1. Call to Order – Lynne.

2. Approval of Agenda – Lynne

-Motion made to approve agenda by Lynne. Seconded by Carmen. Carried.

3. Approval of Minutes of June 20th 2017 – Lynne

-Motion made to approve minutes by Lynne. Seconded by Claire. Carried.

4. President’s Report – Lynne

Canada in Leaf

-Permanent home has been found with the Nepean Public Library – Jennifer Calhoun (Library Manager)

-Mike Phillips and Lynne viewed (Sept. 25th) the 2 potential display areas.

-Jennifer’s preference is the wall in the main lobby. (Other is on second floor)

-Wall hanging requirements include heavy duty interlocking brackets from Lee Valley.

-Jennifer needs to discuss this with facilities people – otherwise easel would have to be used.

-Arteast to take responsibility for (a) re-painting the backer (b) obtaining and attaching brass plaque – Helen Rosseau’s name to be included on plaque (c) dismantling of leaf (d) guidance and assistance with hanging in the new home. (Lynne and Mike)

-Nepean to take responsibility for (a) arranging for truck and movers (b) manpower to mount leaf at the library.

-Jennifer and Arteast to arrange transport date and time.

-Jennifer announced that she would no longer be contact person after Nov. 1st 2017.

-Mike Taylor has agreed that re-painting can be done at Shenkman with appropriate precautions for floor. (Danielle may have white paint)

-Mike Phillips has agreed to help dismantle but will require additional help.

Canada 150 – Orleans Leaders Sesquicentennial Award (Federal Government’s Canada 150 medal)

-Lynne asked by Andrew Leslie agreed to be a judge for the Orleans recipients.

-Lynne reviewed a set of nomination submissions and sent in her choices to Mr. Leslie’s office.

-Lynne will attend the reception in the House of Commons on Friday Oct. 27th 2017.

5. Treasurer’s Report Cheryl

-Balance - $19, 189.74.

-Uncleared Items: $828.53.

-Balance: $18,361.21.

-Valerie has not claimed her wages yet.

-Request for budget information for Communique for Claire.

-Membership is 228.

-Lynne to follow up on slowness of membership cards for renewals.

6. Vice President’s Report Murielle (absent)

- Report was submitted orally to Lynne and presented by Lynne.

-Murielle continues to call new members.

7. Grow With Art Report Mary Ann Varley

-September meeting featured Jennifer Kelly (glass artist) –attendance: 20.

-Lynne presented a number of door prizes.

-October meeting will feature Jessie Parker – New Frontiers in photo based art.

-Mary Ann will organize meeting and coordinate set up requirements. Publicity has been sent out.

-Lindy will introduce Jessie and provide the projector.

November Volunteer Appreciation meeting will be held at the Tartan Tavern on Innes Road beginning at 7 pm on November 14th 2017.

-ACTION: Mary Ann will write the announcement – Lynne to give her the details.

-Lynne will present multiple door prizes. This will be done instead of a gift exchange. Josie will solicit DeSerres for additional prizes.

-Lynne will make up Volunteer Appreciation certifications

-Next sessions will be organized by various team members.

-Extra Arteast brochures are required. Mary Ann will check on the price of printing an additional 500/ 1000.

8. AJAE Report Richard Pell (absent)

-Report sent by email and presented by Lynne.

-AJAE will be on display until Nov. 24th 2017. Take down is between 6 – 7 pm.

-ACTION: Send reminder to all participants.

-Vernissage well attended – Certificates to award winners not in attendance will be sent by mail before end of October.

-Photographer Charles Frost took pictures which are now on the website. Copies were sent to Claire for inclusion in the Communique as well as a summary of the event.

-Donations of almost $100.00 were collected for H’Art (now called Being).

-Evaluation Meeting will be held on October 24th and results will be shared at the Nov. meeting.

-No sales to date.

-Recommendation: ask Helen to make a specific AJAE sales address. Josie will assist in the event of sales as she is regularly at the Complex.

9. Digest Report Valerie (absent)

-Report was submitted by email and shared by Lynne.

-Everything running smoothly. Danielle filled in during Valerie’s vacation time.

10. Newsletter Report Claire Ouseley

-Erika working on first draft –projected completion target date is October 26th.

-Please submit any changes for administrative contact, notices of hanging schedules as soon as possible.

11. Website Report Helen Rosseau (absent)

-Report sent by email and shared by Lynne.

-Regular updates to web page, upcoming events and meetings were done.

-Introduced Lindy to the web email account and its usage.

-New web calendar updates completed.

-Helen provided short instructions on how to make updates.

12. Open Studio Report Corinne Feasey

-9 participants attended in Sept. - included 1 new member.

-12 participated on Oct. 12th - included 2 new participants.

-Next studio time is Oct. 26th.

-Request for funds of $40 - $50 have been sent to the Treasurer. (in budget)

-Suggestions for consideration:

1. Open Studio Time to be listed on website with its own link rather than under events forms.

2. Coordinator for Open Studio to have own email account under Arteast and eliminate the use of personal email.

-ACTION: Corinne to speak with Helen about these changes. Corinne to book space for next year.

-Request for hanging space for Open Studio attendees during the Holiday Mix exhibit. Josie will accommodate depending upon number of registrants for Holiday Mix.

ACTION: Corinne to coordinate $5.00 hanging fee if space is available.

-Corinne will request that the Board consider waiving the $5.00 fee for Open Studio.

ACTION: Corinne to provide written request for Board consideration.

13. Promenade and Trinity Reports Maureen

Promenade

-Current Show: Sept. 21st to Nov. 21st 2017.

- Title: Award Winners of 2016.

-Exhibitors: 17 plus 30 in the Maple Leaf – 17 wall hung pieces and 1 giant Maple Leaf

-Vernissage: Oct. 1st 2017 – good attendance- featured in Orleans News. Some artists did demos.

-Comments: cabinet door has been replaced. Working on budget.

-Next Show: Nov. 23rd to Feb. 6th 2018. Changeover date: Nov. 22nd – 11 am - hanging 11 am onwards.

-Title: Winter Medley – pot pourri d’hiver.

-Exhibitors: 9- deadline date for entry Oct. 22nd.

-Vernissage: Nov. 26th 2017 (Same as Baz’art). Request for cookies, candy and water for table.

-Arteast will have 3 tables – 1 for food and 2 for demos.

-Vernissage Feb. 11th (in conjunction with Trinity)

-Skip June Vernissage in lieu of evening reception on July 19th (7-9 pm).

-Vernissage: Sept. 30th (Culture Days).

-Some of vernissage dates may need to be adjusted.

-Question: Should exhibit running the same time as Trinity Mosaic be the ‘More Mosaic’ exhibition?

-Show Dates: Feb. 8th to March 13th 2018.

-Jury Date: Jan. 6th 2018.

-Take in Date: Feb. 7th.

-Vernissage: Feb. 11th 2018.

-Comments: Booking confirmed for Studio A at OSA on Jan. 6th.

-Jurors confirmed.

-Application almost ready attempt being made to get into the Communique – Registration format question– on line/or both?

-Registration cost: $10.00 for 1 piece - $15.00 for 2 pieces.

14. Community Projects Josie DeMeo

Canada’s 150th Project – Josie and Lynne.

-Maple Leaf has been addressed in the President’s Report.

Other Josie

-Culture Day (Oct. 1st 2018)

-Done in conjunction with Promenade vernissage.

-Arteast participants: Maureen, Raymonde Wolfe and Josie did demos.

-Promotion done via Culture Days website and Arteast website and social media.

-Orleans News covered the event.

-Expense Budget: $25.00

Artpreneur at the Shenkman Centre Nov. 4th from 8 to 4 pm.

-Josie, Lindy, Maureen and Lynne will be present to promote Arteast.

-Suggestion that Arteast budget for this event every 2 years. ($200.00 for table and promotional material)

ACTION: Mary Ann to check the price of postcards- 2 sided (bilingual) from Vista print.

In the Community Workshop Nov. 30th 2018

-Acquired Brain Injury Program at Bob MacQuarrie Recreation Centre from 10:30 – noon.

-Need 2 more volunteers.

-No expenses for this activity.

DeSerres

-Arteast members now will receive 10% discount on supplies.

-Josie working with Manager to coordinate activities for DeSerres and Arteast.

-Free Golden Workshop in Nov. Possible dates: Nov. 28th 7-9 pm and Sat. Nov. 18th 1-3 pm.

-Require 20 – 24 participants.

-ACTION: Send copies of newsletter and brochures to the Manager of DeSerres.

Baz’Art Nov. 25th and 26th 2018 at the Shenkman Centre

-Josie will coordinate – few more artists required to be at tables (3) to do some art.

-Artists are able to bring some of their small pieces to sell.

-Required budget $25.00 for water/coffee and table coverings.

Holiday Mix – St. Laurent Complex

-Show goes from Nov. 24th to Jan. 11th 2018.

-Exhibition registration deadline date is Nov. 7th.

-Participants will be asked to volunteer on various tasks.

-If artwork is sold – artist is able to replace at no cost.

16. Other Business

Members’ Survey Danielle Beaulieu

-Results of the previously done survey and present one were sent out via email to the coordinators for review. A brief discussion took place.

Ontario Arts Council – Premier’s Awards for Excellence in the Arts Josie

-Josie shared some of the criteria for non- profit organizations to be nominated for an award from the Council. The winners and finalists receive cash awards.

-Important criteria: application cannot be submitted by a Board member.

-Volunteer required to further investigate details and make application.

-Decision to defer at this time.

Artwork by Arteast member Bernard Poirier

-Bernard is releasing some of his art – Maureen will seek his permission to have a draw for a work of art at the Appreciation Night in Nov.
