Job Title:Project Manager – Personal Assistants
Hours of work:37.5hrs
Reports to:Service Development Manager
Nature of the Job: In line with Personalisation support, develop and market the Personal Assistant (PA) role and function. Another aspect of this role is to oversee the set up of a staff supported living bank system, which will interface with the PA IT system.
Main Duties includes:
- In the first instance work closely with our Stockport Commissioner to support the development of the PA role and in its entirety initially manage the Stockport Project.
- Develop a 12 month project plan by building on existing PA work.
- Support the set up of the supported living/PA Bank System.
- Support and monitor project progression, including producing reports.
- Scope the market, make recommendations and develop a 3 year PA Strategy, including a pricing structure.(The strategy will need to take into account working with vulnerable groups of people, not just with learning disabilities.)
- Explore and make recommendations for other business development opportunitiesi.e. to act as agents for: children in transition, support planning and brokerage, support others (i.e. family carers) to recruit and train PAs, pay-role services, holding and managing account etc.
- Identify and/or access other funding streams, grants etc.
- As part of the initial project operationally manage the staff.
A)MAIN DUTIES AND RESPONSIBILITIES
- To actively lead and promote the implementation of the project, and support through evaluation the development of the role of the Individual Personal Assistant (PA.)
- As requested to prepare and present accurate and precise verbal and written reports to the Managers and/or Directors.
- To identify a range of quality measuring systems and key performance indicators by which the project can be monitored to ensure we are responding to the market, service user needs and continuous quality improvement.
- Identify any potential areas of cost improvement and/or savings.
- Keep abreast of current and emerging national and local guidancelearning and information, particularly around Personalisation.
- To assess, co-ordinate and monitor own and any team members workload and performance.
- To make appropriate use of resources to achieve objectives.
- To deploy effective communication strategies to ensure information and knowledge is imparted according to the needs of the users of the service, including their families/carer, commissioners, managers and any staff involved in the project.
- Communicate and link up with other organisations, including where appropriate work in partnership to meet aims/objectives.
- To promote a positive relationship with all stakeholders.
- To lead on and ensure developmentof Policies and Procedures.
- Support and influence the IT system required to manage the Supported Living and PA bank system.
- Explore and develop marketingopportunities.
- Work closely with the Service Development Manager, Business Development Unit and Communication Manager.
- Scope, access, apply for funding opportunities, grants etc.
Direct Operational Management:
- Ensure that all PAs are suitably trained, supervised, appraised and managed appropriately.
- Take responsibility for the recruitment and selection of PA’s.
- When setting up and delivering the service ensure that the initial assessmentof need is taken into account, is reviewed at regular intervals and that any changes in need/wishes are reported through to the appropriate person.
- Support, coach and mentor any new Team Managers.
- Ensure that H&S/work place risk assessments are undertaken prior to commencement of support and that they are reviewed in line with change of need or circumstances.
- Be a point of contact/communicate effectively with users of the service and Commissioners or their nominated persons.
- Undertake quality checks of service delivery to ensure satisfaction/best value.
- Monitor and manage budgets as appropriate.
B)TRAINING AND EDUCATION
- Influence and support the ongoing development of PA training by:
- liaise with Future Directions CIC trainers,
- keep abreast of developments within Skills for Care,
- feedback from users, families and/or carers etc.
- Where appropriate plan and deliver training to others.
C)PROFESSIONAL:
- Ensure that confidentiality is maintained in accordance with Future Directions CICprotocols, policies and procedures.
- To ensure that data is handled in a secure manner protecting the confidentiality of any personal data held and meeting the requirements of the Data Protection Act (1998) and other relevant legislation.
- To maintain personal standards of conduct and behaviour consistent with Future Directions CIC and any Professional guidelines; ensuring that staff with sphere responsibilities are aware of the required standards.
- Maintain any Professional Registration relevant to the position and adhere to requirements as laid out under the relevant Professional Bodies Regulations.
- Maintain own Professional Profile and make it available when required by the service.
- Participate in training events for self-development as required thus ensuring the successful implementation of the project.
- Follow Policies and Procedures and respond appropriately to any concerns, complaints or grievances. Reporting promptly to an appropriate Manager.
- To participate in formal supervision and undergoappraisal of performance in accordance with Policy & Procedure.
