Minutes of Listening Group Meeting on Friday 18th March 2016

- Matters arising from the last meeting - Elly
Cfep questionnaire results –Discussion was held regarding the results, some good positives and a few negatives that need addressing as a practice we are going to discuss on our staff training – Wednesday 27th April.
Charity Work – upcoming events and plan for this year. Two fundraising events completed, one in-house game guessing the weight of Emily’s baby and the other event – easter egg raffle. All proceeds from the raffle will go to Seaton memory café, at the end of the year the surgery will provide them with a cheque for total amount raised over the year.
EDDC – signs have gone up in the car-park in Beer for the reserved parking spaces throughout the summer period. There are two spaces reserved, one for the doctor and the other for reception. The spaces are reserved between 2-3pm this then permits the surgery staff to park there during that time, the short stay permits then allows for the remaining time. This does mean patients will still have to find a car-parking space and as it is a council car-park charges will apply. This will be monitored over the summer. Elly Potter asked Norah Jaggers to pass on our thanks to the Parish Council.
- Staff Updates - Elly
-Julia Bessant has joined the administration team on a part-time basis; she has NHS experience at another practice. She will be responsible for new patient registrations; summarising new patient’s notes; deductions and reception cover where needed. Official start date is 14th March 2016.
-Kath – Facebook figures purely for information only, posted about Kath’s retirement on Friday afternoon by Monday morning the post had reached over 2700 people.
-New ENT secretary Yasmin Carter – this post has been filled by a member of staff internally. The contract has been extended for another 12 months, thereafter there is a potential for the contract to be extended for a further 3-5 years. The role of the secretary is to organise clinics, type up letters etc, book rooms and nurses, collating for 92 referring practices. The remaining 18 hours Yas will be PA to Elly.
- Patient Participation Group Terms of Reference – All
Changes have been made in line with appointing the new chair – Jon Dove. This was added to the agenda of the meeting following discussions about Seaton & Colyton’s PPG minutes. As a group, the decision to publish the minutes on the website was agreed, unless there was a vote during the meeting to withhold any confidential information. Elly to update Seaton & Colyton of the change.
- Online Services – Elly
Currently we offer online services that enable patients to book / cancel appointments and order repeat medication. As of 31 March 2016 practices are obliged to offer access to patient’s detailed coded record. It is down to the patients usual GP to approve their access, when agreed Elly will then review the record to ensure any potential harmful entries are blocked from online viewing. The forms have been updated to include the different levels of access and patients completing forms for either level must now provide proof of ID before their registration is accepted. The practice has 28 days from receiving the form to granting patients access to the detailed coded record.
- Public Health Services – Elly
As of 1st April 2016 there are some changes to the following services we offer, services were previously run by Devon County Council they will now be run by Torbay County Council, these services include: carers, dementia checks, stop smoking service and weightloss.
As a practice we have applied for all public health services.
Health care checks for 40-75 year olds with no chronic diseases, as of 31 March this services is to be withdrawn. We have been offering these checks to eligible patients for the last two years; however Alice Lamb – health care assistant who was originally employed to offer these checks is now taking on alternative duties such as bloods, INR* etc alongside our other health care assistants.
- Beer Telephone number – Elly
The CCG are no longer funding this service, therefore the practice has had to put alternative measures in place. Currently all 01297 628528 calls are being re-directed to Seaton. With the new measures in place there will no longer be a separate telephone number for the Beer surgery, patients will just phone 01297 20616.

- Suggestions- All
Buy a radio license – we already hold the license but majority of patients prefer light background music rather than a radio station.
Move water dispenser to bigger waiting room – would therefore need two, plus machine requires electricity. To stay in reception
It was agreed Michaela would go over the suggestions and create a factsheet for patients.
- AOB:
Grant’s Memorial - in conjunction with Exeter University we are creating an annual award for students; they will have to write a paper around dermatology which will then be judged and the award given. It will be a 10 year project with a book token as prize - the prize is nominal, it’s getting their name in print and winning the award. Elly and Michaela will shortly be doing some posters and advertising on website & Facebook.
Dementia Action Alliance – Roger met with MP Dawn Squire who is keen to take on the project, she also works in a care home. Devon senior voices are also keen to get involved. Unsure where Seaton & Colyton are, Elly to check with them.
Medicines Optimisation – leaflet to go on reception and in the lobby.
It was agreed a list of acronyms for new PPG members would be a good idea – Michaela to create.
Closer links with CCG – locality forums, links with PPG’s next meeting 16th May at 2pm.
