Job Title:Human Resources Administrator

Department:Human Resources

Reports to: Head of Human Resources

Purpose of role:

This role will provide professional HR administrative support to the HR team. This post will have particular responsibility for assisting the Head of Human Resourcesin the implementation of the College’s new Human Resources Information System (HRIS).

Please note that the successful applicant will receive training in the College’s HRIS.

Responsibilities:

  • To provide an effective and customerfocused HR Administrative service to the College.
  • To provide administrative support to theCollege’s recruitment and selection processes.
  • To ensure that all pre-employmentchecks areundertaken.
  • To provide administrative support to the starter and leaver process. Includingdrafting letters and contractual documentation.
  • To liaise with payroll to ensure that starters andleaversareprocessed accurately and in accordance with payroll deadlines.
  • To administer the probation and performance review processes
  • To organise training as and when required.
  • To assist in the transferring of data from current information systems onto the HRIS.
  • To undertake datainput onto the new HRIS and to ensure that the data held is comprehensive and keptup to date.
  • To assist in the customisation of the HRIS to meet therequirements of the College.
  • To assist in the set up of documents and workflows within the HRIS toreflect the College’s HR processes.
  • To scan documents onto the HRIS.
  • To assist in the designing of reports within the HRIS.
  • To provide general administrative support to the Head of Human Resources and the Human Resources Team.

PERSON SPECIFICATION

Experience and knowledge

  • Experience of providing excellent administrative support within a Human Resources environment
  • Experience of working with HR databases and record keeping systems
  • Experience of setting up new systems and processes
  • A level 3 Diploma in HR would be desirable

Skills and personal attributes

  • Excellent communication skills
  • Excellent administrative and IT skills
  • Ability to use initiative to solve problem and has the ability to work independently
  • Ability to organise and prioritise own workload
  • Ability to support the set up and organisation of effective systems and processes

Employment Details

Salary:£11,172 - £12,662 per annum (£22,500 - £25,500 per annum pro rata)

Hours:Part time 18 hours per week

Contract term:Fixed term – initially for a period of 12 months

Holiday:33 days (pro rata) inclusive of an entitlement for bank holidays

Housing allowance:Upon successful completion of the probationary period staffare normally eligible to receive the housing allowance currently set at £850 pa (pro rata for part time staff) which is paid quarterly.

Pension scheme:The College operates a defined contribution pension scheme. The College will contribute double the amount that employees contribute up to a maximum of 16%employers contribution.

The pension scheme complies with the requirements of the Occupational and Personal Pension Schemes Regulations for auto-enrolment. All staff will become members, after three month’s service unless they choose to opt out.

Private Health Care:The College provides free health care currently through membership of BUPA. Membership of a dental care scheme is also available. Staff are able to join the schemes after successful completion of their probationary period, subject to certain limitations. This is a taxable benefit.

Gym:Membership of the College gym is available for a modest fee. Inductions are compulsory.

Sports & Social Club:The Trinity College Staff Sports and Social Club, run by a committee of staff, offer regular outings to places of interest, and organise functions including a Christmas event.
