JWE PTO Coordinators/Committee Chairs – Overview

Our JWE PTO is always in need of helping handsto oversee miscellaneous tasks that make our PTO and school events successful. For every PTO-sponsored event we will need a coordinator(s)/chair(s) whowork will work on leadingthe event and providing communication between the PTO Board and the group of event volunteers. The PTO Board is here to assist all committee chairs and help to deliver a smooth and well-organized event. In order to ensure effective communication and expectations here is an outline of the roles and responsibilites for each coordinator/committee chair.

Coordinator/Chair Roles and Responsibilities include:

  • Collaboration with the PTO Executive Board members, Principal Howse/Administration, and teachers to coordinate a successful event
  • Coordinators should anticipate communication with the board will increase closer to the event date
  • Overseeing volunteer recruitment for the specific event and actively making an effort to involve other parents
  • Providing a project-plan that outlines the basics of the event for the Board
  • Promoting PTO goals, membership, and activities as a PTO-committee chair or coordinator
  • Promoting the 7 Leader in Me Habits
  • Either attending or sending a delegate to the General PTO Meetings to represent the event/activity and providing a status updates as needed
  • Before sending out any flier/general event information, having it approved by both the Board and the Administration
  • Ensuring that all financial transactions are first approved by the Board for reimbursement (PTO has the tax-free letter that is needed)
  • Keeping detailed financial records and meeting with the PTO treasurer to confirm those records within two weeks of your event ending (if applicable)
  • Giving a financial update and overall post-event follow-up to the PTO Board within a month of your event ending (if applicable)
  • Keeping a binder/folder of all event information to be passed down to the next person chairing this event
  • Following approved PTO By-Laws

These chair positions are not voted upon, filled by volunteers, and must be approved by the Board and Administration. The PTO Board is excited to work with all chairs on planning these events and is here to support you. If you are interested in one of the chair positions below, please contact any PTO Board member to discuss your interests. Chair positions may be shared and chairpersons may appoint committees to help them fulfill their duties. Each position will have more detailed responsibilities, as well as event information and guidance from the Board.
