ACTS Core Team
Minutes for July 7, 2014 Meeting
The St. Simon ACTS Core team met at 6:30pm in the LCH. Members present were: Robyn Hoffmann, Vanessa Ferguson, Jim Gleason, Steve Brokaw, Marla Wokurka, Val Keppler, Lenny Meyer, Mary Karen Willick, Mark Prange, Leigh Dohack, and John Quante. Not present was John Ferretti. Also attending was Angel Camden, director of the next women’s retreat.
Steve acted in the role of facilitator. We began the meeting with a prayer.
The minutes for the June 9, 2014 meeting were reviewed and approved as submitted.
Upcoming Women’s Retreat – A number of support issues were discussed. Marla has the prayer, support, and team/retreatants online boards ready. Some bins have been examined, but Angel said her team will handle this. Mark has music arranged, Fergusons at sendoff and Mariano and the Candlelight Band on Sat. Mary Burke is handling sendoff (help from Tammy Hampton). Leigh and Tammy are getting food for agape. Marla, Robyn, and Vanessa will monitor food assignments for the return luncheon. Steve will coordinate candlelight. Tracy Brokaw and Jerry Willick are MCs.
Angel presented several questions and observations which the team addressed and noted. This included: medical issues, use best judgment as to whether an emergency; need for a master repository for all scripts, electronic and paper; need to update ACTS records; the dropbox needs to be reorganized; and several issues relating to the facilities at Mercy.
Jim suggested that we include the Thursday meals in the next Mercy contract (at least both for the men’s team, as women often eat later with the retreatants). In any case, ACTS will provide the meals instead of making this a donation. Marla will remove this from the support board.
The new team members were welcomed at the beginning of the meeting, and assigned to roles. Vanessa Ferguson is the Co-Facilitator and Robyn Hoffmann is the Social and Fundraising Coord. Other than the changes made last month, no other changes were made to the role assignments.
Marla will send another reminder for signups for the upcoming Rummage Rampage sale. Robyn will review this, talk with Peggy, and contact us for any help that is needed.
Updates:
Marla – Communications – Communications is going well, nothing to report. Leigh will handle the email account while Marla is on vacation next week.
Lenny – Financial – Total of $13,678.99 on hand. This includes retreat fees collected for the upcoming men’s retreat but not yet paid to Mercy, which is about $9,000. Some money for the women’s retreat may be included in this total.
Leigh/John F. – Retreat Support – Women’s retreat covered above, nothing else to report.
Val/John Q. – Retreat Supply – Supplies are here for women’s retreat, nothing else to report.
Mary Karen/Jim – Spiritual – Mary explained that we will work on forming more small groups after women’s retreat. No date yet for the next parish Day of Reflection (sponsored by the ACTS community). Looking for a possible outside speaker for this. Marian consecration program starting this fall, to end on Dec. 8 Immaculate Conception feast day.
Robyn – Social/Fundraising – Rummage sale discussed above. ACTS Bingo will be the Wednesday before Thanksgiving again, and we will need volunteers.
Mark – Music –All music has been arranged for the women’s retreat (sendoff, candlelight, and return Mass). Nothing else to report.
Other Business:
Jim is planning the ACTS Pool Party at his house on August 24. More to come when this date is final.
The team discussed the retreat dates for 2015 (April 9-12 and May 28-31) and whether or not the women should go first this time. Need to decide this at the next meeting.
The team also discussed the possible dates for 2017 and agreed to investigate potential conflicts. These dates are: 6/29-7/2, 7/6-9, 8/3-6, 8/10-13, 8/17-20. 8/24-27 was ruled out due to the start of school. A decision should be made soon on this so that we can reserve these dates before they are taken.
Val asked about getting cups printed for the team and retreatants for the women’s retreat. Trademark is quoting 49 cents for logoed cups. Asked if ACTS will pay, perhaps get a larger quantity for use in the future. The team decided to pay for this.
Steve discussed several items from the STL ACTS mission board meeting. This includes: David Kaufmann concert on July 15, leadership workshop on July 26, and the ACTS picnic on Sept. 21 at LaSalle.
With no further business to discuss, the meeting was adjourned with a prayer.
Next meeting is scheduled for Monday, August 4, 2014 at 6:30pm in the LCH.
