Job Title: Training Advisor
Department: Creative Sport & Leisure (CSL)
Reporting to: Training Manager
Description of Job Role:
The role of the Training Advisor will provide outstanding operational support and the management of a professional administrative service to Creative Sport & Leisure Team. The service will comply with company agreed procedures, practices and processes. The service will be monitored against CSL quality standards. The primary function of this role is to ensure contract compliance for all contracts delivered across the North of the England.
Key Responsibilities:
1. Maintain records of Pre-Placement checks (PPCs) and Employer Liability Certificates. Alert Training Manager of outstanding PPC documents weekly.
2. Chase employers for the Employer Liability Certificates and alert Training Manager to those outstanding (weekly).
3. Diary management and planning for apprentice work based assessments. Ensure that each learner is seen every ten weeks as a minimum.
4. Ensure all apprentices receive an in-centre review based on the agreed document every twelve weeks. This document and discussion must cover all aspects of the framework.
5. Maintain employer files.
6. Ensure all learners receive an end of term report in December and April for all Further Education and training programmes.
7. Ensure all communications are dealt with in a professional manner, giving a high level of customer service, send attendance reports to employers (via email).
8. Maintain Pelams/PICS data including:-
a. Ensure all relevant data is recorded on PICS/Pelams in a timely way (partial)
b. Maintain learner files including ILR
c. Use Celcat to timetable and maintain current timetables
d. Monitor the taking of registers and ensure 100% compliance to the policy
e. Collect and monitor learner tracking data – at least every month
9. MIS: develop and produce reports to detail activity within the centre
a. Learner progress
b. Attendance
c. Recruitment to learning programmes
10. Production of learning materials including portfolio documents, manage the photocopier and photocopying.
11. Work with recruitment to enrol learners.
a. Ordering of work wear and dispatch to learners
b. ID cards
c. Collection of enrolment fees
12. Maintain the ‘Course Files’ for each learning programme
13. Manage the Petty Cash for the centre
14. Run learner data checks each term
15. Support the Training Manager by:-
a. Arranging and minuting meetings
b. Managing stationary, notice boards, housekeeping, catering and other general training administration events.
Person specification:
· Good general education to Level 3 or above or able to clearly demonstrate work at or above this level
· Good communication skills both spoken and written
· Good knowledge of further education and/or apprenticeships including funding and contractual requirements
· A good knowledge of administrative and computer systems, preferably those used in the education sector
· Ability to manage multiple tasks and projects
· Professional approach to work
