POSITION DESCRIPTION
Manor House Rental Coordinator
POSITION GOAL: To provide exceptional visitor experiences through coordination of rental events at the Wildwood Manor House and associated facilities, wedding venues, and other sites.
CLASSIFICATION: Hourly – Seasonal – Non-exempt
COMPENSATION: $10.15 per hour. Employer and employee contribute to Public Employee Retirement System.
MINIMUM POSITION REQUIREMENTS:
Alternates to the following position requirements may be made as Metroparks finds appropriate and acceptable.
Education: Some training or course work in administration, business, marketing, communication or customer service or closely related degree. Associate’s degree preferred.
Experience: Moderate level of experience in customer service, marketing, and/or event planning required. Some supervisory-level experience preferred.
Knowledge, Skills and Abilities:
- Must be 18 years of age and possess a valid driver’s license with acceptable driving record.
- Ability to lead others, delegate, and manage priorities for maximum productivity.
- Maintain current knowledge of best practices, trends, and conventions within the wedding and special event industry.
- Ability to communicate in an articulate, intelligent and friendly manner when serving the public and interacting with others; excellent verbal and written communication skills.
- Basic math skills.
- Takes initiative and completes tasks on time.
- Able to understand and follow oral and written procedures and instructions
- Computer skills in current technology; ability to learn and utilize new software and database programs.
- Demonstrated decision-making and problem-solving skills.
- Very organized with a high level of attention to detail.

Working Conditions/Physical Requirements:
- Work schedule: Flexible work week, up to 35 hours per week, not to exceed 1456 hours per season; including weekends, holidays and evenings;schedule will vary depending on rentals scheduled. Term of employment varies from April through December based on need.
- Work location: Assigned to Wildwood Metropark; may be required to travel to other Metroparks or locations in Lucas county.
- May require business use of personal vehicle
- Physical Requirements: Requires lifting and carrying of up to 25 lb.
REPORTS TO: Customer Service Manager
DIRECT REPORTS: Manor House Maintenance Assistant (seasonal)
DUTIES AND RESPONSIBILITIES:
- Administer the rental program for the Wildwood Manor House, and outdoor wedding sites
- Handle Manor House and outdoor event and wedding reservations; maintain rental schedule, receive deposits, send confirmations and ensure communication with supporting departments for set-up, security and maintenance; generate correspondence as needed with Manor House renters and visitors.
- Show facilities to potential renters, conduct public presentations and educational tours to promote the Manor House and associated rental facilities.
- Assist customers with planning and coordinating logistics of weddings and rental events, including assistance with set up to maximize the success of each event.
- Assist with the coordination of interdepartmental activities required for Manor House special events.
- Develop event and set-up staff schedules to best meet the needs of rental customers.
- Provide excellent customer service to Metropark visitors, the public and internal customers; respond to customer questions and handle customer service issues.
- Responsible for all decision-making and solving problems that arise during special events, ensuring customer satisfaction.
- Implement, maintain, and use QE software to facilitate room set-ups; expand use to other facilities.
- May be required to move tables and chairs, set up projection screens and AV equipment, and arrange furniture for rentals and programs.
- Direct the work of seasonal staff, volunteers and interns.
- Assist in reception and reservation services as needed.
- Other park district duties as assigned.
