JOB TITLE:Trainee Project Support Worker

PROJECT:Skills for Care training programme

JOB LOCATION:Taunton

RESPONSIBLE TO:Training Coordinator

Objectives

To provide accurate and efficient administrative support to ensure the organisation, coordination, and promotion of the Skills for Care training programme so that it is delivered within the agreed timeframes and within budget.

Main Duties

  1. To develop understanding of Compass Disability Services projects with a specific emphasis on the Skills for Care training project, in order to provide accurate and relevant information to service users and PAs who may become delegates on the training programme.
  1. To be the key telephone contact to answer queries relating to the training programme, responding to callers’ requests or directing the call to the most appropriate person within the organisation.
  1. To process bookings for training and other requests in line with procedure and maintain accurate records of all enquiries and bookings received.
  1. To maintain the Charity Log cloud database, and other relevant record systems, ensuring data protection legislation is observed at all times.
  1. To liaise with training providers to ensure their information is up to date and prepared ready each time their training module is run, as required.
  1. To liaise with training venues, establishing availability, accessibility, facilities, costs and making and confirming bookings.
  1. Carry out training administration to include filing, typing, taking bookings, confirming places, preparing joining instructions and mail shots etc. and to develop, format and manage documents in line with Compass processes.
  1. To support the Training Coordinator in developing the Skills for Care training project and undertake any necessary research as directed.
  1. To follow and fulfil procedures and tasks relating to the Quality Manual.
  1. To be fully aware of and able to fulfil your role as detailed in the Fire Evacuation procedure.
  1. To maintain a positive and professional image of the organisation at all times.
  1. Be aware of and adhere to Compass Disability Services’ policies and procedures at all times.
  1. To abide by the rules and guidelines as laid down in the Staff Handbook.
  1. To remain aware of, and abide by, current legislation, organisation policy and the eight principles relating to Data Protection.
  1. To commit to the necessary training and development activities in order to fulfil the role and your potential.
  1. Attendance at staff meetings, external events and other meetings as required.
  1. Travelling is not an integral part of this role and as such you are not permitted to drive on work related business using your own vehicle unless you are able to comply with the standards laid down in the Use of Private Vehicles for Company Business Policy.
  1. Any other duties considered necessary to further the aims of the organisation.

PERSON Specification

The Criteria for the post are:

Must be able to demonstrate an understanding of, and a commitment to, disability equality and equality of opportunity for all people in the community.

Must be a competent user of MS Office products (such as Word, Excel, Publisher and Access).

A friendly, outgoing and positive personality

Good functional skills (maths, English and ICT)

Good communication skills including a professional telephone manner

Ability to work under own initiative

Good organisational skills

Desirable:

To hold an NVQ level 2 or equivalent in Business Administration

TERMS OF EMPLOYMENT

Contract type

Fixed term – 12 months

Salary

£12207 (Scale 1) per annum pro rate (£6.34 per hour)

Working hours

21 hours per week. To be agreed between 8.30am and 5.30pm Monday to Friday.

Probationary period

There will be a three month probationary period

Annual leave

Annual leave is 25 days pro-rata plus statutory and Bank Holidays

Travel

The post may involve some travel within the Taunton area and the post holder must be able to manage this as and when necessary. Travel Expenses will be paid at Compass Disability Services rates.
