Job Purpose: The provision of clerical and administrative support to the Head teacher and school to enable the delivery of a professional and efficient administrative service.
Administration
Duties and Responsibilities:
- Ensure the provision of an effective administrative, secretarial and clerical support to the Head teacher and the school.
- To type letters, reports, memoranda and other documents, using appropriate equipment, including computer and office management systems. This will include typing of a confidential nature, photocopying and laminating. To input computer data.
- To receive and relay promptly any telephone and other messages, dealing as appropriate with routine enquiries. To liaise as required with governors, teachers etc.
Admissions and Attendance
- Managing the administration of the Nursery and Reception intake ensuring that all correspondence to parents is sent in a timely manner, working closely with the Senior Office Manager and EYFSphase leader.
- Compile pupil files for transfer to new school with 48 hours of pupil leaving school.
Dinner Money
- Collection, counting and banking of cash and maintenance of appropriate financial records in relation to school meals and recording using Addsum4.
- Maintain records of free school meals entitlement and dietary requirements
- Preparation of all appropriate forms/reports to the Local Authority.
Educational Visits
- Work closely with the Educational Visits Co-ordinator and class teacher to organise school visits, camps and extracurricular activities including booking transport and travel.
- Collect Ed Visits income and record using AddSum4
- Send letters out in a timely manner and monitor consents letting the trip organiser know when any are outstanding.
Communications
- Manage the Groupcall system, sending text messages as appropriate and receive training for updates when available.
Additional
- SIMS Import and Export CTF’s, SPTO and pupil information updates.
- As part of the office tem check all deliveries promptly to ensure accuracy and notify the Senior Office Manager of any shortage/breakage. To notify the appropriate member of staff that their order has been checked and is ready for collection. Arrange for the Site Manager to deliver any large or heavy items to the appropriate recipient.
- Support the Senior Office Manager with raising orders at busy times of the year.
- To be a mentor figure for new/lower grade members of the admin team.
- Any other duties as commensurate within the grade in order to ensure the smooth running of the school.
