Minutes Of 88th Annual General Meeting of Durban Golf Club held on 26th March 2017 at 08:10 am at the Clubhouse, PapwaSewgolum Golf Course.

Attendance:

As per attendance register.

Mr. Kevin Dorasamy confirmed the quorum and declared the meeting open. He welcomed all and expressed his gratitude for their presence.

Notice of Meeting.

The notice was circulated to the entire membership and taken as read. There were no additions to the minutes.

Confirmation of Minutes.

The minutes were moved for adoption by P. Popat and seconded by Siva Pillay.

Committee Report

The report was read by the secretary. Copy of the report is attached to the minutes as annexure one.

In future, the committee report shall be emailed to all.

Treasurer’s Report

The Audited Financial Statement by Logie Govender and Co., was given to all members present. Pradip Popat, the Treasurer explained the salient points to membership.

The Bar sales increased because of the sale of snacks and food. Durban Golf Club paid the loan owing to the Trust.

The following were discussed:

  1. Plant and machinery reflected as R 110 000.00. These items are reflected on Durban Golf Club Books and have being accumulated over the past few years.
  2. Babs Govender suggested that the profit made be shared by membership by subsidising the cost of sale of bar items to members only. Unfortunately, implementing this suggestion will be a logistic nightmare.
  3. In 2016 Durban Golf Club changed to a Non Profit Organisation (NPO). Therefore, all gains must be used to promote the game of golf.

The financials were moved for adoption by Mr Rajaruthnam and seconded by Rajen Reddy.

Amendment to Constitution.

Mr Siva Pillay’s proposed amendment was read. Mr Siva Pillay explained the amendment and the positive impact it will have. A discussion ensued on how to determine and or differentiate between a major offence and a minor offence. Ultimately, it decided that the TDC made up of three members shall make the decision. The maximum term of sanction drew discussion and finally the house agreed to leave it as recoded in the constitution. The amendment was moved by Siva Pillay and seconded by Mr Rajaruthnam. There were no further objection and the Amendment was accepted.

Election of Office Bearers.

The Outgoing President expressed his thanks to:

  1. The Committee for the support and for the sterling work they did in 2016.
  2. Deena Pillay for this cooperation and dedication to his job.
  3. MANCO – the outstanding job done to the course.
  4. TRUST – prudent money management.
  5. Sponsors – Your generosity is appreciated.

Kevin Dorasamy also touched on the following:-

  1. Renovations to Club – Tiling has been done. There are plans to change the wooden folding door to aluminium and re upholster the chairs and replace the furniture in the club house.
  2. Next year – start planning for the 90th Year celebration of Durban Golf Club. Ronnie Chetty shall head this Committee and shall endeavour to obtain sponsorship for this major and colourful event.
  3. Babs Govender has been appointed our Youth Golf Coach. The numbers have increased from two to twenty three. He has obtained enthusiastic youngsters from neighbouring schools.
  4. Thanked membership for sponsoring their old clubs to the Junior Development programme. These clubs shall be adjusted to suit the juniors.
  5. The TRUST and MANCO have very Senior members. They have requested that younger members come on board so that they can be groomed accordingly and eventually take over when they retire. This is essential for continuity of the Committees.
  6. Easter tournament – Call for sponsorship.
  7. He thanked the membership for their cooperation and support during his term of office.

The Secretary read the nomination. Kevin Dorasamy’s name was proposed by Sanil Rampersad and seconded by Pradip Popat. Kevin Dorasamy accepted the nomination. He requested that he be given the privilege to choosing his committee. The House agreed.

Honorary Life Membership.

The Committee received letters proposing the name of Mr Yacoob Goga for Honorary Life Member. The committee confirmed that Yacoob Goga does qualify. Mr Kevin Dorasamy moved for the acceptance and Babs Govender seconded. There were no objection and the house unanimously agreed.

Annual subscription Review.

This topic was vigorously debated and ultimately agreed that the increase for the New Year shall be 5%. This increase is below inflation. The Committee was advised to consider inflation related increases in future.

Durban Golf Club Golf Development NPC

Aslam Peer informed the house of the following:-

  1. All three entities have audited Financials. These financials are available to membership.
  2. They maintain the golf Course and pay all related bills.
  3. They receive a subsidy from the Ethekwini Municipality. Money is almost always received late.
  4. They are motivating for a longer lease so that they can invest in plant and machinery. At the moment MANCO has a three year lease. This is grossly inadequate for capital expenditure.
  5. They receive about R 275 000.00 per month
  6. They are in discussion with the Municipality pertaining to the cafeteria. The Cafeteria does not meet the standard Health and Safety Requirements.
  7. They are also in discussion with Jeevan Kara Tennis Group to build a sport centre for the benefit of the local community.
  8. Need for younger members on the committee. Succession Plan.

Durban Golf Club Trust

Summary:

  1. Current Assets R 3 200 000.00
  2. Cash R 1 300 000.00
  3. Money must be wisely spent so as to ensure that the Club does not experience financial difficulty in future.
  4. Mr Sanil Rampersad, by virtue of his position as Vice President of Durban Golf Club was appointed as a Trustee of the Durban Golf Club Trust.
  5. Also discussed succession plan.

General

The President appealed to membership to write or chat with members of the Committee if they are experiencing any difficulty in paying their subscription. The Committee can agree to special arrangements for payment. Our intention is to retain membership and endeavour to provide a unique golf experience to membership.
