JOB DESCRIPTION FOR ASSISTANT BURSAR/ ADMIN OFFICER
To undertake under the overall direction and control of the headteacher, but with the minimum of supervision, a wide range of duties and responsibilities. In particular:
1. To assist the Business Manager by ensuring that efficient administrative, financial and secretarial services are maintained within the school by:
a) Delegating tasks to the clerical officer and assistant and supervising their completion
b) Allocating and prioritising.
c) Resolving queries.
d) Liaising between staff and parents and arranging appointments when necessary.
e) Training new members of staff on the SIMS packages used within the school.
2. To access and use the SIMS financial and personnel systems. To access and use electronic email, Parentmail and to carry out word processing under the direction of the School Business Manager.
3. Under the supervision of the School Business Manager, maintain the school budget throughout the year to closing, completing monthly reconciliations for submission to the LEA and half termly financial reports and notes to the governing body.
4. Providing when necessary, information for governors regarding administration and financial procedures within the school.
5. To input data for the purpose of providing statistics on children’s attainment.
6. To assist the Business Manager in the efficient administration of personnel recruitment, selection, appointment and induction.
7. To assist the Business Manager in the effective control of all items within the school budget and ensuring that adequate arrangements exist for the ordering and invoicing of goods and supplies in the school.
8. To be Clerk to the Governing Body and Finance Committee, with responsibility for all clerking duties.
9. Supervising the maintenance and administration of the school inventory in conjunction with the school’s IT assistant.
10. To maintain the school’s website in conjunction with the school’s IT co-ordinator and IT assistant.
11. To maintain an up to date Criminial Records Bureau register of all school staff and visitors.
12. Welfare and first aid. To hold a valid certificate for first aid.
13. Liaison with the caretaker, including day to day notification of problem areas.
14. To assist the Business Manager in requisitioning necessary repairs, liaising with contractors, surveyors, etc.
15. Responsibility for booking all lettings of accommodation and maintaining the relevant financial records and ensuring payment is received.
16. To assist the Business Manager in ensuring adequate midday supervisory assistance is provided.
17. Ensuring that all visitors to the school are welcomed and provided with a friendly and efficient reception.
18. Establishing, where necessary, systems for confidentiality.
19. Assisting at school functions where necessary.
20. Advising the governing body when required on aspects of the school’s finance.
21. Responsibility for health and safety and to be aware of health and safety legislation and implement as required in the office, reception and photocopying areas.
22. Undertaking such responsibilities and tasks as may be required by the headteacher that are considered to be commensurate with the job purpose and grading.
