Meeting 3 Meeting Minutes: October 30, 2012; Buffalo Blues

1.  Call to Order / Waive Roberts Rules 6:10 pm

2.  Introduction and Welcome: Pitt Students -Matt and Joseph have joined us.

3.  Attaboys/Girls

4.  Past-President’s Report – Action Item: Volunteer for assisting L. Terpak

  1. November 16th annual report deadline – LT will be contacting people shortly for information specifically related to last year’s activities.
  2. ERYMC Awards due on 12/7/12. – We qualify for a number of awards including a new one for “Best YMF Group” or something similar.
  3. CYM Awards due on 2/1/13 – Corresponds with National awards. The Pgh Section will hold their awards and the winner is submitted to Nationals. Linda has volunteered to help Lauren with this task.

5.  Thank you letter from Brashear Association – But Jim forgot to bring the letter. According to Linda, the letter thanked us for our donation of nearly 900 cans, stating that it was very significant and they appreciated it.

6.  President’s Report 6:15 pm

  1. Next month’s coordination, all emails to J Radion; please cc Angela Mayer, Lauren Terpak.
  2. J. Radion will be working 10pm – 6am in the month of November.
  3. Plan out events/requirements far enough in advance to compensate for this, as Jim will not be as responsive as usual.
  4. ERYMC (2/8-2/9 Warwick, RI) – early bird registration 11/9/13
  5. Great chance for leadership within YMF and ASCE. Eastern Seaboard members are highly encouraged to participate. A. Mayer noted that she learned a lot about other YMF sections and was able to relay information to them as well about what has worked well for us.

ii. Limited Interest in email responses , Detailed discussion about attending ERYMC

  1. Bill Confair, travel and logistics coordinator. – We will get a solid list of people who are interested in attending before we secure transportation. We had 7-8 YMFers this year.
  2. This is also the chance to put in a bid for ERYMC 2015. We’d have to prepare the presentation for that now to present. Decided to survey the “younger” Younger Members to determine if this is something they’d like to take on.
  3. Geo Institute One Day short Course (11/3/12); SEI Dinner (11/8/12), still lots of room available; Pumping Systems short course (11/8-11/9) @ the Sheraton Station Square; AEI Dinner (11/28/12) @ Penn State. All of this information is also available on the Section Website.

d.  2013-2018 Strategic Plan – No progress. Action Item: Due 11/16. Seeking a Past-President for assistance in planning/execution. Matt Kusic was approached about this.

e.  ESF Status: received, not reviewed: Pirate Tailgate, Interview Workshop (9/24) at CMU, CANStruction (9/22 – 9/29), Happy Hour (Friday 9/21, Mad Mex)

f.  ESF Outstanding: Golf Scramble (9/15) – will have ESF completed by next general body meeting per Greg Running for Laptops (9/30) – follow up with Nate Neltner

g.  Action Item: Next General Body Meeting 11/27 or 12/11? – 11/27 is the second day of deer hunting; not going to happen. December 11th was selected.

7.  Vice-President’s Report 6:40 pm

  1. Newsletter Articles: Due Friday 11/2/12. Coordinate with Angela Mayer – Going to discuss Dodgeball since it doesn’t take up too much space.
  2. Upcoming CYM Newsletter – This happens 3x a year. For the upcoming one, we should discuss what needs to publish. This has a December deadline so this must stay a top priority.
  3. LDI Update
  4. 10/25/12 field meeting at Mt. Washington—Meeting was held at an old school that had been converted into a senior apartment building. The field meeting was followed by a trolley tour. A. Mayer spoke with an architect/designer who built his home in the side of the hill and discussed how to bring parts of Mt. Washington together.
  5. Upcoming: Community Impact Project on 11/8; Star Followership on 11/29
  6. LDI presentation. Action Item: Topic confirmation, set target date. Target date will be late Feb/Early March. We’ll confirm the date for the related technical seminar by next meeting, per Greg R.

8.  Secretary’s Report

  1. Weekly update emails in effect. Provide updates to Sonya by Fri for Mon email release.
  2. 19 people in attendance according to the sign-in sheet.
  3. Add parking recommendations for meeting locations to weekly emails.

9.  Treasurer’s Report – FYI, Bill will be unavailable in the month of November, as he will be out in the field. He will be available via email.

  1. Current Balance: $1861.41 (includes outgoing expenses: $188.08 Oktoberfest, $875.00 Aviary Rental, $275.00 CMU dodgeball. Incoming revenue $54.00 from Pirates Outing).

  3. Pirate No Shows (5 Total, CMU students) = $27x5 = $135

c.  Proposal to ban these students from events requiring registration. Prior to ban, we will send one final email as a courtesy to put them on notice, CCing CMU leadership, CMU Faculty Advisor, and the Section. B. Confair will be responsible for drafting this email. Potential way to accept credit cards at our events without card reader app. -- We should give serious considering to how we collect funds! Bill presented an option to link our bank account with a card reader, but we need more details to make a decision on this. This option is similar to GoPayment, minus the % fee off the top. But it might just be easier to go with the card reader.

10.  Committee Reports 6:45 pm

  1. Fundraising (Pens Raffle on hold due to lockout) – Nothing has been looked at for fundraising for the December Dinner.
  2. Goal: $1800, Current status: $140
  3. $73.00 (50/50 Pirate revenue + $67 (50/50 at Oktoberfest)
  4. T-Shirt Sales. Action Item: Design/slogan/price – finalized by 11/16. Pre-orders for December delivery in time for the December Dinner on 12.6.12. Linda, Sonya, and Greg have volunteered to lead the effort to design T-Shirts. It was also suggested not to rule out collared shirts.

  7. CMU:
  8. Recent graduate speaking on work experience (sometime in November)
  9. Community Service at Camp KOK. 11/10. Ride sharing coordinated via Neltner. – Persons to provide rides are still needed. In addition, no YMFers have signed up yet. Linda is a “maybe”. If Pitt is interested in participating, they should contact Camp KOK directly.
  10. Flight 93 Field Trip (Spring)—This date was pushed back due to the Camp KOK Community Service
  11. Open to YMF, CMU, Chi Epsilon, UPitt ASCE, UPJ
  12. Potential car pool / transportation ride sharing – Intent is to rent a school bus. The cost is $600/day. Could potentially cause $5 for the bus.
  13. Gathering interest for student conference
  14. Started fundraising for steel bridge. Looking for local contacts. – Contacts should be passed along.
  15. Geneva: Panel Discussion
  16. Date: 11/7; 6-8pm timeslot. Volunteers: Linda Kaplan
  17. Two service events were held. One at Camp KOK, and one doing a tour of a site in Beaver.
  18. Pitt:
  19. Flight 93 interest will be addressed at the beginning of next semester.
  20. Organizing a relay for life team -- 9 people will be at the National Conference competition. But they’re still waiting on some of the rules.
  21. UPJ: 10/25 Panel. 4 volunteers had open forum (Jim, Greg, Bill & Jill) Matt Kusic noted that changes may need to be made for future forums because some students seemed disinterested. Discussed alternatives included presenting the forum as a game show.

1.  Be on the lookout for Regional Competition information (April 2013) and a request for volunteers soon.

v. Point Park: Liaison/contact needed

  2. ACE Career Fair Night (10/3/12)Went well – Included 8 teams with 50 students
  3. ACE Transportation session 11/14/12. Seeking volunteers (10 total) to work with HS students on traffic layout (1-2 people with traffic expertise req’d). The student project is a commercial square development.
  4. Toolkit – still need materials (rebar, concrete cores, tangible items of civil engineering, vendors that come to the office are good sources). We received some geotechnical items from Sebastian (thanks!). But we still need more items. Also, we’ll need $$$ for a study box to carry everything in.

i.  Resume Book: Begin solicitation in November (release date of 1/31/13) – This is a soft date. Final date with either be a Monday or Friday. A separate email address has been created to ensure no emails are missed. Bill Confair is passing the solicitation email used last year to this year’s committee. Also, make sure all resumes are in .pdf format! Current goals include:

  1. Publishing the book prior to the spring job fairs.
  2. Gaging interest from the section members to see if they’re interested in doing a peer review.
  3. Brainstorming suggestions on how to make it more useful to employers.
  4. Putting together a .pdf flyer for November to give everyone time over Thanksgiving and Winter Break to get their resumes together.
  5. Dodgeball 3/2/13 – (gym reserved – check written for $275)
  6. L. Gualtieri, T. Tritch, G. Briffa, M. Pierce met on 10/10 for initial planning.
  7. Ideas for spicing up dodgegball: Mass Dodgeball game at lunch, Additional Dodgeball Draw tournament (1on1) [$1 entry fee].
  8. Start registration at December Dinner? (helps get early payment / fundraiser).
  9. Potentially push registration from $60/team to $90/team
  10. These prices are comparable to the PSL for the whole season.
  11. After extensive discussion, a tiered pricing system will be implemented based on student status and discounts for early registration. This will also help facilitate actual commitment from participants.

1.  Lack of interest at last General body meeting. Yes/No? yes. No one is interested beyond Hidden Valley & 7 Springs. We will probably not provide accommodations. The general body will not be surveyed because Bill & Lauren T. think it will be a waste of time.

  1. Dates: 1/12/13 or 1/26/13 (avoid MLK weekend)
  2. Overnight – 1 night vs. 2 nights. Interest
  3. Location: 7Springs, Hidden Valley, Holiday Valley (NY), Deep Creek (MD)

v. Action Item: By Feb 2013 meeting: Summer PSL / Softball – Champion Needed] – If we have no champion by this date, we’ll kick it off to next year.

  4. Well received, used full bar due. Of note, no drafts upstairs. Consider for future events.
  5. Wigle Distillery Tour (11/9/12). Limited to 20 repondees @ $20/ea.

  8. Atria’s meeting on 10/24/12. Menu selection and began finalizing

3.  Action Item: Sponsorships needed. Help required for sponsorship contacts and letter.

  1. Lauren is taking care of sponsorship.
  2. It is mandatory that we each pass along contact information for where to send sponsorship letters. This letter should also go to the Section board.
  3. There are three levels of sponsorship: Platinum ($600 + 2 admissions), Gold ($300 +1 admission), and Silver ($150).
  4. Expected YMF Contribution $1000 - $1300 but we want to stay below $1000.
  5. We are still doing the toy drive, but without the $5 discount. The Brashear Association has been contacted to know we’ll be donating toys.
  6. Headshots – Linda’s contact is a no. Haris’s is a maybe. Atria’s says it may be OK to take photos but this needs to be finalized. The photographer can do 12-15 people/hour with a maximum of 20 persons. will not have an exact estimate until we finalize the headcount but so far, the cost is about $300. Realistically, this can only run 1-2 hours max. Plan to charge $15-20 per person and utilize a separate registration.
  7. Anthony F. still needs a hotel. Check respective companies for corporate rates in Downtown area hotels. Suggestions included the Best Western, Double Tree, & Cambria Suites. Jim has tentatively volunteered to pick him up at the airport to minimizes costs. Kristin is a good candidate as well as Bill and Linda. We still need someone to pick him up from the hotel and bring him to the Aviary.
  8. Spring Social – Venue suggestions included Steel Cactus in Shadyside, and Carson City. They both have roofs. Roofs are good.
  9. Contacting sister organizations early (by date: 4/5 (this can’t be correct)).
  10. Bulk of planning will not occur until later.

  17. Start date will be in February and program will run through the summer.

  19. Community Service / Team Building
  20. Pittsburgh Cares – S. Mullaney to present different volunteer events to YMF. Potential Budge influences with required donation.
  21. Cooking/mentoring girls with Girls Hope. Clearances are required since they are minors. Project involves going to the house and either cooking dinner or bringing meals. Expect a write-up in the weekly newsletter to solicit interest. Dates are from September to September.
  22. Mentoring 5th and 6th graders with math. This requires a time commitment of 25 weeks, 1.5 hours a week. There is potential to rotate shifts. Dates are from October to May.
  23. Toy Drive (12/6/12) with December Dinner. Beneficiary – Brashear Association
