Minutes of a Meeting

held on Monday 22 October 2012

in the Library Annexe at 7.00pm

Present – Jane Hale [from 7.15pm] (Loddon Parish Council), Rod Williams (Loddon Parish Council), Sheila Jay (Tennis), Derrick Johnson (Chedgrave Parish Council), Carl Pitcher (football), Tom Baylis [until 7.20pm] (football), Christine Smith (secretary) and Sue Sursham (treasurer)

Kieron Creegan also attended until 7.20pm

  1. Welcome – in the absence of the chair, vice-chair Carl Pitcher took the chair and welcomed those present
  1. Apologies –none received
  1. Minutes – of a Meeting held on 2 July 2012 were circulated, approved and signed as a true record of the meeting.

A change in the meeting order was proposed and AGREED

  1. Pitch Hire Agreement – a draft agreement was considered and some changes required were noted. Carl Pitcher would produce a revised draft document based on the modifications suggested. When a final version of the agreement was agreed, similar agreements would be prepared for the cricket and Grasshoppers clubs.

The meeting returned to the published agenda order

  1. Budget 2013/14 and Grant Requests to Loddon and Chedgrave Parish Councils – the treasurer reported that she was dealing with a dispute over unpaid tennis court hire fees. A draft budget was circulated and considered. Adjustments were made and the final budget was AGREED. It was resolved that the following grants be sought from the parish councils:

Loddon Parish Council - £2,495.05

Chedgrave Parish Council- £757.65

  1. Proposed Loddon & Chedgrave Recreation Field Trust Document – it was AGREED that this should be referred to the next full meeting of Loddon parish council for consideration of adoption
  1. Reports for Clubs – the football club reported that an extra pitch would be added to the field for use by the Grasshoppers and added thanks to all involved in cutting the pitches throughout the difficult 2012 season. The cricket club did not submit a report; the tennis club reported that all was well.
  1. Jubilee Hall Changing Rooms – Rod Williams reported that the changing facilities at the Jubilee Hall were not being used as regularly as in the past due to the cessation of the Veterans Football Club, the decline in the use of the tennis courts and the cricket club playing fewer matches at Loddon. This has resulted in the Jubilee Hall having to subsidise the changing rooms.
  1. Date of Next Meeting – February 2013, to be confirmed nearer the date.
  1. Close – there being no further business the meeting closed at 8:23pm
