Purpose: / ·  To work as part of the Inclusion Team to ensure all delegated administrative tasks and procedures are carried out, with particular responsibility for the updating of the student data base so it is current and accurate and
·  school requirements are met with regard to admissions and exclusions
Reporting to: / Assistant Headteacher Inclusion & Senior Inclusion Officer
Key Success Indicators: / ·  All visitors to the school are welcomed in a professional manner
·  All data pertaining to student admissions and exclusions is current and accurate in SIMs
Liaising with: / The Process Team, Inclusion Team, Welcome team- Main reception
Working time: / Term Time at 35 hours per week plus an additional 35 hours to be worked outside of School hours.

Main (Core) Duties
Student Support & Administration
Welfare of Students including behavior, admissions & First Aid. / As Directed by the Senior Inclusion Officer:
·  Fulfil all necessary administrative support as delegated by the Senior Inclusion Officer in a timely & accurate manor adhering to all deadlines
·  Provide all aspects of administrative support in relation to all aspects of Inclusion; behaviour, attendance, admissions, medical need, student support
·  Provide administrative support in meetings as directed
·  Liaise and work with all stakeholders (internal & external) to ensure full administrative support; completing home visits as required and attendance at meetings
·  Support all members of the Inclusion Administrative Support Team through flexible job sharing when required
·  Ensure all aspects of student administration is completed and recorded in the correct network area
·  Keep up to date work changes to policy across all areas of Inclusion; behaviour, attendance, admissions
·  To follow school and LA policy in relation to school admissions
·  To manage all aspects of new and casual intake and admissions appeals, to include the associated paperwork, interviews, tours, meetings and liaising with other schools as necessary
·  To produce reports for SLT and school governors on admissions and exclusions
·  To co-ordinate all aspects of the GIFT process, ensure all communication and documentation of managed moves and monitored transfers is completed, communicated and recorded on SIMS
·  Ensure & complete administrative documentation for exclusions and other aspects of the schools behaviour processes:
o  Letters, communication with home, other schools & external services, updating SIMS
o  Provide minutes as required in Inclusion meetings related to behaviour - reintegration and governor meetings
o  Contacting parents
o  Coordination of parent meetings
·  Generate Behaviour Reports:
o  Weekly tracking
o  Termly tracking
o  Governor Reports
·  To provide KCC with statistical summaries pertaining to admissions
·  To organise primary visits, new intake evening and new intake day for students
·  Carry out administrative tasks for Y6 into Y7 ensuring all aspects of the process are covered;
o  Contact Primary schools
o  Administration of EXPO
o  Administration of New Intake Day
·  Upkeep the Inclusion website ensuring all information is relevant and current
·  Provide cover for main reception at lunch time and ensuring clear communication is upheld
·  Assist with home visits in order to increase parental engagement
·  Ensure all aspects of Student Services are carried out to ensure students are fully prepared for learning
·  Assign students to Communities
·  Support admissions (new & casual) administrative tasks:
o  Scanning of student files
o  Manage and order swipe cards lanyards and all necessary documentation
·  Organise all aspects of First Aid Procedures:
o  Rota updated and communicated
o  Organise First Aid stock and distribution to Zones
o  Produce & distribute to staff an up to date and accurate medical register
o  Manage medical room
o  Tablet distribution
o  Communicate with Parents when students sustain an injury during the school day to ensure wellbeing of student and deal with parental concerns
·  To ensure all staff and students accidents are recorded, all appropriate parties informed (AHT Inclusion) and summary records made available
·  Manage FSM information liaising with Finance & Parents
·  Communicate with Sodexo in all matters pertaining to the cashless catering system & students
·  Distribute and collate student data collection sheets
School Information / ·  To ensure that the student data base is current and accurate, ready for school census and staff can access archives
·  To assign all new students to a Community & Reg Groups in Sims
·  To liaise with the Deputy Headteacher on Options - KS4 – in Sims
·  To liaise with Progress Managers on other classes in Sims
·  To maintain the logging of leavers in Sims
·  Creating reports to KCC monthly on leavers and joiners using Sims.
·  To generate behaviour reports for staff and behaviour referral letters
·  To support the rest of the Inclusion Team to ensure that all school admin tasks are completed to the required standards and deadlines
·  To support with CP Filing
School organisation / ·  To monitor student behaviour and ensure smooth transition between lessons
·  To carry out break and lunch time supervision as requested
·  To deliver aspects of the school’s Extended Learning Programme
·  Following school policies and procedures especially those relating to child protection and health and safety
·  Exam Invigilation
·  Respect confidential issues linked to students
