Klein Collins Band Association Board Meeting

KCB President Julie Evans called the meeting to order at 7:06 pm in the Klein Collins Band Hall.

Report of the Board

·  Secretary – Jenn Hatch: Discussion on how to report hours. Everyone is to report their hours for the month to their committee head who will submit their hours to Secretary. Volunteer hours were reported.

·  Treasurer: Kim Miller –A handout was given. Total Assets for KC Band $74,576.53.

·  Budget Report: Mr. Rugila reported that we are given a Band Budget of 100,000. Some money is given by district and we supplement the rest.

·  Governance: Shelly Leider – We are sticking within bylaws and KISD stipulations.

·  Fundraising Chair – Kimberly Harte – We are working on setting a date (tentative March 25th) for the Fun Run with the District. Additionally we will have to fund some of the payment for security. We need a lot of volunteers. The Fun Run is to help offset the fees for next year if we do well. An idea to have a puppy parade was introduced. With pet vendor sponsors we can hopefully cover fees of the event. Each month more information about the event will be given. There will be a 2nd Fundraiser on Valentines Day. The Band will sell/deliver flowers to KCB students.

·  Vice-President: Shelley Harrington - We have a new Facebook Page-Klein Collins Band Parent Association. We can post information and get quick information concerning band on it so be sure to like our page!

·  President: Julie Evans

-We need people to get their Volunteer Backgrounds or they cannot volunteer. One-hundred people have requested that they would like to volunteer but there is a significant number of people who need to do this ASAP!

·  Committee Reports

§  Chaperones – Deana Stricklin –Parents are needed to chaperone during the games. There is not a lot of responsibility during the game. It would simply be riding on bus and getting the band students into the stands and back on the bus safely. Chaperones have a “Group Me” Text to communicate between chaperones at the game that is very helpful. For every event Deana sends out a “Sign up Genius” for those who want to sign up to chaperone.

§  Sponsorship- Need to meet as a committee. Discussion of volunteer program.

§  Flags – Scott O’Neill – Subscriptions are taken in the Spring. 1800 Flags are on a Route which is organized by Mr. McIntryre. The best way to help with this program is to get in contact with your HOA/Newsletter to spread the word in your neighborhood.

§  Feed the Band –-Julie Wood- Be sure to send $7 in exact cash if you wish for your child to be fed at Thursday/Friday games. No change is given. 85 meals were bought last week. 10% of the sales donated back to the band equaling $59.60 total.

§  Guard – We are in need of a Guard Liaison. There will be 45 people in Guard for the 2016-2017 year.

§  Hospitality –Jennifer Miller/ Carol Rendl – n/a

§  Photography –Justin Evans-The Photography team always needs people to take pictures with their cameras (not phones). All pictures are posted on a FlickR account on the website.

§  Pit – Jose Villarreal – This is a simple way to help. Before and after the game you load and unload the trucks/push things on the field and meet at Stadium. Pit crew wears polo shirts that are embroidered. It is possible we will need some new ones. Going to price embroidery shops.

§  Program Add Sales – Mosadi Porter / David Broussard – n/a

§  Programs –We are looking for someone to do Program Sales. This is a Fundraiser for all bands in Klein. We are not in charge of this. At the beginning of season it is $8 a program. Now they are $5. We need everyone to buy at least one per season to help out. All of the Programs were sold at the first game and about half were sold at second game.

§  Props – Chris Trevino – Each week something is added to the Backdrop. We need more Velcro. At the end of the season the Backdrop can be sold.

§  Refreshments-Pizza nights are funded by KCBA. We provide a drink at every game and at marching contest. We will have Gatorade at marching contest. A deal was made with Kroger to get some of their name brand Sprites during the game. Snacks will be provided at Lonestar and New Caney Marching Contests. A meal will be provided at the Area Contest.

§  Spirit Sales – Shelly Leider – The goal is to have all the Spirit Items to deliver and sell by this Thursday (September 15th) for after practice. There is a possibility we can set up the Spirit Items at Bahama Bucks to increase sales for Spirit Night. Will check on this. Also there was a surplus of sunglasses that were donated to the band. Mr. Rugilla can do what he pleases with them.

§  Sponsorship – In need of Sponsors for the year. The levels and information is on the website.

§  Uniforms –Mr. Rugila- We need approx. 50-75 blue pants for future. The band will need to order super early at least six months in advance. There was tons of help on washing the uniforms last time. We will need help to wash them after Homecoming Game. Clean uniforms due on
Thursday September 15.

·  8th grade night for Prospective Incoming Freshmen September 30th-Band Students will receive one slice/8th graders will receive 2 pieces. We will need approximately 50 pizzas. There will be 100 8th graders who will eat at 5pm before we leave for the game. The Band Students can eat their piece of pizza after they eat their dinner from “Feed the Band.”

·  Audit was completed for 2015-No issues found.

·  October 21st-Pizza after the game for Band. Someone has offered to buy the pizza for the band this evening.

·  October 22nd Halloween Haunted House sponsored by Student Leadership- 7pm-10pm. We will need 4/5 Chaperones. Students will bring food.

Band Directors Report-Orlando trip looking good. We need Refreshments.
