Managing the Preceptor Course and Checklists using Knowledge Manager

The Preceptor course consists of 15 lessons and 32 offline activities (checklists). The checklists are separate items and you do not have to utilize them. If you choose to use the checklists, they will need to be graded by a Preceptor.

You can assign all Preceptor course lessons and checklists in one module, or break them into more manageable assignments by creating multiple modules. The checklists in the modules can be graded by one or more Preceptors. Preceptors can be added to a module when you edit the module.

Responsibilities include:

·  Create one or more modules with lessons and checklists as needed

·  Assign Preceptors to any modules that include checklists (from editing a module)

·  Remove Preceptor(s) as needed

When an Administrator or a Learner becomes a Preceptor, the “Knowledge Manager” menu tab and the ‘Grade Checklists’ option appear on the ‘Personal Page’.

Note: As an administrator, you may have the Knowledge Manager menu on your Administrator side of the system as well as your Learner side. If you have permission to create and edit checklists, the Knowledge Manager menu on your administrative home page displays those options.

Managing One or More Modules for the Preceptor Course/Checklists

The following steps show how to add one or more lessons and/or one or more checklists to a module from the Preceptor Course using Knowledge Manager.

Important: When you add a checklist to the module, the system recognizes it as a checklist and adds the ‘Preceptor Tab’ to the Edit Module options. You need to add at least one preceptor to the module if you are including checklists.

Part 1: Add the Preceptor Course Lessons/Checklists to the Queue

These steps show you how to create a module containing one (1) or more lessons and/or checklists.

First the lesson(s) and checklist(s) must be added to the ‘queue’.

Steps to Add the Preceptor Course Lessons/Checklists to the Queue:

1.  From the menu bar, select E-learning — Create an Assignable Module.

2.  Click the Manage Queue tab.

Tip: If there are lessons already listed on this page that you are not going to use, either click Remove All or select the checkboxes of the lessons you want to remove, and click Remove Selected.

3.  Click the Add Lessons button.

4.  From the ‘Courses’ drop-down, click Mosby’s Preceptor Course (listed alphabetical on the drop-down) as shown below.

·  Click the Select Course button.

·  Click the appropriate checkboxes to the left of the lessons in the course you want to add to the module. (Or, if you want to add all the lessons in the course, click the checkbox to the left of ‘Add all of the lessons below’.)

·  Click the Add Selected Lessons button located at the bottom of the screen.
A message displays below that tells you how many lessons were added to the queue.

5.  If you want to add checklists to this module from the ‘Courses’ drop-down, click Mosby’s Preceptor Course Offline Activities as shown below – It is near the top of the drop-down with the specialized items

·  Click Select Course.

·  Click the appropriate checkboxes to the left of the specific checklist(s) you want to add to the module. (Or, if you want to add all the offline activities, click the checkbox to the left of ‘Add all of the lessons below’.)

·  Click the Add Selected Lessons button located at the bottom of the screen.
A message displays below that tells you how many lessons were added to the queue.

6.  Click the Return to Lesson Queue button.
All your selected lessons and checklists display alphabetically.

7.  Click the Create Module tab.

8.  Now you are ready to create your module with one or more of the course lessons and one or more of the checklists. Go to Part 2.

Part 2: Create a Module with the Preceptor Course Lessons/Checklists

You will need to create one or more modules to deliver the Preceptor lessons and checklists to your Learners.

Steps to Create a Module by Adding the Selected Lessons from the Queue:
  1. If you are not already at the ‘Create Module’ tab, from the main menu, select e-Learning — Create an Assignable Module. You should have already selected the lessons and checklists you want to add to the module. (See Part I: Steps to Add the Preceptor Course Lessons and Checklists to the Queue).

2.  Type a name for the new module (e.g., Preceptor Course and Checklists).

  1. Click the box next to the lesson titles you want to add to the module or click ‘Add all lessons below to the new module’ to add all the lessons and/or checklists listed, to the module.

The example below shows that one lesson and two checklists were selected to add to the new module.

  1. Click Create the Module button at the bottom of the list.
    You will receive the message “The module whatever you named the module was created successfully!”

Note: You may edit now or later using the Edit module function. The Edit module function lets you add one or more Preceptors to the module.

  1. From here you can continue to create more modules, or edit module properties for the module you just created. Now you are ready to assign Preceptors to a Module Containing Checklists. Go to Part 3.

Part 3: Assign Preceptors to a Module Containing Checklists

When you add a checklist to the module, the system recognizes it as a checklist and adds the ‘Preceptor Tab’ to the Edit Module options. You need to add at least one preceptor to the module if you are including checklists.

Note: Once you assign a Preceptor to a module and a checklist has been graded, you cannot remove the assigned Preceptors from that module.

Steps to Assign One or More Preceptors to a Module
  1. Click E-Learning menu - Edit Existing Modules.
  2. From the ‘Current Modules’ drop-down, select the module to assign one or more Preceptors.
  1. Click the Select Module button.
  1. Click the Preceptors tab.
  1. From the ‘Available Preceptors pane on the left, click one or more Preceptors to manage the module. To select more than one Preceptor at-a-time, hold down your CTRL key on your keyboard, then release the CTRL key when you have finished selecting the Preceptors for the module.
  1. Click the right arrow in the middle of ‘Available Preceptors’ and ‘Preceptors Assigned to this Module’.

The example below shows that three Preceptors were added to the selected module.

  1. Go to Part 4 to assign the module to Learners.

Part 4: Assign a Module Containing Lessons and Checklists

Modules can be assigned to individuals (one Learner at-a-time), departments (one or more department at-a-time), groups and “selected Learners” (a group of Learners you create).

The basic procedure for assigning modules is the same for each, these instructions focus on assigning a module to an individual.

Note: You can also select multiple departments for e-Learning module assignments. See image below. Click the ‘Select Multiple Departments’ checkbox on the left (as shown below), then click the ‘Select Department’ button on the right. Then follow the directions on the page to select two or more departments.

Steps to Assign a Module to an Individual
  1. From the menu bar, select E-learning — Assign Training To — Individuals.
  2. Click the Select Learner button on the right.
  3. From the ‘Lookup Learner’ page, type in all or part of a Learner’s last name and click the Search button.
  1. From the drop-down menu, select a specific Learner from the list.
  1. Click Select Learner button.
    The ‘Manage E-learning’ page for the selected Learner opens from the ‘E-learning Detail’ tab.
  2. Select the E-learning Assign Modules tab.
  1. Select the module you created for the Preceptor course lessons and/or checklists.
  1. Click either the Assign Now or Assign Later button.

Assign Now – Adds the selected module in the Learner’s lesson plan immediately.

Assign Later – Adds the module in a “holding area” that keeps the module off the Learner’s lesson plan until the Learner has three (3) or less incomplete lessons in his/her lesson plan. The next time a Learner logs in the module in the holding area will be assigned.

Note: If you use Assign Later the lessons do not appear until the next time a Learner logs in. If they have completed all the lessons in their lesson plan and they think they have completed their training they may not log in again and will not receive the next module.

Tip: From this screen you can also remove and reassign modules as well as edit a module and view the lessons within a module.

Removing Preceptors from a Module

You can remove Preceptors (Learner or Adm Preceptors) from a module as long as the Preceptor you want to remove has not graded any of the checklists for that module.

Note: Once a System Administrator is assigned a course, he/she cannot be removed as a Preceptor for that course.

Steps to Remove One or More Preceptors from a Module
  1. Click E-Learning menu - Edit Existing Modules
  2. From the ‘Current Modules’ drop-down, select the module to remove Preceptors from.
  3. Click the Select Module button.
  4. Click the Preceptors tab.
  1. From the ‘Preceptors Assigned to this Module’ pane on the right, click one or more Preceptors to remove from the module. To select more than one Preceptor at-a-time, hold down your CTRL key on your keyboard, then release the CTRL key when you have finished selecting the Preceptors for the module.
  2. Click the left arrow in the middle of ‘Available Preceptors’ and ‘Preceptors Assigned to this Module’.
