Job Title: Administration Assistant

Grade: Grade 2 (formerly Scale D)

Salary range: SCP15-17 (£17,072 - £17,772) pro-rata

Job Location: St Leonard’s RC Primary School

Responsible to: School Business Manager

Purpose of the Job:

To organise and use a comprehensive range of systems and procedures in order to provide a high standard of administrative and reception support to St Leonard’s RC Primary School.

General Administration and Reception Duties:

  • Ensure all visitors entering school are met and dealt with courteously and promptly, following Safeguarding procedures
  • To act as first point of contact for general parent, pupil and visitor enquiries both in person and via the telephone, providing a proactive service
  • To produce and process routine school documentation and letters to parents
  • To check the school’s office e-mail account several times a day and to deal with or pass on any queries arising from it
  • To maintain the pupil database (SIMS), inputting and extracting information in a timely manner
  • To receive, check and disseminate deliveries
  • To maintain stationery stock and request replenishment as appropriate, ensuring stock levels are kept within reasonable limits without over stocking
  • Be responsible for ensuring best value is obtained when procuring stationery/office supplies
  • Keep the School Diary, School App and Staff Noticeboard updated with supply information, staff sickness, training and school events
  • Keep the school website up to date to reflect ongoing changes and policy reviews
  • Input attendance details for all children, ensuring appropriate reports are available for the Headteacher
  • Provide timely reports to Att 100 in order for attendance issues to be highlighted and dealt with promptly
  • Assist the School Business Manager in planning, developing, designing and maintaining support systems/procedures
  • Provide detailed analysis and evaluation of data and produce detailed reports as required
  • To provide general administrative and reception support in the day to day work of the school
  • Maintain and follow administrative systems agreed within school
  • General office duties as required

Financial Duties

  • Record cash and electronic payments into school and bank all monies
  • Process authorised purchase orders onto the SAP system
  • Input dinner money/packed lunch details onto database, ensuring information is accurate at all times
  • Complete weekly PM4 return ensuring all figures reconcile with the kitchen daily totals
  • Issue late letters for non-payment of any monies to parents and monitor payment
  • Count and bank all monies coming into the office, ensuring accuracy at all times
  • Reconcile all cash and cheques on SAP and Parent Pay, prepare weekly banking report for Head’s signature
  • Issue all authorised refund promptly
  • Be aware of and follow LA policies relating to the handling and security of money
  • Issue receipts for any monies received, using the appropriate paperwork

First Aid/Medication Duties

  • To be the first point of contact for First Aid during teaching time and at other times if required
  • To administer medication to pupils in accordance with their care plan and schools medications policy
  • To ensure safe keeping of medications within school and that any controlled drugs are appropriately stored

General:

  • Attending and participating in training and development activities as required
  • Being an effective role model for the standards of behaviour expected of pupils
  • Having due regard to confidentiality, child protection procedures, health and safety, other statutory requirements and the policies of the governing body and the local education authority
  • To act in a professional and confidential matter with all school information

To undertake any other duties as reasonable that fall within the responsibility of the grade as may be required

The post holder must comply with the principles of the Freedom of Information Act 2000 in relation to the management of school records and information.

The post holder must carry out their duties with full regard to the school’s Equal Opportunities Policy, Code of Conduct, Child Protection Policy and all other policies.

The post holder must comply with the school Health and Safety rules and regulations.
