Job Title:IT and Finance Support Officer

Job purpose

The role will provide front line hardware and software support within the organisation and be the interface with various outsourced IT providers such as the network system, cloud hosted system, database and bespoke software packages. The role’s main focus will be on IT support but will also include some support for finance processes. It is estimated the split will be approximately 80/20.

Responsibilities

IT hardware and software trouble shooting and problem solving

  • Receive and respond to phone calls, desk visits and/or e-mails regarding PC and/or other hardware and software problems
  • Perform analysis, diagnosis, and resolution of simple to complex PC problems for all staff, and recommend and implement corrective hardware solutions, including off-site repair as needed
  • Liaise with external suppliers for the repair or maintenance of equipment under warranty or arrange out of warranty repair

Database support

  • Work with colleagues to ensure data integrity of our Integra database. On-going maintenance required involving basic editing of records
  • Ensure maximum functionality of database is achieved across the organisation and support and provide basic training to other staff in the use of Integra
  • Support regional branches with their use of ‘Integra Everywhere’

Bulk email system

  • Ensure dotMailer contact lists are up to date and maintain ‘suppressed’ contact lists for LI and all branch accounts
  • Manage information generated after use of dotMailer and ensure information is updated

Hardware and software procurement and support

  • Test, procure and install any non-standard, non-hosted software required for local pcs
  • Train staff where appropriate on new or updated systems or software applications
  • Set up new equipment and upgrade existing systems where appropriate

Website

  • Liaise with the LI’s preferred website developer for website operational issues or enhancement requests

Security, back ups and licencing

  • Maintain local server backup procedures
  • Ensure all pcs and laptops have adequate and up to date anti-virus software
  • Record software licence details for local pcs and server installations (not hosted)

Suppliers and hosted systems

  • Liaise with all third party software and hardware vendors, including hosted system supplier
  • Process new user account requests, including email account setup, with the hosted system supplier contact
  • Maintain an up to date list of hosted system user accounts. Ensure redundant accounts and email addresses are removed or redirected to new / alternative user
  • Use Active Directory to create/amend/delete/maintain user accounts on local login server

Finance support

  • Sales invoicing on SAGE
  • Chasing debts
  • Bank account support for branches – emailing monthly statements, administration of mandate changes
  • Receiving inquiries and requests of recruitment advertising, formatting and placing adverts online, processing payments
  • Other appropriate support for the Head of Finance and Governance as required

Person Specification

Essential

  • At least two years experience of working in IT support
  • Good understanding of MS Office suite (Word, Excel, PowerPoint), Windows 7, anti-virus software (esp AVG, McAfee)
  • Demonstrate practical knowledge and problem-solving strategies
  • Excellent interpersonal and communication skills, including the ability to explain problems and solutions clearly to non-technical users, to deliver training and give support to regional branches over the phone
  • Highly-organised, business-like and efficient approach to work
  • A willing to keep abreast of new developments in software and hardware
  • A self starter and ability to prioritise complex workload alone or as part of a team
  • A positive approach with a strong sense of team and a calm persona

Desirable

  • MS Network experience, esp. Active Directory
  • Database knowledge (Integra or SQL based)
  • Dotmailer, Mail Chimp or other branded bulk email system knowledge
  • Some HTML knowledge (for recruitment adverts and website edits)
  • Sage Accounts & Payroll (not in depth)
  • Demonstration of continual professional development and/or member of relevant networks
  • Experience of working in the voluntary/charity sector
  • Sympathy with the ideals and values of the LI and landscape issues
