Position Title: Program Coordinator

The Chicago Humanities Festival (CHF) connects people to the ideas that shape and define us, and promotes the lifelong exploration of what it means to be human. CHF fosters curiosity, celebrates creativity, explores the boundaries of contemporary knowledge and culture, and challenges us to see ourselves and our world anew. Collaborating with many of Chicago’s major cultural and educational institutions, CHF produces over 150 events in 40+ venues around Chicago annually, including a weekend-long Spring Festival in April, a three-week Fall Festival in October and November, and additional stand-alone programs throughout the year. CHF has an international reputation for innovation and creativity, featuring an exceptional roster of writers, scholars, performers, and visual artists in its programs and online as well as humanities-based educational and professional development programs.

POSITION DESCRIPTION:

The Program Coordinator requires a detail-oriented individual who manages the presenter logistics of CHF’s year-round programs, including communication, travel and accommodations. This is a full time, permanent position. Salary is commensurable to experience. An excellent benefits package is provided.

Position reports to Artistic Director and provides support as directed to the programming team, working under the supervision of the Director of Programming and the Senior Program Manager.

JOB RESPONSIBILITIES:

∙Support the Programming Team in managing the logistics of all CHF programs, with a particular emphasis on presenter communication, administration and logistics

∙Track communications for up to 150+ presenters seasonally

∙Assist in generating CHF letters of agreement with presenters

∙Manage out-of-town presenter logistics, including travel (air and ground) and hotel accommodations

∙Maintain and update Filemaker databases

∙Support collection of presenter materials (bios/headshots) for 150+ presenters

∙Support the development of detailed presenter itineraries

∙Manage other presenter amenities as required

∙Attend and track information from weekly programming meetings

∙Support tracking of book sales and signings at CHF programs

∙Train and supervise programming intern as needed

QUALIFICATIONS:

∙Wide ranging interest in arts and culture

∙A professional demeanor and excellent written and verbal communication skills

∙Exceptional organizational and project management skills

∙An ability to work both independently and as part of a team

∙Desire to establish strong working relationships and work effectively with others inside and outside the organization

∙Able to multi-task with several projects simultaneously in a fast-paced, mission-driven, collaborative environment

∙A minimum of 2year’s experience working in program coordination and management

∙High energy, positive personality, flexibility, resourcefulness, and assertiveness in problem solving.

∙Solid computer, data entry, and database management experience (FileMaker, Razor’s Edge a plus).

∙Proficiency on both Macintosh and PC computers environments.
