JOB TITLE:Events and Fundraising Assistant
RESPONSIBLE TO:Fundraising and Events Manager
ACCOUNTABLE TO:Director General
LOCATION:Central Office
HOURS OF WORK:Part time (minimum 24 per week) / Full time
SALARY: £18,000 - £22,000 (based on 40 hours full time), and will be adjusted depending on the number of hours contracted.

JOB PURPOSE
To provide administrative assistance to the Fundraising & Events Manager for the Charity’s annual central events and fundraising activities. Our current key events are:
- Newtrade’s Independent Achievers Academy Gala Dinner (awards ceremony for 300), Thursday 18th November 2010, The Grange Hotel, St Pauls
- ‘Supporting independents’ Presidential Event (conference for 100 delegates), Thursday 9th December 2010, Delloitt’s Holborn Office,
- Burns Supper (Scottish themed dinner dance for 400), Saturday 22nd January 2011, The Grand Hotel, Brighton
- The Candy Ball (our major fundraising event for 700), Saturday 7th May 2011, The Park Plaza Hotel, Westminster
Note: these events are not exhaustive, but are our major events. To ensure sufficient administrative support, it will not be possible for the postholder to take annual leave two weeks prior to each major event.You will not be expected to work the weekends. For a part time postholder some additional hours may available prior to the events.

MAIN DUTIES
Main Central Office Events
To assist the Event Manager in all aspects of administration for the Charity’s high quality major fund raising events:
You will be required to provide the following support:
- obtaining product for goodie bags, and raffle, auction tombola prizesfor key events and fundraising
- providinginput into themeing / entertainment / PR / marketing of the events.
- assisting with meetings regarding venues and suppliers, where necessary.
- co-ordinating the collation of information/material required for events.
- entering information on the main database or spread sheets.
Other events
To attend exhibitions, conferences and trade events which are used to raise awareness of the Charity and to carry out fundraising activities there. This will include assisting with running raffles and preparatory work such asdesigning & printing fundraising envelopes, assisting with distribution and collation of envelopes, money counting, and following up post event with thank you letters.
Marketing / PR
- To assist with promotion and marketing of the Charity.
- To assist with the communications regarding our key events and fundraising activities.
Other support
To provide occasional support for our Area Committees.
Fundraising database
To maintain the database, ensuring it is current and accurate, listing full records of all benefactors, donators and supporters.
Website
To assist with making updatesto the Charity’swebsite (via a content management system).
General
- To contribute to the aims and objectives of the Charity.
- To ensure the Charity operates best practice in all matters.
- To acquire knowledge of the Charity’s welfare activities, and where appropriate, be involved with, and meet the Charity’s beneficiaries.
- To represent the Charity in a professional manner.
- To always use resources/funds in an auspicious manner.
- To carry out other duties commensurate with the post, which the Fundraising and Events Manager deems appropriate.
- To actively support the work of the Charity.

Essential Requirements
Essential criteria / Method of assessmentEducated to A-level (or equivalent) / A
Minimum of 1 years’ experience of office administration, with knowledge of office systems, procedures and practices / A/ I / T
IT - Excellent working knowledge of Microsoft Office, inc. Word, Excel, Powerpoint, Outlook and the internet / A / I /T
IT – proficient in understanding and creating mail merges along with an understanding of how databases work / A / I /T
Excellent verbal communication skills with the ability to communicate effectively at all levels and to build good working relationships with suppliers, volunteer committees, delegates etc. / A/ I
Excellent written communication skills / A / I / T
Excellent organisational skills and experience of working to tight deadlines whilst coping with competing priorities / A / I / T
Proactive and flexible attitude to work, able to adapt to changing work levels / I
