Millet Minor Hockey Association - Minutes of August 25, 2011

In attendance:Brenda McKinney, Mike McKinney, Donna Zurbrigg, Debbie Herman, Nicole Harrington, Ron Buchaski, Kenny Herman,Sandy Dyck, Anita Franson, Gail Battle, Jeff VanHerk,Corrienne Benkendorf - minutes.

  1. CALL TO ORDER: Brenda McK. called this meeting to order 7:10pm.

  1. REPORTS:

a) PRESIDENT– Brenda McK

- advised she will provide support to all Executive in decisions made and expects a united front from us all to support one another in all decision made at Executive meetings for the Association.

- did handouts, graphics, ad for Minor Hockey in upcoming harvest fair during parade and Trade show. Thanked Debbie H. for all help doing these up – also included color event on back to be handed in for prize.

- Calendars have arrived for fundraising. As MMHA to provide something to Trade Show, she will donate a calendar for this-all agreed.

- Registrar Meeting set in Bentley school for September 7/11

- Kick off party has been confirmed for October 1/11 in arena upstairs following the 1 day tournament. Brenda will look after coordinating supper events – help also from Sandy D. Anit a Franson, Corrienne B., Donna Z. – she will contact to set up meeting.

b)VICE-PRESIDENT – Mike McK (Jeff H. was not available tonight)

-has been very busy- has all coaches certificates printed out from previous years. Need to have 2 people on bench with Speak out. All coaches at Initiaion on bench need to have CHIP. All new coaches need RCMP clearance, and also any older ones not done in last few years need updating. Coach applications still being accepted during Trade Fair and Registration night and any time as needed.

- will set up Coach Selection meeting between Registration and first ice time to choose coaches – later on, a Coaches meeting

- Checking clinic has been booked at Millet arena, Millet as host for September 26 and 27th– about 6:30pm-10pm – mandatory for our coaches from Atom/PeeWee/Bantam/Midget level to attend vs paying to travel outside for this clinic. As host, our PeeWee/Bantam team will be used on ice for drills.

c)TREASURER – Donna Z.

- Handed out her report. She went over the report.

- Ron B. motioned to accept report. Jeff VH seconded. Carried.

- wanted clarification as to how bingo credits will be used this year prior to registration night. Discuss further under Bingo.

d) ICE COORDINATOR – Shane R.(not available tonight )

- Brenda M. awaiting to hear from him to discuss/finalize ice times.

e) REFEREE IN CHIEF – Sean Cuppens (not available tonight)

- Ref clinics coming up. Rod Long has agreed to help Kenny Herman get our Millet referees registered. Level 1 (under 16) at Leduc for Sept 17 & 18. Level 2 at Wetaskiwin for Oct 8. There will be Referee applications available during Trade Show and Registration night.

f) REGISTRAR - Debbie H.

-online registration is ready to go. September 8, 2011 5-9pm at Millet Community Hall is our registration night. Handouts with specific details/dates, being handed out during parade, trade fair, etc. Needs coordinators to be present to help collect registrations as well as to be familiar with the registration process themselves. Debbie will make up your list and packages for you to have for this evening

- working on handbook with Brenda and hope to have out soon. Hope to include decription of all positions for reference included. Asked for help to review this manual prior to completion – Brenda, Melinda, Corrienne to help out.

g) BINGO COORDINATOR – Nicole H.

- contacted by Peace Hills that August 16th is open. Our actual term/season has been completed but they are asking if we could fill some of the open spots. Sept 2/11 is start of the next bingo term/season so is getting names ready for the dates so far. Currenly of the 22 names for outstanding bingos she had when starting position, only 2 families still owe bingos. All gave her great thanks for a job well done. Melinda L. offered to review bingo books as the o/s families insist that all have been worked so perhaps another set of eyes can review. Her computer is currently down but is working on the bingo credits. Discussion held and concur to continue on with pay out of bingo credits to families and if they choose to use towards registration then they are to sign them over registration night with fees. Donna Z. to provide cheques for Sept 8/11 registration night for all the credits once Nicole gives her the list.

h) PUBLIC RELATIONS – Ron Buchaski

- currently working on Hockey Day in Millet – Glenn Hall interested in attending..

-working on fundraising events and hopes to start during Trade Show and getting donations.

-Volunteer of year supper – Oct 29/11 to be held in Agriplex – should submit from MMHA.

i) EQUIPMENT – Ken Herman

-inventory done, jerseys sorted. Still missing some from Bantam – Anita to check. Pucks are in 5 gal pails.

- First Aid kits nearly complete – Gail help out get items. Storage case set up in upstairs cage to get more. Goal tend equipment set up. Coach bags will be equipped and ready to go out. Brenda M. gave him some info/handouts on signs of concussion. Still looking into programs for these – may be some cost involved. Perhaps still best “when in doubt, sit them out” as indicated to Coaches. During Coaches meeting, hoping to have a Doctor to come out to talk about concussions.

j)JUNIOR C –

- Ira Auger agreed to Coach and Doris Auger as manager. They went to Noralta Meeting and need to submit the allocated ice times ASAP, (before September long weekend) as league for them starts October 2, 2011. Tryouts are being set for next few weeks. After meeting with them, they will work with Millet Minor Hockey and have agreed to do 4 bingos for their team, (not Sundays). Nicole to get them the dates once she has new schedule. There is a $60.00 tryout fee for Jr. C which is a separate cost. Their registration fee is $650.00 and 4 bingos. They need to get the Jr C jerseys yet from Pat Crook.

5OLD BUSINESS:

a)MILLET DAYS – HARVEST FAIR being held Aug 27, 2011

-Gail B. has obtained the candies, etc for handout during parade as well as the treats for kids in parade. Initiation and Novice will walk/bike using helmets. Atom and up can walk/rollerblade perhaps ball hockey played. Bring sticks/ball. Meet at Fresh Market parking lot on Sat morning about 10 am. Will have jerseys so b sure to return after parade to her/Kenny H. Banner being used.

-Table at Trade Fair – Brenda McK and Gail B. will be manning this – will have handouts available here and at parade.

-Remember help is needed for the Tractor Races and Shoot out outside the arena on Sat aug 27 from noon til about 4pm. Kenny H to get awards out. Meet Wed night for set up for harvest fair at arena. Take down Sun at 10am at arena.

b) ASSOCIATION TOURNAMENT

- October 1/11 – set up for this day tournament among all teams. Mike McK & Kenny H. to work out games/schedule.

c) KICK OFF PARTY – Brenda McK. to coordinate potluck. Help from Sandy D. Corrienne B. Anita F., Donna Z.

d) CALENDAR FUNDRAISER

- Set price of $20.00/calendar and each family should try to sell. Debbie H Motioned that each family sell 2 calendars. Gail B. seconded. Carried. To be handed out during first ice times.

e) BUDGET MEETING

- To be held on September 8/11 during the Community Registration about 7pm – to include Treasurer, Bingo, Ice and Equip coord.

6. NEW BUSINESS

a)MONDAY NIGHT SHINNY – Start Sept 26/11 5:30-7pm – cost of $5.00 each.

-Geoff Lynch has this ice for $75.00 for this time frame. Insurance will be under town. Players do not have to be registered under Millet Minor Hockey to come out. Jeff VH will provide assistance as he can with this. To be re-assessed in October if to continue to run.

b)BRING A FRIEND NIGHT – September 27/11 from 7-8pm and September 28/11 from 6:15 – 8pm.

-checking clinic will go on after these times.

c)CENTRE ICE LOGO –

- Arena is asking we purchase the logo for centre ice vs free hand application. Mike Mck. motioned $500.. for centre ice logo. Jeff VH seconded. Discussion held. Carried. Ron B. will also check out cost from Wannasign.

7. ADDITIONS TO AGENDA:

a) HARVEST FAIR DONATION

- corrienne B. motioned donation be made to Millet Ag Society Harvest Fair for their Silent Auction, up to $200.00. Mike Mck. seconded. Carried.

b) MOUTHGUARDS

- Gail B. asking for help from Coordinators to see how many players interested in getting these done. They will be out on October 1/11 during the Association Tournament but need at least 8-10 players coming. Cost will be $45.00 each and second one about $30.00. Perhaps may have personalized colors available to get. Gail B. to look at getting Hugo Witt room booked for this.

b)COACH SELECTION COMMITTEE MEETING

- set for Sunday, September 11, 2011 @ 7pm at arena. All coordinators requested to be present to help choose coaches. Any problems let Mike McK know.
