Minutes of Invicta East Kent Athletic Club Management Committee Meeting 13th January 2016

  1. Canterbury 10 mile

The primary focus of this MANCOM was on finalizing the arrangements for the club’s Canterbury 10 mile race, the primary fundraiser for the year, to be held on January 24th.

The route was discussed. Ralph is to visit Mount Farm Office. There will be a complete road closure with diversion signs. Steve is to collect the signs on Friday. Rex and Ralph will put up the signage and mile markers on Saturday afternoon and put the water bottles at the finish line at Barton Court. Ralph is to collect the truck. Steve will provide yellow paper and cable ties to put up arrow directions for cars coming into Canterbury. The course has been officially measured and Steve is waiting for the course certificate.

The logistics of the set-up were discussed. Ralph will also provide the food (60xrolls, crisps, chocolates, teas and coffees). Michael and Sarah will arrange the float. Peter is to contact the KM. Jodie Hannigan is the photographer and Glen has asked her if she can also take some promo shots for the club for next year’s event. Steve reported that all the plans were on schedule and the medals and prizes were sorted out. Running Imp Trophies have provided the trophies which are very good.

Steve suggested that including a Children’s race in next year’s Canterbury 10 around Barton Court Field would result in more volunteers.

  1. Matters arising from the minutes

Issues regarding the poor maintenance of the track are still in discussion and ongoing.

The proposed electronic timing. Peter expressed concern that the project for installing electronic timing is in danger of not being far enough advanced in progress to be in place this summer and needs pursuing urgently. If it is not installed we will have the same problem with the club opens as last year.

Action: Ralph to follow up about the grant and to talk to HS Sports

  1. Secretary’s report

New member enquiries:

Claire Mcalpine – 12 year old daughter, Richard Stead, 6 year old son of Marika Langlois (former invicta middle/long distance runner) starting in April when he is 7 years old

Other enquiries:

Son of Rob Stonier asked how to enter son in National XC Championships on 27th Feb as has been asked by school to enter him ? (Peter )

Problems encountered by Rachael Hook when trying to pay online for the Canterbury 10 (Steve/Michael)

AOB:

Abel Tsegay has been deselected for 2016 CAU Inter-Counties as he needs to be under 20 for whole of 2016 under European rules

The following athletes finished in the top 20 at Kent XC Championships (Brands Hatch) and they all qualify to go onto the list of candidates to represent Kent at Birmingham in March but have been uncontactable Peter and Ralph asked to chase: Emily Heasman IEK Eleanor Laffey IEK Jamie Carley IEK . Action complete.

Michael and Helena Millard have been entered as club entries for the Brighton Marathon

Kyla is in the process of registering for the club entry to the London Marathon

2015/2016 SEAA Affiliation Fee to be completed urgently before Cross Country Championships on 30th January (Laura/Michael)

Kent Fire and Rescue Service have asked the club to promote their new Road Safety Centre to 14-25 year old athletes. They can organize visits or they can come and do a talk to the club

Jamie Russell who works for regional websites and newstitles has offered to help promote the Canterbury 10. Steve has looked into this but he is too expensive.

Faversham Community Magazine has offered to promote IEKA in their magazine (text and photos). Action: Laura to contact

Alice and Esther have started their 3 month stint as helpers to Laura for the U11s

Despite our u11s team having to pull out of the Kent County Sportshall event at Ashford on 6th December, Nicole Reichhelm has been selected as part of the Kent team for the Regional Sportshall Finals on 24th February, based on her performance in the decathlon event. This is the first time in recent years that our club will be represented at the final.

  1. Treasurer’s report

The trustees report is complete but otherwise a full treasurers report will be presented at the next MANCOM as the meeting ran out of time.

  1. Membership Secretary’s report

11 new members were proposed and 10 Friends of Invicta were proposed for election. Rex proposed and Ralph seconded the acceptance of new members.

Kent Young Athletes League is happy to continue with Medway Phoenix. A team Manager is needed. Rachael Harding was proposed. Action: Sarah will speak to Rachael.

Action: Michael is to ring Paul Higham to discuss the Youth Development League

Peter reported that IEKA is no longer in the joint Southern Men and Women’s League for the first time ever.

Steve mentioned the need for pop up tents for the club.
