerhorn, Janice Muir, Kathy Cooper, Elin Pendleton and Dana Nash.

III. Treasurers Report: Our balance, today, considering all checks written even if not cleared,is $24,206.84. I have two checks to deposit (dues and FedEx reimbursement) totaling $117. The reduction in balance from last month is due to paying D&O insurance, bookkeeping, and some reimbursements. The receivables (late dues) are $640. At this point I doubt we'll be getting much of that, but I will wait for Linda or someone else to tell me to credit those invoices and remove the receivables.

IV. Approval of the minutes of the last meeting was moved by Gwen Pentecost and was seconded by Lynn Thomas.

  1. OLD BUSINESS:

A. Membership Structure—Margo Petterson & Lynn Thomas volunteered to work on this. Lynn is in the process of putting the structure together.

B. Discussion and voting took place on items that were carried over from last months meeting.

  1. The question of having Kendra Page bill the officers that do not have to pay dues failed.

VI. NEW BUSINESS:

A. The following were brought forward, discussed and voted upon:

  1. Would we like to see a Web Mistress chosen to oversee and coordinate the entire web based areas passed.
  2. Pay compensation for Helen Howerton when see is expected to be at shows passed.
  3. Should a Master Signature Member pay dues passed
  4. The Membership Chairman and Treasurer will have the authority to remove delinquent members passed.
  5. The cost of a show catalog for the Chicago Show will be researched by Kathy Cooper passed.
  6. Should we invite an artist of excellence and professionalism in as a Signature Member without jury failed.
  7. Moving Signature Member Betty Gates to Emeritus passed.

VII REPORTS

We are also looking into the San Antonio area for future show plans at the BriscoeMuseum. I will be meeting with the director early May to discuss our possibilities there.

a. Show Catalog Proposal

I would also like to propose looking into creating a printed show catalog. Mr. Hilligoss is strongly suggesting it as a sales tool, which will continue to have an effect after the show. They could be sold at the show for $25 each. It would consist of artists in the show that would like to participate in the catalog. I do not have any numbers to present with this proposal at this time.

As of this date I have sent out 67 show sponsorship requests via email or “snail mail” and have received 7 positive responses back.

d. Press Kit – Kathy Cooper / Anita Palmer

We have created the Press Kit for the Hilligoss Show. Anita Palmer edited the text submitted by members and I collected high res images to include on a CD with the text to send out to 12 national magazines to publicize the show.

The Press Kit included all the 07 promotional images, which were selected by the Board last month; show text, and 17 member profiles with their images.

f. Banquet – Debbie Hughbanks

Debbie is working with Tom Hilligoss on the banquet arrangements. There is not yet anything to report.

g. Advertisements – Kathy Cooper / Sandy Wisecup

I have created a new ad layout, which was approved by Sandy Wisecup. I have sent this ad template to Am Art Collector as well as Art of the West. In the bottom of the Art of the West Ad I included a note about our upcoming show.

h. Invited Artist Selection– Kathy Cooper

Nancy Guzik selected 5 of the invited artists: Sherrie McGraw, Rose Frantzen, Carol Guzman, Kathy Anderson, and Rosemary Ladd,

I have selected the following 5 of the invited artists: Sandy Scott, Karen Vance, Ann Hanson, Cheryl McClure, and Carolyn Anderson

Nancy Guzik will also participate with one or two paintings

These artists names and links to website are on the homepage of WAOW site.

Most of these artists are expected to attend the opening weekend

i Cafe– Gwen Pentecost

Gwen has set up the Hilligoss show and it is ready to accept entries (announced very soon to members).

We are seeking a volunteer to collect bio/statements and high res images for the show – to be used for a show binder, and/or catalog. We would like to begin collecting this information as soon as possible. This material can also be used for the miniature show.

k. Update

as of 4/16/07 after speaking to Tom Hilligoss’s daughter last week, there's a slight chance the Chicago show will be moved to the downtown location due to construction. They do expect the construction to be completed in plenty time for our show, but she said, "You know how construction goes." A move wouldn't be terrible. Until we know for sure, I don't think we should have the postcards printed. I asked them to give me a definite answer by end of May (first of June). I have begun the postcard design and it does have all the first place promo images and Nancy's painting - just as the web page has.

2. Rodeo Show –

Amy We are still looking at venues. I have had difficulty getting together with Sammi, the contact at the Pro Rodeo Hall of Fame in Colorado Springs. I had an appointment with her last week and she cancelled at the last minute. I hope to speak with her by the end of this week to see a contract and get some logistical questions answered. In the meantime Kathryn McMahon is contacting the Sangre de Christo Art Museum in Pueblo, CO as another possibility. Our other venue possibilities have not worked out..

3. 2007 Miniature Show Report

“Small Treasures from Women Artists of The West”

We are very excited to bring you this “small event” of the year at Joyous Lake Gallery.

This show is for small works of 2D and 3 D.

Show proposal was approved by the board in the last meeting.

Prospectus is being updated and reviewed. We expect to release it this month.

We would like to place this show online, but are in need of a webmaster to do this task, as the current volunteers are maxed out (same for the Hilligoss show).

C. Publicity:

I am in contact with Tom and we are working a few things out for theLong Grove two week show. Michelle and I will be visiting him on some consecutive weekends. We will be doing some promos on television for the show. We will contact you when the image must be put up for the CAC online show. as you or Kathy has the image and it will be simple for you to do.I work closely with the Coalition and their board and they surely will do us some favors. The Coalition is stillin April, so we have some time yet. They can't do a feature until we have some postcards or promo images of the work that will either be featured on the card or are we featuring Nancy Guzik? Dana Nash

Kathryn McMahon agreed to be the Nominating Committee Chair and Elin Pendleton has agreed to help.

E. Membership: Dana Nash has offered to help Linda Walker with membership.
