Job Title: Senior Database Marketing Co-ordinator

Reports to: Supporter Services and Marketing Database Manager

Department:Fundraising

Purpose: To support the data requirements of the Fundraising Department and thereby help meet our rapid annual income growth targets.

Working within the Individual Giving team the Senior Database Marketing Co-ordinator will: undertake data selections and extracts for FundraisingCampaigns from Anthony Nolan’s databases; manage the implementation of the data importing &uploadingprocess; run and add insight to data analysis; help improve data integrity and take leadresponsibility for the running ofquarterly Gift Aid claims.

Main Responsibilities:

Data Selections and extracts (45%):

  1. To manage the process of selections and extracts in support of all Fundraising activity. This includes agreeing the data brief (including data segments), providing data counts (as directed by Fundraising colleagues), providing data dumps for validation, data cutting, data coding, data file output and upload of communications histories on to Anthony Nolan’s databases.
  2. To receive and interpret data extract briefs from Fundraising and other team colleagues managing campaigns. Ensuring that:
  • Campaign managers receive the quantity of data expected, output in the format they and their suppliers need and transferred as agreed.
  • The work is delivered to a high level of accuracy and within team Service Level Agreements.
  • That there is clear communication back to the campaign manager to minimise problems and maximise opportunities in data selection.
  • There is a systematic and planned approach to managing every selection and extract.
  1. To advise Fundraising colleagues on how their selections could be improved or changed.

Data Importing & Uploading (20%):

  1. To manage the transfer of supporter data onto Anthony Nolan’s databases, as part of Fundraising Team’s activities. Specifically: to manage the process of uploading timely and accurate data from Fundraising Team’s campaigns, so that all supporter transactions, preferences, contact details and other data are continually updated and always accurate. This includes managing the transfer of transactions every month from multiple external suppliers (e.g. 3rd party data capture bureau, online fundraising agencies, telemarketing agencies, door-to-door fundraising agencies, payroll giving agencies etc)
  2. To continually asses the data needs of the Individual Giving Team and wider Fundraising Team to work to identify improvements to processes that exploit opportunities for simplification and automation, reducing the need for manual intervention as much as possible.
  3. To ensure compliance with all relevant laws, e.g. correct capture of Gift Aid Declarations, true & proper capture of Data Protection preferences.
  4. To work with key suppliers to ensure that they offer a secure method to transfer data for Fundraising Team activities.
  5. To help improve efficiencies in the Fundraising Team by supporting the development of Anthony Nolan’s databases to meet the continually evolving needs of the user, including inputting into the testing of any database upgrades.
  6. To ensure that data from fundraising campaignsis being collected, managed and used in compliance with the Data Protection Act.
  7. To provide direction to the Supporter ServicesAssistantson data requirements for Individual Giving donations and amendments received at Head Office.
  8. To implement ad-hoc updating of database records when required.

Data Analysis (15%):

  1. To create, modify and run agreed weekly/monthly reports for fundraising teams providing insight from the databases about the success of their activity.
  2. To gain and share knowledge to further improve the SSRS reporting suite.
  3. To run ad hoc analysis reports as requested by fundraisers or heads of teams.To advise where further reporting and analysis could add value.
  4. To run statistical analysis of data sets to further understanding of target fundraising audiences.
  5. To assist and train fundraisers with running their own queries.
  6. To liaise with other organisational data analysis and share data learning.

Data Integrity (10%):

  1. To support the work of the Individual Giving Team and wider Fundraising Team by developing robust processes that drive improvements in data integrity ensuring improved reliability of the data held on Anthony Nolan databases.
  2. To ensure the effective operation of ongoing data cleanses with external bureau in order to maintain accuracy of information held about supporters. To upload data amends that result in such data cleansing (e.g. PAF, NCOA, Bereavement etc).
  3. To help manage flags, field and tables in Anthony Nolan databases, balancing users requirements with good data integrity discipline.
  4. To help drive improvements in the accuracy and cleanliness of data held on Alms. This includes monitoring the data entered by other users within Anthony Nolan.

Database training (8%):

  1. Provide training for new users on the Fundraising Database and Reporting suite
  2. Provide follow up training to existing Fundraising Database users
  3. To ensure all Fundraising Database training reflects each teams specific ways of working

Gift Aid Claims (2%):

  1. To run quarterly Gift Aid Claims through the Fundraising Database.
  2. To support the work of the Supporter ServicesAssistants to help ensure the smooth audit of quarterly Gift Aid Claims.

Additional Responsibilities:

  1. To support the Supporter Services and Marketing Database Manager in the strategic direction and tactical implementation of the Database Marketing team plan.
  2. To assist with process and change management, working with the Supporter Services and Marketing Database manager to ensure that all processes are accurate, up to date and reflect the changing needs of the Fundraising Department.
  3. To represent the Individual Giving Team at meetings with external agencies as appropriate.
  4. To deputise for the Supporter Services and Marketing Database Manager as and when required.
  5. Attend and contribute to Individual Giving Team, Fundraising Team and other meetings as appropriate.
  6. To undertake any other activity reasonably requested by the Head of Individual Giving or Supporter Services and Marketing Database Manager.

Person Specification:

  • Experience of using Alms.net or other charity databases (e.g. Razor’s Edge, CARE)
  • Previous experience of working on complex databases and managing data (particularly data selections and extracts, data analysis, data importing and data integrity).
  • Resourceful, flexible with the ability to prioritise heavy workloads to meet tight deadlines
  • Knowledge of importing large datasets
  • Proven expertise in interpreting complex selection briefs, writing advanced queries to identify records according to certain criteria and extracting the required fields
  • Experience of working for a charity in a similar capacity (desirable)
  • Previous experience of running Gift aid claims (desirable)
  • Excellent and proven communicator with the confidence to explain technical issues in a simple and engaging manner to a wide range of audiences, through a variety of means.
  • Strong problem solver, able to deliver innovative and effective solutions
  • Skilful at managing own time, especially balancing routine work with more complex projects to ensure everything is completed to schedule with accuracy
  • An outstanding eye for detail and thoroughness, even when under pressure
  • Knowledge of legacy administration (desirable)
  • Excellent IT skills, particularly Excel and Access
  • Strong numeric and verbal reasoning skills
  • Previous experience of working with direct marketing teams.
  • Proven analytical and evaluating skills
  • Able to produce and interpret results
  • Ability to plan and manage projects
  • SSRS and SQL skills (desirable)
  • A good understanding of direct marketing and wider fundraising, techniques
