Meet Conditions

1. The event will be held at Sportspark, UEA, on 17th18thJanuary2015. The event will be held under ASA laws and ASA technical rules.

1. Entries may only be accepted from competitors registered as members of the ASA, SASA or WASA or competitors from one of the countries affiliated to FINA.

1. Competitors’ ages shall be as at 31st December 2015.

1. All entries must be Short Course times or long course timesconverted to short course, and must be visible on the ASA database.

1. All entries must be slower than the cut off times listed. Swimmers wishing to enter who are faster than the cut off times may do so at the promoter’s discretion after the closing date, but will be listed as “Speeders” and awarded speeding tickets instead of medals.

1. No 9 year old age group events in 100’s (apart from 100IM), 400m Free or 400m IM.

1. Individual entries shall be made on the official entry forms. Where there are three or more competitors from a Club, entries MUST be submitted electronically together with a summary form and eitherONE cheque payable to the City of Norwich SC or Payment by BACs (account details on request)MUST be provided for the consolidated payment of all the entries. If you wish to pay by BACS please email or further details. Any Club failing to meet either of these requirements will be subject to a £25 administration charge BEFORE entries are processed. Entry software can be obtained from

1. Clubs entering more than 10 swimmers are asked to provide at least 1 licensed official using the form included in this pack.

1. If the number of entries within the qualifying times is high the promoter reserves the right to limit entries to enable the gala to meet licensing requirements. The promoter retains the right to accept entries on a first come first served basis. Full club entries received will be acknowledged immediately by email, but must be made in full (ie electronic entry file, payment, club summary form, entry summary report). Partial entries and entries received after the closing date will not be accepted.

1. The competition will be run as a cardless meet. The list of accepted entries will be published/available for download from the club website ( shortly after the closing date. It is the competing club/swimmer’s responsibility to check this list for accuracy and advise immediately of any mistakes or changes that may be required. Club contacts will be notified of rejections where/if appropriate.

1. Unfortunately there can be no refunds of entry fees unless the entries are rejected by the organizers for any reason.

1. The meet promoter will check entries against the ASA British Rankings database where it is felt that a swimmer may be submitting a slower or faster time in order to gain entry to this meet. Falsely entered times will be rejected without a refund.

1. Swimmers withdrawing from events: Withdrawal slips will be available from the recorders desk on the day with a £5 penalty for failure to notify 30 minutes prior to the start of the first event in each session.

1. Competitors must report to the stewards’ area 15 mins before the start of their event where they will be given their start order. Any swimmer not reporting may be deemed to have withdrawn from that event.

1. Heats will be seeded with fastest entrants swimming last. All heats will be spearheaded. All events are HDW (Heat Declared Winner).

1. The top three in each age group will receive a medal. Swimmers who entered as speeders, or swim faster than the cut off time on the day, will be awarded speeding tickets instead of medals, and the next 3 swimmers will be awarded medals. A competitor who has been disqualified will not receive an award. An award will be made to the Top Boy, Top Girl and Top Visiting Club. All competitor’s points will go towards Top Visiting Club points tally, including speeders. Speeders on entry will not be eligible for Top Boy or Top Girl.

1. The promoters reserve the right to refuse admission to any competitor or spectator.

1. The promoters do not accept responsibility for any property. Lockers are available in the changing rooms and should be used for the safe keeping of all belongings. In order to use the locker you will need to bring a padlock or hire one from reception.

1. UEA City of Norwich SC uses a computer to manage entries and results. By submitting and accepting entries to the meet consent is hereby given, as required by the Data Protection Act 1998, to the holding of personal information on computer. Personal data handled such as name, club, recorded and entered times may be made public during or after the meet.

1. The promoters reserve the right to make alterations to the above conditions if necessary. All participants will be informed of any such changes

1. Charges as follows:

• Entry Fees £5 per event
• Coaches Passes £20 (no food); £40 (with food) for the weekend
• Spectator fees £3.00 per session, £5.00 per day or £10 for the weekend
• Programmes for the weekend £5.00

1. Coaches’ passes will not be sold on the day – no pass, no admission poolside.

1. All persons wishing to use photographic equipment - including mobile phones with photographic capacity - must register at the entrance desk.

1. Please help to maintain a high standard of health and safety by not blocking stairways, emergency exits and walkways, report any issues immediately to a member of the pool staff or to the Open Meet Promoter.

1. Warm up protocol: Strictly no diving during any warm-up sessions, except in the designated sprint lanes, odd lanes will swim clockwise (1, 3, 5, 7) even lanes (2, 4, 6, 8) will swim counter clockwise. Swimmers using sprint lines must swim 15 metres before slowing up. All swimmers must leave the water by the side of the pool and not over the timing pads. Coaches should manage the lanes their swimmers are using during the warm up sessions.
