Ordering Exchange

  1. PURPOSE:

To ensure that all exchange work-orders have the correct information and are forwarded to DP in a timely fashion.

APPLICATION:

·  Job Title(s): Customer Relationship Representative (CRR)

·  Frequency: Daily, as required.

  1. MATERIALS & SUPPLIES NEEDED:

1.  Pen

2.  Work-order or

3.  ImageFIRST invoice

  1. SAFETY AWARENESS:

● Refer to ImageFIRST Safety and Health Program

D.  PROCEDURE:

1.  Arrive at the account.

2.  Check with contact person to see if customer has any changes to the service

3.  Once all sizes, styles and quantities have been determined a work order can be written.

4.  Find the work order area of the invoice (see attached)

5.  Find an available MAN # and write it in the MAN # column.

6.  Write the action code (E) in the CODE column.

7.  Write the correct PRODUCT INFO # in the PROD # column (this number should be a 1, 2 or 3 depending on which column) (If account has multiple products denote which one here)

8.  Write the quantity in the QTY. column.

9.  Write the size requested in the SIZE column.

10.  Write either N for new or U for used in the GRD column.

11.  If these product/s are already on the invoice leave price column empty.

12.  If these product/s are not on the invoice fill in the correct price in the PRICE column.

13.  If the product gets emblems, get the correct emblem information letter and record it in the EMB. column.

14.  If the product does not get an emblem denote with an “X”

15.  Give the invoice to the customer for signature.

E.  WORK IS DONE WHEN:

1.  A properly filled out work order will be forwarded to DP for input.
