LAPTOP - this is specific to the way I've configured the PP windows 8 laptop

Open lid, press silver button top left to turn on, wait.

Start screen opens 'parkrun event'.

Click the mainly black picture (with parkrun trees).

To shut down, close all apps, take focus away from Icons (click on black background) click alt f4.

For uploading only use 1 USB at a time.

Timer Upload

Double click Timer Icon on the desktop

Plug wire from Timer to Laptop

Follow on screen instructions

Close before uploading scanners

Scanner Upload

Double click Scanner Icon, plug wire from scanner to laptop, upload is automatic

Plug in other scanners in turn

Close before proceeding.

If either upload doesn't start, close and re open the software and/or unplug and re plug the device.

Result practising

Open the Test site from the links page. You can re run the results from any previous week.

Live Results Processing

If you make a complete mess of this, you can close the tab and upload the scanner & timer files to re-start.

After results have been uploaded, if you find an error you can resubmit the results, this can be done at any point in the future but it would be reasonable to close off before the next weeks run.

Double click Internet Explorer Icon, centre.

If required plug WiFi dongle in, wait for webpage to open that shows it is connected.

Go to the tab 'parkrun results wizard' for the Live results screen - red strip.

Log in with your Athlete ID and password.

Contact phone number pops up, you can note it but can always get it from the Menu/Show News or Close the pop up.

Update volunteers - details at the bottom of page 2.

From menu (tiny writing on the right) select Process Results

Select the 'Create' radio button (top left), click Next (on the right)

Incident page pops up – record any serious incidents.

Click upload barcode and timer files, go to C: / Data Sources / parkrun_barcode_123456789 and open.

Select one timer file and all scanner files for today’s date

Click Next button, this takes you to -

Results Screen

Green - OK, are complete results

Yellow

Firstly, enter non scanning barcodes.

Quick way - click the icon top right. Type Athlete ID, Enter, check the displayed name matches the one on the sheet, enter finish position, Enter

Longer way - eg Athlete ID doesn't match name - click on the row in the list, type name and select the right one.

Remaining yellow rows, the athlete didn't have their barcode scanned, ignore the row, it will show as Unknown Athlete.

Red - error, must be fixed.

Click on the red row, a section opens below that allows us to add, delete, edit. Any field that is in red you can change, eg from Insert to Delete, Athlete to Time.

Correct any known errors.

Click Finish

Create back up C: / Users / parkrun event / parkrun event documents

Click Continue

Backup It's best to save a backup just in case. It can be called anything and go anywhere, but suggest call it backup_<date>. If you aren't ready to submit results you can save the backup and come back to it later.

Re-open a back-up set Create and tick Restore from backup, click Next

Our Home Page

When Internet Explorer opens, there is a tab with a lot of links. This is our own page, controlled by John Jaap so can be changed as we need to.

It has links to everywhere we could think of that will be useful to Run Directors.

Timer

Set up.

Click Mode a few times to get to all zeros.

To start run, click top right button.

Runner crosses the line, click top left

After last runner click Top right to stop the clock

Then Click top left to store the run details

Upload. Click the bottom button (mode) a few times until Upload All shows, connect to laptop as described above

To clear the timer ready for next week, click mode until the all zeros screen show.

Click top centre (Recall) then press AND HOLD top right until beeping stops and all zeros are shown.

Scanner Click big button to scan Athlete barcode and then Position.

To clear press and hold the small button until it beeps/green light shows.

Volunteer Management (Web VMS)

Log in, same as for results processing.

Select Volunteer Rosters from the menu on the right

If you want a different week, click on the calendar icon and select date

Select a volunteer ID or Name (change radio button to name if needed) & click Go

Select Role from the drop down

Click Add

When you’ve finished

Click Event Actions Tab

Click Update Roster

In a few moments it will magically appear on

After the run, make sure everyone has been added to the list and on the event actions page click 'confirm roster' to send thank you email and update points
