Job Description: Role of Operations and EMAS Administrator

Summary and Main Purpose:

Key Accountabilities:

Essential Knowledge / Experience
Fluency in English with excellent written and oral communication skills
Excellent book keeping and numeracy skills
Project administration experience
At least 5 years professional administrative experience and at least 2 years experience in a similar job
Knowledge of office and administrative procedures and systems such as filing and record keeping
Experience of using databases and contact management systems (CMS)
Experience of drafting correspondence /reports/ minutes
Experience of conference / event administration / Desirable Knowledge / Experience
Knowledge of The Duke of Edinburgh’s International Award
Experience of working for an international organisation
Experience of working within a third sector / charitable organisation
Knowledge of at least one other European language or Arabic
Skills (acquired by training or experience)
Proficiency in IT and thorough working knowledge of Microsoft Windows 2007 programmes including Outlook, Word, Excel, PowerPoint
Excellent organisational, resource management and planning skills
Ability to multi-task, carry out tasks with minimal supervision, to manage time, prioritise workloads, work under competing pressures to deadlines
Excellent customer service skills
Proof-reading skills
Ability to alter style and method of communications according to different audiences (including dealing with different accents, levels of English, different cultural references, levels of formality and informality)
Awareness of and sensitivity to broad spectrum of cultural traditions and attitudes / Qualities (personal characteristics or traits)

Measures of Success
  • Databases, calendars and correspondence is up to date and accurate (including appropriate filing)
  • Award country profiles / EMAS web pages up to date.
  • Provision of effective administrative support for events and meetings.
  • Financial transactions and expenses are timely and accurate.
  • IAC licences are issued and fees are invoiced and collected in a timely manner.
  • Events and travel efficiently and effectively delivered
