Salary: Pro-rata £18,000

Contract:Fixed term, beginning as soon as possible by mutual agreement,endingFriday29thMay 2015

Hours of work:35 hours per week, plus occasional additional hours as necessary, although this is not expected to be excessive.

Working relationships:UEL Students’ Union staff, elected officers,University of East London staff, society organisers,programme reps, and student volunteers.

Purpose of the post:The post-holder will support and develop the Union’s events and activities, whilst assisting, motivating,and developing student event planners and event volunteers. The post-holder will be responsible for both organising and supporting events and activities that appeal to the University’s academically and culturally diverse community, whilst also developing opportunities that inspire and reward students for taking involved roles. The post holder will work with UELSU staff and officers on their priority events and projects as well as initiating social events for UEL students and supporting student event planners.

Authority and direction is delegated fromUEL Union’s Trustees, via the Chief Executiveand management structure.

This internship is reserved for a recent UEL student, graduating 2013 or 2014

Duties and responsibilities

1.0Events and Activities
  • To organise extra-curricular events in line with UELSU’s priorities, including the priorities of student officers and representatives. Such events will vary in nature and purpose but many will be social or recreational.
  • To support events led by student elected officers and Students Union staff, which further the aims of Students Union campaigns, education, democracy, and student engagement.
  • To advise and support student event planners to organise extra-curricular events based around the university
  • To assist Society Organisers and other student event planners in following UEL and UELSU procedures, including the booking of spaces, use of equipment, promotion of events, and risk management.
  • To co-ordinate programmes of extra-curricular activities for new intakes of students such as Freshers Week(s)
  • To develop student volunteers by encouraging student involvement in event planning, delivery, and promotion
  • To stimulate student participation in Union activities and drive attendance at Union events

2.0Communications and student feedback

  • To monitor student satisfaction of social life, events and extra-curricular provision on campus
  • To communicate and promote Students Union events, activities, and opportunities to students via both on-campus and online methods, including the Students Unionwebsite
3.0Finance & resources
  • To ensure that best value for money is obtained at all times.
  • To be accountable for the security of Union resources, including equipment.
  • To implement UEL Union’s Financial Procedures within activities.
  • To ensure that the Finance Department receives all necessary financial information, that it is accurate and on time.

4.0Ethical and environmental standards

  • To promote the highest standards of ethical and environmental behaviour, ensuring that the Union is endeavouring to reduce its impact upon the planet.

5.0Customer care

  • To ensure that customers’ expectations are exceeded whenever possible.
  • To ensure that systems are employed to ensure that the highest operational standards of health and safety are met.
  • To treat students, staff and visitors in a friendly and polite manner and do everything reasonably possible to exceed stakeholders’ expectations.
  • To deal with student feedback, whether positive or negative, in a courteous, efficient and timely manner.

6.0Health and safety

  • To ensure thatUELUnion’s Health and Safety Policy is adhered to at all times.
  • To ensure that Health and Safety legislation is adhered to at all times.
  • To ensure the health and safety of students, staff and visitors at all activities arranged or supported.
  • To act as a first-aider, once qualified.

7.0Other duties

  • To attend appropriate meetings as and when required by the Union.
  • To abide by UEL Union’s Constitution, policies and procedures at all times.
  • To contribute to the positive image of the Union with students, the University and the local community.
  • To undertake other tasks and responsibilities compatible with the level and nature of the post as required by the CEO or line managerfrom time to time.
  • To carry out the above duties at the Docklands and Stratford campuses and other sites as necessary.
Training and professional development

UEL Union considers regular and ongoing training as essential to job satisfaction and career development. The post-holder will be offered the opportunity to participate in training that is relevant to his/her duties and they will be expected to undertake such training as may be reasonably practicable. The post-holder will be informed of relevant training opportunities organised by UEL or UELSU, but may also look outside the university for training and development opportunities, depending on their nature and relevance.

Notes

The nature of the post will, at times, require additional commitment over and above normal office hours. Payment for these hours is incorporated in the salary offered.
