  1. Introduction
  2. The Barrow Cadbury Trust is pleased to offer the use of its meeting rooms to partners for greater mission related value. There is no charge for the use of the rooms though users are asked to comply with the Trust’s terms of use.
  3. The Trust has two meeting rooms, MR1 and MR2, accommodating approximately 12 people in each. These can also be opened up into one larger room for bigger meetings (maximum c25) as required. Both rooms are air conditioned. In addition, MR1 has a TV/projector connection for presentations and MR2 has a conference phone (payable by the user). There is also a smaller side room which can be used for serving teas/coffee (MR3).
  4. Users are asked to complete and return the form below as soon as possible and to confirm acceptance of the terms of usage.
  5. Kean House operates a non-smoking policy within and immediately outside the building.
  1. Responsibility of Users
  2. Security/Health and Safety: Before returning the form, we would ask users to ensure the main contact and/or member of staff who will be attending the meeting has read the Trust’s information on Health and Safety and Fire Escape Procedures (in section 3).The principal contact will be responsible for ensuring these are communicated to all attendees at the commencement of the meeting. With this in mind, we would request that a list of attendees be emailed at least 24 hours before your meeting. Failure to comply with this could result in your guests being delayed by security. The Trust cannot accept any responsibility for users’ personal belongings.
  3. Access/Availability: Users are advised that meeting rooms are available from Monday to Friday, between the hours of 9:30am and 5:00pm only. In order to ensure the smooth running of your meeting the Trust would recommend that you visit the premises before the date of your meeting as we do not have the capacity available to service your meeting. For disabled (i.e. wheelchair) users, access to the building is via a platform lift in reception area. Please let us know in advance if this is required, so that we can inform the front desk.
  4. Responsibilities: There must be a named person who will be present on the day of the meeting to be our main contact and take responsibility for formalities, such as room set-up (servicing the meeting), any guest issues, liaising with reception, dealing with any catering ordered, etc.
  5. Refreshments/Catering[1]: Users are responsible for servicing their meetings. This includes arranging refreshments and catering. Refreshments (i.e. tea, coffee, filtered water) are available free of charge for meetings up to 8 people. For meetings larger than this, the Trust would ask you to provide your own tea and coffee and milk. When placing a catering order, please let them know that your organisation should receive the invoice. The goods need to be marked ‘C/o Barrow Cadbury Trust’. We also have a number of thermoses, jugs, cups, glasses, etc which can be used.
  6. Photocopying: The Trust cannot provide photocopying facilities. Organisers should therefore ensure they bring sufficient quantities of documents and materials required.
  7. Environmental Policy: Users are asked to observe the Trust’s Environmental policy. We would therefore prefer that users do not bring in bottled water. A plumbed filtered water system is in place. We also have a food waste recycling bin.
  8. Your Meeting: On the day, we would ask that the main contact arrives at least half an hour before commencement of the meeting to assist with setting up for your meeting. After the meeting please clear any cups and plates (and putting them ion the dishwasher if appropriate) and dispose of all rubbish. If you have rearranged the tables and chairs please return them to the original layout.
  9. Feedback: It would be helpful if you could provide us with feedback to help us improve our service. We would ask you to complete a brief questionnaire, to be provided on your arrival, for completion before your departure.
