MINUTES OF THE ANNUAL GENERAL BODY MEETING OF PARENT-TEACHERS ASSOCIATION HELD ON 01.12.2016 AT DULIAJAN CLUB AUDITORIUM AT 04.30 PM

The Annual General Body Meeting (AGM) of Parent-Teachers Association (PTA) was held on 01st December, 2016 at Duliajan Club Auditorium. Shri J Chetia, Hony. President of PTA declared the meeting open and welcomed all the parents, Principal i/c – DPS, Teachers & Faculties of DPS, and all the executive body members of PTA. He further requested the parents and teachers to stick to the point which will basically benefit the school and expected a fruitful discussion during the meeting.

President requested Shri Alakesh Borah, Hony. Jt. Secretary, PTA to read out the minutes of Annual General Body Meeting of PTA held on 15.05.2014.

President thanked Shri Borah and requested deliberation on the recorded minutes. As there was no deliberation the minute was adopted which is proposed by Shri Arup Jyoti Sarmah and seconded by Shri Biswajit Bordoloi.

Moving to the next agenda, President requested Shri Nabajit Bhattacharyya, Hony. General Secretary, PTA to read out the Secretary’s report.

Moving to the next agenda, Discussion on above.

Shri Dipangkar Malla Baruah, parent, viewed that why only one Aman Saikia, there should be more Amans. He further informed that though many students appear in various Olympiads, all fail to excel. The teaching faculty should guide on the same so that more students came with flying colours.

Hony. President thanked Shri Baruah for his suggestion and his points were noted and will be taken care of. He requested the Principal i/c and Teaching fraternity to take care of the issue.

Shri Dilip Bhuyan, parent, pointed out that the status of any job should be clearly mentioned, such as the 25 nos. of CCTV camera’s status is showed as sanctioned, but in reality it is in the procurement process. He further suggested that the students showing good performance in National level games, exams, should also be rewarded from PTA behalf.

Hony. President thanked Shri Bhuyan for his suggestions and informed that the second point has already been taken care of by providing kits during last national level TT championship.

Moving to next point of the agenda, Hony. President announced the name of the new office bearers for the tenure 2016-2018 and members were introduced to the august house. He extended best wishes to the new committee and assured full help and support from the outgoing committee.

Moving to the next point in the agenda, any other points,

Hony. President requested the parents and teachers their views and queries. He further requested that the queries should be overall benefit of the school.

As an encouragement, the PTA Body presented a memento to Master Aman Saikia for his excellent achievements.

Shri Rituparna Sharma, parent, showed his concern about the less attendance of parents during the AGM. He suggested that the primary aims and objectives of PTA, which are highlightedin secretaries’ report, should be restricted to two points viz.
i) To act as an interface between the parents and school administration,
ii)To enhance co-operation between parents and teachers for improving the quality of education in the school

and added that the rest will be taken care of by the School Management Committee.
He requested the teaching fraternity of the school to make the subjects, such as Mathematics and Science more interesting so that these hard subjects become more interesting. He further requested for guiding the students before any competitive examination about the way of preparation for the same. He also viewed that the Principal i/c’s report should be circulated in advance and the same should also include various genuine problems faced by the school during discharging their duties. He also suggested the Secretary to provide the agenda of the meeting beforehand. Finally he thanked all the faculties of the DPS for taking care of the children. He viewed that the student’s fundamentals should be strengthened to face the future challenges.

Hony. President, thanked Shri Sarma for his valuable suggestions. He clarified that the PTA is working after the small emergency issues regarding overall development of the school, becauseif we go through proper channel the things take lots of time to be completed. He requested Principal i/c, DPS to clarify on the other issues.

Principal i/c thanked Shri Sharma for his valuable suggestions. She informed that with regard to the Mathematics, students are regularly taken to Math Lab, but the same facility is given to the student beyond class VI. As per the directives of the DPSS, certain changes in the syllabus of the primary levels are also done as well. With regard to external examination, students are guided accordingly. Principal i/c further informed that the teachers stay back and guide the students after the school hours, and if any student requires more clarification can meet our teachers any time.

Shri SK Bora, Teacher gave a brief clarification on the way of teaching Mathematics and various ways and means of selecting the appropriate books which are activity based. Proper care is taken during the selection of books.

Shri Arup Jyoti Sarma viewed that as the Class IX exam answer notebooks are not allowed to take home, there is a difficulty in finding out the drawback of the students. He suggested that the school should inform about the drawbacks of the students. He viewed about proper illumination of the school campus both the roads and school campus. He also added that the desk and benches needs to be checked. He suggested that the PTA class representative’s phone number and email id should be provided to all the parents to inform about any problem directly to the representative, so that the matter can be taken care of.

Hony. President requested Principal i/c to clarify the point raised by Shri Sarma.

Principal i/c informed that from this year the answer scripts are made available for verification during the result day and if we go through the same we can find out the weakness of the students. Regarding the height of desk and benches, this varies on the heights of the students, but assured that the same willbe taken care. On the issue of proper illumination, she informed that the outside and street illumination is done automatically through timer and the raised problems are seen during the winter season due to early sunset but she informed that campus is proper illuminated.

Hony. President informed Principal i/c to take up the matter with Electrical department for setting the timer early during the winter seasons.

Shri Rupjyoti Bordoloi viewed that every target should be provided with an EDC. He informed that the minutes of the meeting of Parent Teacher interactions are not circulated and even not provided to the PTA members. He stressed on the timeline of accomplishing various tasks.

Hony. President thanked Bordoloi for raising some valid points. Regarding EDC, the PTA has to depend on the OIL Management for completing any task and therefore, it is not possible to give EDC for any job. Regarding the issue of MoM, he requested Principal i/c, DPS to clarify.

Principal i/c, DPS informed that the minutes of various PTA meeting are available with the school and the same were referred during the next course of meetings.

Shri Dilip Kumar Das, parent, suggested that the counseling of students should be conducted from Class VIII onwards. He further requested to finish the course well ahead so that the students of Class XII and X get enough time to revise the same several time. He also requested that the class representative meeting should be held frequently to sort out the problems.

Hony. President thanked Shri Das for the good suggestions.

Principal i/c, DPS gave a clarification on the completion of the syllabus well ahead and structured way of completing the same for various classes.

Ms Benita Deka Borah, parent, appreciated about a class teacher, Ms Chandrika Karmakar for her wonderful technique of imparting teaching which helped her child’s overall development, including motor development. She further suggestion that few parents hesitate to speak in the forum, so there should be certain suggestion forms which can be dropped well ahead the AGM.

Principal i/c, DPS thanked Ms Bora for appreciating the teaching fraternity of the school. She further added that the feedback issue was also discussed during various forums and the school has provided suggestion box at the entrance gate and whatever suggestions provided will be taken care of. She further assured that anonymous letters are also welcomed, but she requested that at least grievances should indicate the class name so that proper care can be taken. She also requested the parents to send their suggestions and grievances in the email address of the Principal i/c.

Shri C K Dahal, Teacher, thanked all the enterprising parents who are interested towards the progress of the child, which is a great motivational factor for the teaching fraternity for development. He requested the parents to visit school after the school hours between 1:00 PM to 2:00 PMfor any problem without any hesitation, and also assured that utmost care to be taken to sort the problems and development of the child.

Moving to the next point in agenda, President’s remarks

Shri Jaganath Chetia, Hony. President, PTA, welcomed all to the AGM and informed that more participation from parents on various issues. He congratulated all the stakeholders of the school. He viewed that the brand name and the quality of the school should maintained, and wholehearted effort is required. He viewed that the hike in the tuition fees is inevitable as per the Govt. guidelines. He informed that the hike increment will be same for the OIL and non-employee students. He further added that PTA with logic and reasoning can request the OIL management for finding out some solution. He further viewed that the teachers are the engine and they have to be tuned up with the present environment. He thanked the teaching fraternity for their wholehearted efforts to shape the children. He also mentioned about the sacrifice made by the teachers and intended to stay in this corner of the State and impart teaching at DPS, Duliajan. Finally he thanked all the teachers and parents for the support and suggestion during the last tenures.
