Job Title:Grants Officer

Job Purpose: Bristol Charities has run a Grants programme for many years to support people in need in the Bristol area. We are looking to recruit a new role designed to make our Grants Programme more pro-active rather than reactive. Initially the role will focus on the implementation and administration of a new on line application system to make the application process more modern and efficient. Once the new system is bedded in it is envisaged the Role will have capacity to investigate ways to expand the Grants Programme by networking with local organisations and carrying out marketing campaigns to publicise the Programme.

Main activities of this position

Activities / Description of activities and responsibilities
Grants Management /
  • Management of Grant Applications
  • Providing a professional contact service by email and phone to potential applicants to ensure that the Charity receives good quality grant applications
  • Processing applications through the selection process via the online grants platform
  • Informing applicants of the outcome

Other Grants Management Tasks /
  • Undertake mail out and telephone campaigns to publicise the Charity`s grant giving programmes and to maximise applications
  • Update and develop information on the website aimed at potential applicants
  • Day to Day management, maintenance and development of the online grants database.
  • Record details of grants paid on the database.
  • Prepare reports and analyse trends in the grant funding programmesto contribute to its strategic development.
  • Assist the Assistant Director of Finance in the preparation of the Grants Management Accounts.
  • Produce papers on Grants received and awarded statistics for Grants Committee.
  • Attend Grant Committee meetings, contribute and provide input on grants awards and issues as appropriate.

External Liaison and Development /
  • Attend meetings and liaise with other charities and organisations in order to develop partnership working between grant giving organisations in Bristol.
  • Contribute and share good practice in terms of evaluating the effectiveness of funded initiatives
  • Research and develop knowledge of other funding initiatives and organisations in Bristol in order to avoid duplication and to signpost effectively

General Administration and cover for the PA to the CEO /
  • This post is part of a small team of Head Office staff and will therefore be expected to provide cover in times of absence for office management and general administration.
  • Cover will also need to be provided for the PA to the CEO post including preparing reports, arranging and minuting Board and Committee meetings.

Experience

Essential

  • Demonstrated experience of Outlook, Microsoft Word, PowerPoint, Excel and Access.
  • Experience of developing and maintaining office and data management systems, including developing new approaches to meeting changing needs
  • General administration
  • Handling cash
  • Accurate data entry

Desirable

  • Experience of the Charity Sector and Charity Governance
  • Website maintenance experience
  • Purchase ledger administration and issuing payments
  • Familiarity with Sage AccPac and Benefactor
