Minutes

May 15, 2017

The meetingwas called to order at 7pm by Joseph Fox, in the band room.

Attendance:

All parents of 9-12th grade band members are automatically part of the Millard West Band Boosters group. It was fun to welcome several parents of incoming 8th graders to our meeting.

Adults in attendance at the Aprilmeeting included these and more:Adrian Alvarez, Byron Braasch, Karen Collins, Jan DeLay, Paul Dobesh, Joseph Fox, Don & Ruth Fucik, Kylie Gibbs, Eric & Kendra Grelson, Debbie Hart, Linda Kaster, John Keith, Laurie Neumayer, Linda Nissen,Carrie Parker, Michelle Schefcik, Jenny Schlosser, Mary Simerly, Allison VanderWal, and Erin Ward.

Secretary’s Report – Karen Collins

  • The minutes from the Aprilmeeting have been shared with the membership.
  • Linda Nissen moved that we accept the Secretary’s Report and Mary Simerly seconded.
  • The minutes were approved by the membership.

Treasurer’s Report – Linda Nissen

  • We are thankful to announce that Debbie Hart will be filling this position for this fall. Huge thanks to Linda for serving as treasurer for the past few years.
  • We have paid for the charter buses to Blue Springs for this fall, paid our adjunct staff, paid for part of the fall marching drill, etc and the balance is at $15,000 – with lots more big bills to pay.
  • The audit will be done after June 1 when the books are closed for this year.
  • Paul Dobesh moved that we accept the Treasurer’s Report and Eric Grelson seconded it. It was approved by the membership.

Committee Reports:

Turf for the Practice Field – Jan DeLay

  • We currently have about $775,000 raised
  • Of that, $200,000 was coming from the school, and unfortunately that may go away due to recent budget cuts
  • The amount needed to put in the turf field is now $900,000 and we need all of that to begin work on the field.
  • Huge thanks to Jan for all her efforts in various school groups to get all the donations we currently have

Pizza Hut Fundraiser

  • Last month we made $86 which was really good.
  • We aren’t making as much as we were in the past. Seems like the 4th Fridays have not been good days for eating pizza – but it is a super easy fundraiser, so just keep eating pizza.

Chick-Fil-A Fundraisers – John Keith

  • He recently met with Jacqueline Cordell to discuss options
  • We will get 300 of the CFA calendars this next time
  • We can do more in-store nights during the next school year.
  • Another option is to pre-order and simply have the meals delivered to the school.
  • We are planning to have CFA as the lunches for the March-A-Thon again in August

Concession Stands – Linda Kaster

  • This volunteer spot is a 2 year commitment, so this is Linda’s last year. If you are willing to take over for next year, you may want to start shadowing her now.
  • Last summer we made about $50,000 – so this is a very important fundraiser!
  • During the Creighton games we worked with Mike and Cerena again and would love for Levy to supply more cooks, and for all the ice cream machines and registers to work.
  • We did our 4 Creighton games as they required and already have made about $3000.
  • We got lots of compliments for the high caliber of our work – but remember that we can not use our cell phones in the front part of the stand.
  • If you sign up to work a game, you must do so or find your own substitute.
  • When you sign in to work a game, please write legibly.
  • Everyone must wear black dress shorts.
  • The live RAS training will be downtown on May 31st and everyone must attend if you haven’t already done the training online in order to work a Creighton game.
  • The College World Series is June 16-28, 2017.
  • The signup for the College World Series is 42% filled. We need 24-25 workers for each game – so have about 445 spots to fill. We need lots more inventory and money managers to signup – which is not very hard to do, but just requires you to work a couple more hours.
  • We need to have all our spots filled by June 1 so sign up right away.
  • The hours on the signup may change as we find out more details – but they should be close.

Old Business

Committee Chairpersons

  • We still have several important Committee Chair positions to fill for 2017-18 in order for all events to run smoothly.
  • Please contact a current board member if you’d like to help out in the upcoming year.

Middle School Solo and Ensemble Concession Stand

  • Huge thanks to Laurie Neumayer who took care of it the past 3 years and did a great job.

New Business

March-A-Thon – Karen Collins

  • Will be held on Saturday, August 19th
  • All MW Band members will attend and participate – watch for details over the summer

Director's Announcements

Trip for the 2018-19 School Year

  • We have applied to participate in the Tournament of Roses Parade
  • We got to watch the 5 minute video that was turned in for the application:

1 min intro, 2 min of 110 degree turn, and 2 min highlights of marching season highlights

  • We will find out in about 6 months if we were selected
  • Adrian Alvarez made a motion to buy treats for the students for all their hard work on the turn and Paul Dobesh seconded his suggestion. It was approved by the membership in attendance

HyVee Coupon Books

  • Students were given 10 to sell.
  • Sell for $5 each and make $4 per book towards their overnight competitions this fall

Summer Calendar

  • May 31st – must vacate MW and move the band office, etc to Beadle for the summer
  • July 29th – move everything back to MW after completion of the construction
  • The directors need volunteers to help with both of these moves
  • Uniform fittings will occur once we are back to MW in the fall
  • Band members will order their wicking shirts and band polos right away
  • June 5th – start Monday evening summer rehearsals
  • Incoming students in the wind and brass sections will be invited to try out for varsity positions on June 5th, 12th and 19th. They will be asked to play the opener and do some marching.
  • Week of July 24th will be Junior Varsity Band Camp
  • Week of July 31st will be Varsity Band Camp

DCI Competion in Olathe, KS

  • Since several current and recent MW band members are marching in DCI bands this summer, the directors are trying to determine interest and considering taking a bus of students and parents to the Kansas City area on Monday, July 17th to watch them march.
  • They would need at least 50 people to fill the bus and make it worthwhile
  • The cost would likely be $65 per person – so let them know if your family is interested
  • Watch for more details coming out soon

New Euphoniums / Marching Baritones

  • We will need 4 new instruments for the upcoming school year
  • They will be about $1900 per instrument so the total cost will be about $8000
  • Mary Simerly moved that we give the directors money for the purchase and Erin Ward seconded it. The motion was approved.

Fall Marching Show

  • The title has been announced and is Torn
  • The directors are considering taking the band to two overnight competitions
  • Sept 29-10 to Blue Springs, MO
  • Leave lunchtime on Friday, rehearse in Liberty, attend a Royals baseball game and eat at the stadium, stay overnight in the Kansas City area, competition all day, and travel back late returning to MW by 3:30am
  • Oct 28-29 to Warrensburg, MO – after our state marching contest
  • For this one, the band would stay overnight following the completion and travel back to Omaha on Sunday
  • It would be no more than $200 per student for the two overnight competitions.
  • The parents voted and agreed to both trips for the students.

  • Aug 26th - Millard Days Parade
  • Sept 9th – All Day Rehearsal at Buell Stadium
  • Sept 16th – Wildcat Classic – our competition
  • Sept 23rd – Papio South Competition, and Homecoming Dance
  • Sept 29/30 – Blue Springs, MO Competition
  • Oct 7th – open Saturday with no competition
  • Oct 14th – OMI Competition at Burke High School
  • Oct 21st – State Competition at Buell Stadium
  • Oct 28th – Warrensburg, MO competition

Thank you

  • The directors thanked all the parents for their help and support during the recent school year. Our band program would not be near as successful without all the fabulous parental support.
