Website: / Topic: Training and TA: SOC Conference report by Teka Dempson: The SOC Conference dates is set for May 19 & 20, 2016. Ruby L. Brown-Herring will be at the next meeting, August 28, 2015 and will provide a cost report regarding the conference and fees for her services. Currently the Koury Convention Center located in Greensboro has the best accommodations for hosting the conference. The Marriot would require $9 per day for parking. We could ask for sponsorships to offset the cost of providing scholarships for families and youth. In planning for families and youth to attend the conference, we have open 10 slots for each with full scholarships to be rewarded. The collaborative will be asked to help with the cost of the scholarships.
Topic: Finance Committee Overview by Gail Cormier: According to the bylaws, a full financial report will be given at the first November meeting. We have an estimated $90K still allocated and the online training has picked up. This gives us an estimated value of $160k to dole out. Currently no funds have been allocated for the SOC Conference since we have not received a budget proposal from Ruby. Adam Leggett and Gary Ander drew up a letter to have MCOs to contribute to the SOC conference. Where are we in respect of the letter? Phillip Stonecipher will have to submit a proposal in October for requesting a match of funds for the SOC Grant. In regard to trainings, Family Partner 101 and the online trainings will need to be updated so we will have to set aside money.
Topic: By-Laws Committee report by Ric Zechman: As requested by the collaborative members, amendments were made to sections relating to the voting and secretary sections. Sections 2.9 Quorum; Voting reference 4.2b; 3.6 Duties of the Secretary; 4.2 Standing Committees reference b Nominating Committee for Executive Officers section ii- change 30 days to 28 days or reflect the number of meetings. This last change will also be reflected in section 5.1
Motion made to make changes but change 28 days to 26 days or the wording “two meetings prior to the day of election”. Motion second…all in favor…Motion carried. Approved for change.
Rick will make the amendments to the bylaws and send an updated copy to Renee for posting on the collaborative website.
Topic: Adobe Connect (Brandon): In addressing the issue with the call in feature, Brandon and Renee did a test drive of Adobe Connect webinar tool prior to today’s meeting. Brandon did a quick tutorial using Adobe Connect for the attending members. He explained that using the Adobe Connect will be in additional to the present-day call in feature. The phone will provide travelers to connect and/or others who may not have access to a computer. The attending collaborative members agreed to a personal test drive using their personal laptops/iPads. Test drive will occur at the next collaborative meeting August 28, 2015. Everyone is encouraged to bring their own device.
Topic: Membership Committee report by Sonja Frison: This committee is currently on hold. Place on agenda for next meeting to discuss interest of attendance.
Topic: Transition Youth Workgroup report by Damie Jackson-Diop: A doodle poll was disseminated to establish the first meeting. It appears from the results the first meeting will be held in September 2015.
Discussion:
Regards to undocumented immigrants: Have presenters from organizations/faith base services/ and active programs such as the Latch Program in Durham and the Center for New North Carolinians at UNCG to speak on the Latino population and how they help families in their communities to work around services. The collaborative group would like to have a presenter by the first meeting in September.
