Introducing: Automated Replacements

With our Feature Release 7, we’re introducing a major new piece of functionality: automated replacement. Automated replacement is the first automated step within Merchandising Cloud, and we’re very excited to share this feature with you!

Before this feature, when you put new content in Merchandising Cloud, you’d then have to go and manually swap out existing content on planograms for the new content. For example, if you were launching a new phone and discontinuing an old phone, you’d have to upload the content, remove the old phone and place the new phone manually.

With the automated replacement functionality, you can specify the piece of content that your new content should replace, and Merchandising Cloud will automatically make the change for you! No more manually drilling down into planograms - it’s an easy “swap” functionality. This gives you more time to focus on strategic tasks, and less time spent manually changing out planogram items. We hope you’re as excited about this new feature as we are!

Workflow for Automated Replacements

With the introduction of Automated Replacements, the campaign workflow has changed somewhat. While your process may vary after you get comfortable with the new functionality, here’s how we recommend to get started:

●Create a new campaign

●Upload content

●Look at the “working list”

●Identify the old item you want to replace

●Select planograms where you want to replace the item

●Check out the Planogram List View and make any manual edits you want to make

●Check your work

You have to create the campaign first so you can tag the replacement content to the appropriate campaign. The campaign you tag is the campaign in which the content replacement will become effective.

Tagging a campaign will give you a “working list” of replacement content when you’re in the Campaign view. If you don’t tag a campaign when you upload new content, you’ll need to manually search for content in the Manage Campaign Content Replacement pane in the Campaign view.

Note: Automated Replacements can only be done in future campaigns, or the “current” campaign. If you launch two campaigns at the same time, only one of them will count as “current” and be eligible for Automated Replacements.

➔To Upload Replacement Content:

  1. In the Content tab, you can upload content as you normally would, using either the New Content or Upload Multiple Content options to manually create content in Merchandising Cloud, or by choosing the Upload Spreadsheet functionality;
  2. In the New Content or Upload Multiple Content screens, you can specify two new attributes related to Automated Replacement: Will Replace Item Number and Campaign Tag;
  3. Enter the other content attributes as you normally would;
  4. Click Create to create your new piece(s) of content.

Be Aware: If you’re using the Upload Spreadsheet option or a Content Integration, you’ll need to make sure the column headers for the new attributes are an exact match to what is included in your Merchandising Cloud implementation.

Note: Pieces of content that already exist in the system will not have any data for Will Replace Item Number or Campaign Tag. You’ll have to upload new data with these attributes, or edit existing data in the system to add values for these attributes. You can, however, add these attributes by editing content in the normal way - using Search to browse content and then Edit it, or Bulk Edit content, or by uploading an updated spreadsheet or Content Integration that applies the new values to existing content.

Visual Walk-Through

In the Content tab, you can upload content as you normally would, using either the New Content or Upload Multiple Content options, or by choosing the Upload Spreadsheet functionality.

In the New Content or Upload Multiple Content screens, you can specify two new attributes related to Automated Replacement: Will Replace Item Number and Campaign Tag;

Enter the other content attributes as you normally would, and click Create to create your new piece(s) of content.

➔To Work with the Working List:

  1. Browse to the Campaign whose Automated Replacements you want to work with, and click Edit;
  2. Use the Search parameters to find the new Content you want on the planogram; - OR -
  3. Manage content you’ve already tagged to the campaign within the Manage Campaign Content Replacement section. You can click on the magnifying glass next to the content to Edit that content, or select a Replaces from the drop-down menu next to the item.

Note: If you open the individual pieces of content from within the Manage Campaign Content Replacement section, the content will open in a new window. You’ll get a pop-up box on the campaign window reminding you to close the new window when you’re done editing content, and hit “continue” on the page when you come back to the Campaign view. This will refresh the working list to make sure you’re always looking at the most up-to-date list of content replacements in a campaign.

Tip: If you’re having trouble finding the replacement content from within the Manage Campaign Content Replacement pane, check the Search parameters:

●You may need to change the Content Status - if you’re having trouble finding a specific piece, you can select Show All Content from the drop-down;

●You may need to change the Container Size - or the piece of content you’re looking for has been uploaded with an erroneous container size. Try browsing to the content you’re looking for and verify that the container size is correct, or select Any Container Size from the drop-down list;

●You may be looking for a piece of content that you haven’t tagged, or have tagged with the wrong campaign name. Try selecting Any Campaign from the Campaign Tag drop-down list.

Visual Walk-Through

Browse to the Campaign whose Automated Replacements you want to work with, and click Edit.

Use the Search parameters to find the new Content that you want to place in the planogram - OR -

Manage content you’ve already tagged to the campaign within the Manage Campaign Content Replacement section. You can click on the magnifying glass next to the content to Edit that content, or you can select the piece of content it should replace from the Replaces drop-down menu next to the item.

➔Identify Content and Select Planograms:

  1. Use the Search parameters to find the new Content you want on the planogram; - OR -
  2. View the list of Content you’ve already tagged to the campaign;
  3. Select an item that the new content Replaces from the drop-down menu next to the item, or click the arrow at the end of the screen to view a list of planograms that include that item;
  4. You’ll be taken to the Select Planogram screen, where you can see all of the planograms where the item is currently in use. Check the checkbox next to the planograms where you want to do the replacement, or click the pencil at the end of the row if you want to edit a planogram;
  5. When you’re all set, click the Replace button at the top-right of the dialogue box;
  6. You’ll get a dialogue box that confirms how many POGs you’ve selected for the replacement, and then you’ll go back to the main Campaign Properties screen.

It takes a few seconds for the replacement to process, but you’ll get a banner at the top of the screen after all of the replacements have been successfully made, confirming that your changes have been successfully saved.

Note: Selecting planograms where you want to make the replacement automatically copies those planograms into the campaign you’re working on.

Visual Walk-Through

Use the Search parameters to find the new Content that you want to place in the planogram - OR -

Manage content you’ve already tagged to the campaign within the Manage Campaign Content Replacement section. You can select the piece of content it should replace from the Replaces drop-down menu next to the item, or you can click the arrow to view planograms where the item should be replaced.

Note: If you select a “Replaces” item from the drop-down list, you will automatically be taken into the same “View Planograms” screen you get to by clicking the arrow next to other pieces of content.

You’ll be taken to the Select Planogram screen, where you can see all of the planograms where the item is currently in use. Check the checkbox next to the planograms where you want to do the replacement, or click the pencil at the end of the row if you want to edit a planogram. When you’re all set, click the Replace button at the top-right corner of the box.

You’ll get a dialogue box that confirms how many POGs you’ve selected for the replacement. After you click OK, you’ll go back to the main Campaign Properties screen.

➔View Planogram List View & Make Manual Edits, If Applicable:

  1. Browse to the Campaign whose Automated Replacements you want to work with, and click Edit;
  2. Go to the Planograms tab to make any edits to planograms.

From here, the workflow works in the same way you’re used to using Merchandising Cloud. You can view the planograms in the campaign, copy planograms into the campaign, make edits and do any other planogramming tasks you need to do.

However, we have made a couple of enhancements to make sure you’re always working on the right planograms within the context of a campaign.

Applicable Planograms

First, we’ve added the ability to “Show only applicable planograms.” This will narrow down your planogram list to view only the applicable planograms for this campaign, making it easy for you to copy and work on the correct planograms.

What makes a planogram “applicable?” Think of it in a couple of ways:

●The newest version of a planogram

●The planogram you’d copy to make a manual update

●Planograms that are new in this campaign, or have been carried forward into the campaign

Copying Planograms

Second, we’ve made it easier to deal with copying a planogram. If you go to view a planogram that isn’t already in the campaign, Merchandising Cloud will ask if you want to open the original planogram or want to copy this planogram into the campaign you’re working on.

Additionally, if you go to copy an available planogram into the campaign you’re working on, and the planogram already exists in that campaign, you’ll get a message noting that the planogram already exists. You have the option of viewing the duplicate that already exists in the campaign, viewing the original version of the planogram, or creating an additional copy of the planogram in the campaign.

Browse to the Campaign whose Automated Replacements you want to work with, and click Edit.

Go to the Planograms tab to make any edits to planograms.

From here, the workflow works the same way you’re used to using Merchandising Cloud. You can view the planograms in the campaign, copy planograms into the campaign, make edits and do any other planogramming tasks you need to do.

➔Check Your Work:

While Automated Replacements - and all of the enhancements that have come along with it - have made the campaign management process much easier, it’s still important to check your work. You’ll still want to:

●Locate overlapping planograms

●Run the Planogram Coverage Report

●Run the Campaign Planograms Report

●Check for missing content

In short, take whatever steps you normally would to check your work to make sure the right planograms are going to the right campaign. But we hope the process of getting there is a lot easier with our new improvements!

Best Practices for Automated Replacement

With this new workflow, we’re recommending a few new Best Practices when using Automated Replacement:

  1. Be aware of the campaign context.
  2. In the Campaign view, you’ll now see the name of the campaign you’re working on in the top-left corner of the navigation bar. Get into the habit of checking to make sure you’re working in the right campaign.
  3. Don’t rename Planograms within each campaign.
  4. Leaving the planogram name the same saves time, and it allows you to easily plan the campaign without ever opening any of the planograms in the campaign.
  5. Avoid launching several campaigns at the same time.
  6. Because Automated Replacements can only be done in the “current” campaign and future campaigns, launching multiple campaigns at the same time means that only one campaign can count as “current” and be eligible for Automated Replacement. Any other campaigns will count as “past” campaigns and will not be eligible for Automated Replacements.
  7. Avoid making changes to campaigns that are already live, or campaigns that have passed.
  8. You can launch a separate “Update Campaign” to make changes or fix a mistake.
  9. Alternately, make updates manually via the Planogram list view in the Merchandising Cloud interface.
  10. Don’t change the order in which campaigns go live.
  11. Changing campaign order can mean that some of the items, fixtures or planograms in your campaign won’t be available in the new campaign sequence. If you’re using automated replacements, you may not catch these changes because you no longer need to go through the process of manually editing planograms.
  12. If you do add a campaign in between other campaigns in a sequence - even if all the campaigns are in the future - you need to be aware of any existing replacements that you had made in the campaigns that follow the new campaign, and potentially make changes to them to correct any issues

Limitations of “Applicable Planograms”

When you’re using the new Show only applicable planograms functionality to manage your list of potential planograms, you’ll need to be aware of a potential “gotcha” in how this functionality works.

If the targeting of a planogram changes, both the old and new versions of the planogram will temporarily appear as “Applicable planogram.”

Let’s look at an example:

In the Current campaign, “Tall Cabinet A” planogram goes to “All Locations.”

In the following campaign, I’m changing the planogram’s filter to “Boston Only” - and creating a second version of the planogram targeting “All locations except Boston.”

While the original planogram is still Current, all three planograms count as Applicable.

After the campaign with the split becomes Current, only the two new versions of the planogram will show up as Applicable.

Tip: Keep an eye out for recent strategy or localization changes as you are making replacements. If you have had a recent strategy change, don’t use the “Replace All” checkbox - instead, use the sorting mechanisms to select the correct planograms.
