MINUTES OF THE MONTHLY MEETING HELD ON 7th JUNE2017AT THE MLAC CLUBROOMS, LEN SHEARER RESERVE AT 7.05PM.

3. WELCOME:TheChairperson welcomed everyone to the meeting.

4. PREVIOUS MINUTES:It was moved by Julie Pearman Johns, seconded by Brett Johns that the minutes of the previous meeting, conducted on 3rd May 2017 be accepted as a true and correct record of the proceedings.

Chairperson:

Have signed an agreement with shared use facilities with soccer. Canteen and key handover dates

Melville 5 year lease with council has been sent out. Chairperson will read and sign. All agree(Action 7/6/17 – 1)

The bank balance at the end of May is $52,000. May financials expensed were trophies $4000 and coming up a shed payment of $5000

Yearend financials have gone to auditor.

1.The shed is progressing and on the 7th June the sand pad should go down and concrete will be completed 8th or 9th June. I have a meeting with David from T & G Earthmoving of Tuesday 6th Jun 5:30pm at Len shearer. The installation of the shed will be commence 15th June and be completed 16th June, which I will confirm at the meeting. In addition, to complete the shed a curbing needs to be installed to prevent the shed slab from being undermined. The council was approached, however they will not assist. Hence this means MAC needs to come up with the money to complete the shed installation. The additional cost is around $820.

2. The information for the renewal of the jumps tracks, new track & jumps pit, barrier arrangement and the shot put circles has been forwarded to John. I believe John and I will make a visit to the council to submit funding and building approvals, needs to be confirmed. Cut off for the funding is 01 July 17. Maybe look at funding through Dean Nalder

3.The expressions of Interest for MAC coaches has been placed on the LAWA website and hopefully onto the Melville Roar website, however no correspondence from Steve to date.

4.Once the MAC shed is complete and all the current high jump, javelin & long and triple jump gear is stowed, I will commence the order of new high jump bunds and tents. In addition, I will commence fabrication of the second high jump mat trolley. Enquired about tents yet have received no cost as of yet.

Seniors:

Winter:

Award for winter – Donate some money from Melville once a month to the best trainer. $25 voucher. Will need 4 more this year. John to ask Armando about getting a $25 voucher for less. All agree(Action 7/6/17 – 2)

7. OTHER BUSINESS:

  1. Under 6 age group – We are one of 3 centres that don’t offer under 6s. Clubs will need to manage so need to be in favour of us looking at introducing this age group. Short program. 6 events included. 3 out of 4 clubs at meeting said yes to advancing under 6 as an age group.
  2. Centre training – Ross Keane will keep coaching middle distance but with no coaching coordinator there might not be any other training for 12s and up at centre.
  3. Season dates – 12 Nov Bravehearts, 2 Dec State relays, ¾ Feb State Combined championships,17/18 Feb Zones, 2,3,4 March State Championships.

  1. Fees and charges – Move to charge $225 – all agree. Of this $90 to LAWA, $40 grounds, $40 centre op costs, $25 clubs, $10 equipment repair /replace, $20 future improvements/repair
  2. Still need to look at storage and costs of uniforms. Maybe look at uniform bank. A few in each size for people to borrow. John to sound out the LAWA sponsor uniform supplier for cost of singlets. (Action 7/6/17 - 3) Will also look at jackets and other items from supplier.
  3. By laws review. Take out duties of committee and other items that are not significant
  4. Orange book – Decrease content in orange book. Ready to go. Need to move to go online. Maybe have a smaller print run and sell the book to transition online. Cost is around $4 each to print
