JOB SUMMARY:The primary duties of the Employment Manager areto support company operations through effective employee relations, recruiting and retention initiatives. The Employment Manager is primarily responsible forapplicant pre-screening, interviewing, hiring, on-boarding, andnew hire orientation training. Other important duties include: Maintaining low turnover through solid hiring practices and employee follow-up. Promoting and administering benefits and employee incentives aimed at positive employee engagement and morale, quality performance, and retention. Managing the employee performance managementprocess, policy administration and coordinate the daily operations of the time and attendance systems.Monday through Friday schedule with flexibility.

SALARY: $40,000/year salary to $45,000 (commensurate with experience) to start w/benefits. Benefits available include: health, 401K, life, short/long term disability, paid vac/ sick/ holiday

QUALIFICATIONS:Associates degree or Bachelor’s degree a plus.2-4 years administrative experience, HR experience preferred. Recruiting and hiring experience a plus. Excellent verbal and written communication skills are a must. Computer experience including Microsoft Word, Excel, and Powerpoint required. Publisher experience a plus. Attention to detail in composing, typing, and proofing materials. Must be skilled in establishing priorities and meeting deadlines.Must be self-motivated, detail-oriented and outgoing to be successful in this role.

ESSENTIAL DUTIES:

  • Recruit employees for temporary, part-time, and full-time placement through marketing materials, placing job ads, & posting openings on job boards w/ local universities and employment facilities for all branch offices.
  • Review applications and select candidates for interviews following appropriate guidelines.
  • Call candidates to schedule interviews. Follow up with an email confirming location, date and time.
  • Conduct interviews for interested applicants.
  • Perform social security verifications, local criminal background checks and national background checks through county websites and criminal background check verifiers.
  • Perform thorough reference/work history checks which can require a great deal of "phone work". Requires persistence, professionalism and excellent communication skills. This is ”as needed” when the Bloomington Office Manager isn’t available or has a heavy volume.
  • Review background and reference checks on all possible hires to determine applicant’s honesty and work history.
  • Fill open jobs with eligible candidates that will be the best fit for the particular duties, hours, and location. Follow up with a job offer email confirming locations, pay rates, dates, and times of orientation, testing, training, start date, account information, etc. Update shared calendar with dates and times.
  • Prepare all orientation packets and conduct new hire orientations as needed. These are currently 4pm to 6pm once or twice per week, however increases in openings or accommodating candidate scheduling needs may result in additional orientations to be done at varied times on occasion. Coordinate scheduling of all portions of orientation and updating shared calendar.
  • Perform new hire reporting and E-verify of all new hires.
  • Send follow-up postcards to all applicants following their interview and update interview spreadsheet.
  • Perform all requested employment verifications by outside agencies.
  • Set up all new hire on the job training sessions and coordinate with prospective trainers.
  • Set up new hire training folders. Ensure completed by all trainers and filed in employee’s personnel file.
  • Ensure that all new hire paperwork is accurate and completed properly.
  • Assist Office Manager in entering new employee information into Win-team and making ID badges as needed.
  • Ensure that personnel files are maintained, accurate and follow government regulations. This includes scanning and saving documents in appropriate folders.
  • Administer enrollment and open enrollment of group health, voluntary benefits, and life insurance with all full-time employees and Cobra. This includes data entry and scanning/filing forms.
  • Process and distribute employee evaluations completed by Managers and enter raises. Audit data and follow up with Managers on late evaluations.
  • Assist with all employee incentive programs to include: marketing, monitoring performance, ordering &/or creating awards, and keeping reports.
  • Follow-up with new employees by phone to ensure properly trained and to help improve employee morale.
  • Conduct exit interviews.
  • Assist with company surveys.
  • Travel to various accounts to better understand job duties and to improve employee relations. Follow-up on all employee complaints made to the H.R. office and communicate them to the operations department.
  • Travel to Effingham and Bloomington offices, Decatur, Danville, Mattoon, Paris and any area needed to conduct interviews and perform orientations. Less than 4 days per month and no overnights.
  • Fill in for Office Manager when absent to include: general office duties, answering the telephone, and processing payroll.
  • Keep social media updated on Facebook, ESS Company Website, Twitter, etc.
  • Maintain confidentiality with all company correspondence, disciplinary actions, terminations and grievances.
  • Respond to employment verification requests.
  • Monitor employee attendance points and counseling forms ensuring adherence to company policy.
  • Assist with updating and/or creating company policies as company changes and grows, to include the employee handbook.
  • Participate in the development and administration of training and educational materials, including training videos, Powerpoint presentations, handbook, handouts, etc.
  • Contribute training, team-building and motivational programs at the monthly manager's meetings.
  • Assist with organizing and planning the Annual Company Party and Awards Ceremony.
  • Assist with Safety Week and the Safety Program.
  • Assist in various marketing and company projects as needed.
  • Reports to HR and Safety Director.
  • Other duties as assigned.
