Minutes of PMHS Athletic Booster Club

Call to order:

The General Booster Club meeting of the Pedro Menendez High School Athletic Booster Club was held at the PMHS Media Center on August 14, 2017. The meeting was called to order at 6:08 p.m. by Roger Williams.

President’s Comments:

  • Emphasized importance of representation for all sports to be here for monthly meetings. We need coach input to help with planning and support. Coaches received copies of financials – if didn’t get one let know. Coaches need to review to make sure funds are going to the right place.
  • We have a new Board of Officers.
  • 2017-2018 activities calendar has been started and will be posted on website

Booster Information:

  • Events coming up in the near future
  • Fall golf tournament in October. We need to start planning and need volunteers.
  • Falcon fence pictures prior to each season. Fall sports season has already started.
  • Coach Sapp paid for senior pictures in the past. $10 cost to do board. Seniors are free and all others are $25.
  • Roger has Falcon fence picture forms
  • Anyone willing to help please let Roger know.
  • Need to put together Sponsor Recognition Night. Possibly the PV home game on September 22nd? Sponsors come for free and be recognized. If 22nd doesn’t work we need to schedule it for another home game. Sponsor night needs to include a thank you letter and invitation.
  • Some sponsors haven’t re-upped from last year. We need to work lists. Football season is not the only time. We have 3 different seasons.
  • Winter Sports start in November – Need new Falcon fence pictures
  • Spring Sports start in February
  • Gala November 4th? Will be at Armory downtown on San Marco
  • 5K Run for ReAnna
  • Money goes primarily to scholarships with a little going to the Booster Club
  • Last year gave three $1,000 scholarships with about $1500 going to Booster Club
  • We have been approached by the Betty Griffin House to combine their run with our run next year and been in discussion meetings with them
  • Change the date of the run to April 14th – There is a concern about the date change because we are giving up our date, but our date is already in conflict with another run.
  • Will be at pier in St. Augustine Beach instead of the Shores
  • We averaged 300 runners last year and they averaged 400-450 to combine runs expecting 1,000 runners
  • Expenses shared 50/50
  • Runners split 50/50
  • They have a higher sponsorship level and we are going to match their levels
  • What we get from our sponsors goes directly to us and what they get from their sponsors goes directly to them.
  • Only have 1 or 2 sponsors that overlap
  • We only have 47 people that run in both runs from previous years
  • We would continue to promote run from our side with funds we get.
  • We are trying to come up with a title that includes Run for ReAnna. The name of their run is the Run for Peace
  • Discussions of T-shirt with our run title on one sleeve and their run title on the other sleeve. Something generic on the front of the shirt that ties the two together, and all the sponsors on the back of the shirt.
  • Their Board votes end of August if they want to combine
  • Our Board needs to decide if we want to move forward with DISCUSSIONS, no commitment.
  • Motion was approved by Board that we will move forward with discussions and no commitment. Only to explore options.
  • If we decide to move forward we will need more details and to sign a contract with Betty Griffin House
  • Lead person for us will be Ralph Klein
  • Spring golf tournament in May
  • Sponsorship program still open. Roger is working with Dez to pull down old signs.
  • Signs on football field new more durable material
  • Sponsorship signs in gym remain same.
  • Softball scoreboard fixed
  • Spirit Wear
  • Table at football games and we need volunteers
  • We need to try to look at special nights to support basketball games with spirit wear like St. Augustine game.
  • Anyone interested in coordinating spirit wear schedule?
  • We need someone to take Spirit Wear program on
  • Discussed clearancing out old spirit wear
  • DezDeFalco will be Facebook Manager
  • Facebook is our primary means of getting stuff out to promote
  • Dez will try to go to games and take pictures to put on Facebook and give to Jane to put on the website.
  • Jane Rubright in charge of website
  • had some bounce backs and Roger will look into that.
  • Hurricane Wings and Grill has sponsored hamburgers and hotdogs for football, baseball, and softball in the past
  • Roger will check to see if they will continue this year.
  • We are missing food for players of October 27th Orange Park game.
  • Need someone to give us a deal on food to feed 70. Waters good too
  • We have a mom that has volunteered to pick up every meal for every away game.
  • Need concession volunteers. Email for concessions is . There is a sign up genius link to sign up to work concessions. Only one parent volunteered so far.
  • We are looking at getting a new mascot costume because the old one smells.
  • Needs to look like Falcon and be breathable
  • We are going to keep looking because current one in discussion resembles a chicken.

  • Coach Turner new Athletic Director replacing Coach Sapp who moved to another job in the district
  • Coaches – Make sure to have parent meetings and to get parents involved.

  • New Girls Golf Coach Miss Seiwart
  • Currently interviewing new Baseball Coach
  • September 15th Future Falcon Night. If wear jersey get in free to game
  • JV vs Palatka fundraiser on September 28th will be a fall BBQ
  • We need visibility. Talisha volunteered to take on designating various sponsor nights we need to promote.

Coach Updates

  • Boys Golf- Jason Duff has a verbal commitment for a scholarship to UNF. Jason is a sophomore
